A diary note is a short message about the customer that is held on file.  It is usually a reminder to take some action against a customer if they fail to pay an overdue account by an agreed date. However, it may be used for anything that you need to be reminded about for a customer.  Depending on your security settings you may have access to both Secured Diary Notes and General Diary Notes. On selecting the Diary Notes option for a customer, the screen you see next depends on your security access settings.  To add and maintain Diary Notes for a Customer, perform the following:  1. From the  ProStix  Main Menu  select  'Accounts Receivable'  then  'Customer Maintenance' . 2. Select a customer using any of the  search  methods. 3. From the options box select  'Diary Notes' . The screen displays any previous notes. Select <F6> (Add) to add a new note. Access to All Diary Notes If you have authority to access all types of diary notes, on selecting the Diary Notes option you are presented with a screen with the following options:  All Diary Notes This option lists both General and Secured diary notes. You may distinguish General from Secure notes by the 'Secure' flag setting against the note. Secured Diary Notes Only Secured diary notes are those which have been flagged so as not to be accessible to all users. This option only displays those notes that have been flagged as  'Secure'  =  'Yes'. General Diary Notes Only General Diary notes are those that have been entered as available for all to see, that is, not secured. This option only displays those notes that have been flagged as  'Secure'  =  'No'.   Access to General Diary Notes Only   If only have access to General Diary notes, that is, you don't have access to secured diary notes then you are automatically logged into this option on selecting the Diary Notes option. It lists all diary notes that have been entered with the ' Secure'  flag set to  'No'.   Sort Order   There is a System Tailoring Flag  'RecDiarySt'  that if set to  'Yes'  sorts the diary notes in date order (latest on top). If this flag is set to  'No'  they sort in permanent (yes/no) then date order.
