There are a number of facilities within ProStix to assist with Customer Credit Control. These features are summarised below: Credit Manager A company can operate with or without a central Credit Manager.  If the field 'Credit Manager' in the company definition is set to ' Yes ', then orders that need credit approval are placed in a queue for the Credit Manager to review, and approve where they think fit. This queue can be viewed by taking options  'Sales Order Processing'  then  'Order Credit Approval'.   If the field  'Credit Manager'  in the company definition is set to 'N o ', then once the customer account reaches this limit, a warning is issued in the SOP and POS programs and the order has to be authorised before the order can be printed or released to invoice. The Over Credit Limit report lists all customers that have exceeded this permitted credit limit. The user security defines the user's credit control abilities: the fields 'Credit Approval' (yes/no) and 'Credit Approval Limit ($ figure).  Credit Limit This is the value that has been negotiated with the customer. Leave the field blank if this is a special account that you do not want to place a credit limit on. Payment Terms The number of days from statement date until payment is due from the customer. Credit Age A credit age may be allocated to a customer in order to restrict them from placing orders when they have old debts outstanding. Valid responses are 0, 30, 60, 90 & 120 (days). If you attempt to type an order for a customer who has exceeded their allowed age, a warning is issued in the Point of Sale and Sales Order Processing programs. Zero in this field means this type of credit checking is not active for this customer. Credit Grace The $ amount a customer may add to their account if they have exceeded their credit limit before orders are stopped. This allows for the delay between the payment due date and the actual receipting of the monies. This facility allows for the delay between the payment due date and the actual receipting of the monies (grace days). To take the guesswork out of nominating a credit grace amount, extend the credit limit by a proportion based upon the limit:  For example: Grace = (Credit Limit / Trading Terms) * Grace days = (2000 / 30) * 5 = 333 Status One of three valid codes that can be attached to a customer record to evoke specific action if a transaction is typed for that customer. These codes are: The credit status can be changed in three ways , you may use any or all of these methods:   1. By manually going into  'Accounts Receivable'  then  'Customer Maintenance'  then  'Credit Info'  then  'Credit Data'  and changing the value of the field. 2. By the Debtors Month End program. There are two questions that relate to customer credit: Credit Age A limit allocated to a customer in order to restrict the customer from placing orders when they have old debts outstanding. The Overdue Accounts Report allows the user to specify the minimum age period to report on.   3. By the Customer Credit Update Report. This is found under options  'Customer Maintenance'  then  'Customer Credit Update'.  The program asks for a customer number range and then allows you to choose either Hold or Suspend status and a final option to Release Suspended Customers (yes/no). The program works by taking the figure entered in the  'Payment Days'  field in  'Customer Maintenance'  -  'Credit Data'  and adding this to the end date for each of the debtors periods and then seeing if the invoices in each of those periods fall outside of those dates. Credit Reports These can be found under  'Accounts Receivable'  then  'Reporting'  then  'Credit Reports':
