Please note:  As at 12th December, 2014 , the Chain Of Custody module only works with products that have Lineal Metre (LM) or Cubic Metre (M3) Unit Of Measure (UOM). At this point in time, the Chain Of Custody module does not work with Each (EA) UOM. This facility is feature controlled via ' FeatureCOC '. Please contact  Sterland Computing  if you wish to use this feature.  The ProStix Chain of Custody feature provides a means of tracking the Chain of Custody for timber that has been certified. By tracking the certified timber packs from import orders to sales orders sales opportunities are provided for certified timber sales. The certification link from stock receipting is maintained through any new packs created through docking, material conversions and pack splitting to provide packs to customers that have timber certification.  To create and maintain Chain of Custody (COC), perform the following: 1. From the  ProStix Main Menu  select the option you require. 2.  Refer to the following links/processes for further information. Glossary of Terms    Scheme Maintenance Different countries have different certification schemes, thus there is a need for multiple schemes. FSC is the worldwide scheme that is one of the strictest and requires extensive accreditation. A generic CoC scheme is not allowed.  There is a facility to maintain schemes. The information required on a scheme is:  You are able to designate Product codes in branches as complying with CoC. This covers the case where you can say that all of this product coming in is certified.  Purchasing & Receipting   Packs can have a code associated that can be used to indicate if the timber has been certified from a particular source.  Certification is generally ordered for the whole order/mark. Where an order/mark has a certified code then all packs under that order/mark automatically inherit the same code. There is also the ability to modify certification for individual pack(s) (but this is the exception).  Certification can be updated from the original certification code entered for the order/mark when adding a pack, allocating a pack and when receipting a pack.  To facilitate a Chain of Custody the supplier docket number  must  be entered on the receipt. The existing System Tailoring Flag 'DockEntry' needs to be set to 'yes' in order to enforce the entry of a supplier docket number at receipting time.  Once a pack is broken then the Chain of Custody no longer applies, except if you can show that ALL of a particular product is ordered and received under a scheme.  Works for importers and local suppliers. Government tenders require timber to be certified otherwise they are immediately disqualified from tender.  Pack Maintenance  Certification is only at a pack level. Once a pack is split, there is no need to keep certification at the stick level.  Pack Maintenance can record the scheme for the pack and has the ability to uncertify a pack. Packs inherit details of CoC when children are created from a parent. Material conversion and pack docking copy across the scheme from the original supplier pack when doing a conversion. The original supplier, supplier pack number, and delivery number are copied to the new pack(s) to be able to track back to the original pack that was certified.  Product Code Level Separation  One of the schemes needs to have product code level of separation (FSC – Forest Stewardship Council).  Sales Order Processing    There can be more than one scheme on an order.  Certification requirements for the sales order are printed on the Picking Slip where for packs on orders, but not for loose stock.  On the Delivery Docket and Invoice there is the ability to identify the products and packs that have been supplied as certified – an annotation (e.g. *) against the pack number.  Each scheme has a separate annotation symbol and different words/symbols/logos to be printed on the Delivery Docket and Invoice.  Branch Transfers  Chain of Custody is maintained through the branch transfer process. This means on the interbranch P/O and Sales Orders the CoC details are included as if it were an external sale. This helps to keep the banking credits per branch up to date.  Factory Work Orders  Factory Work Orders also maintain the Chain of Custody.  Data Conversion   Pack Certification   At present via an ODBC connection the pack comments are being updated to include the scheme name. A data conversion utility updates the packs to apply the scheme to the pack in the new certificate field.  Product Update Utility  To setup and maintain the products that are compliant a second utility is required. This will prompt for a branch range, product group and sub group ranges and the setting to use for all timber products at the branch level within this range, that is, fully/order/never compliant. If the products are to be set to fully compliant then a certification code will be required. Bank System for Credits for CoC   The requirement is through simple reporting – comparing the total CoC stock received during the month with the total CoC stock sold or used. (Hence the parent-child information requirement so we do not double up). This is not a requirement for the data to be managed via ProStix except through enabling in reports (NuVu).
