Goal:   In this lesson you will learn how to create and maintain e-mail addresses that are applicable for the selected customer.  Steps:     1. If there are any email addresses that are already allocated to this customer record they will be displayed on screen and you will need to press/click <F6> to go into add mode. If no email addresses have been allocated to the selected customer the program will go into add mode automatically:  Entity:  This will default to the customer number for the currently selected customer.  Display Name:  There are a number of different things that may happen when you enter the required name into this field, depending on whether you are defining a whole new email address or just selecting an existing email address to be allocated to the selected customer record. See below for more information:  a. If you want to link an existing email address, you can enter the name directly or press/click <F3> and select the required record. The Address field will then default with that defined for the selected name, and the only other field you will need to complete is the Primary field.  Note : If the name is typed in, and multiple addresses have been defined under that name, you will be prompted to select the applicable email address.  b. If you want to define a new email address to link to this customer record, type the name of the person the E-address belongs to and press/click <F1>.  If the name you enter already exists (this may happen as it is possible to have multiple email addresses for any given name) then the existing email addresses for that name will be displayed. You may either select one of those names or press/click <F6> again to go into add mode. You will be prompted to key the Display Name for the address and then the Maintain E-Address screen will appear.  If you have entered a name that doesn't exist, the system will tell you so and will ask you if you want to create a new address. If your response is 'yes' you will automatically go into add mode and the screen displayed above will appear.  For further information on Adding a New E-Address please see the section on  E-Addresses  which is on the  ETM Output Control  menu.  Address:  This field will display the defined email address for the Display Name entered.  Primary:  Is this the primary email address for this customer? Key 'yes' or 'no'. If 'yes' this is the address that will be displayed on the customer header screen as the default email address.  2. To change the default (primary) email address for the customer, select the  E-Addresses  option. From the list of e-addresses displayed on the screen that follows, highlight the required record and press/click <F7>. Make the change as required and press <F1> to update. Note : The system will only allow one e-address to be the primary address, so if you change an e-address from Primary = 'no' to Primary = 'yes', the system will automatically change all other email addresses for the customer to Primary = 'no'. 3. To remove or unallocate an e-address from a customer record, select the  E-Addresses  option. From the list of e-addresses displayed on the screen that follows, highlight the required record and press/click <F5>. You will be prompted to confirm the action before the address will be removed. You will then be presented with the following message: 'Do you want to delete all e-address details for this contact?' Answering 'no' will only remove the email address from the Customer Master File record, whereas answering 'yes' will remove it from the system altogether.  4. Once you have allocated an E-Address to the customer you can set it as the e-Address for the current contact . A list of the customer's e-Addresses will be displayed when you press <F3> on the e-Address field when adding or maintaining a contact.    Review:   You can now:  · Create and maintain e-mail addresses for a customer.
