To understand the way the ProStix software automatically updates the General Ledger Chart of Accounts, you need to be conversant with the relationship between the  General Ledger Control accounts  and the set-up of the  ProStix software . The ProStix software has several Control Accounts in the General Ledger. Control Accounts are those accounts that have transactions processed to them automatically as you perform the normal daily transactions. The ProStix General Ledger system uses the concept of perpetual inventory and automatic posting of transactions to the general ledger. This posting mechanism enables the General Ledger to be constantly up to date (perpetually) with the current value of stock, sales, GST liabilities and credits, cost of goods sold (COGS) and gross profit. This enables the General Ledger Report Writer to provide up to the minute sales, gross profit and stock valuations. Where Control Accounts are in place, there is no need to perform journals on the Control Accounts as they are processed automatically. You only need to adjust the COGS account if you have had an unusual transaction in which the cost of a specific product was wildly different from your expected or standard cost for it. Another example for making an adjustment would be if there had been some stock written off because of damage and so on. Such adjustments should be made using the stock adjustment programs in the inventory system. These inventory stock adjustment programs automatically make the relevant General Ledger postings. When you do a stock take and apply the results, the stock take update program also performs the necessary entries in the General Ledger.
