Customer Contacts provide alternate ways to search for and select customers and to store additional information such as e-mail addresses about multiple people that may use this customer account.   Goal :   In this lesson you will learn how to maintain Contact Details for a customer.  Steps:   1. From the  'Main Menu'  select options -  'Accounts Receivable' - 'Customer Maintenance' . 2. Select a customer using any of the  search  methods. 3. From the options box choose  'Customer Message' . Selecting this option opens the list of contacts that the customer has. 4. To create a new contact, press/click <F6>. This will open the  contacts entry  screen. Note: if no contacts exist for a customer then selecting the Contact Details option will open this screen automatically. Contact Type:  key the code for the contact type. <F3> search is available if required. Only one Main and only one Principal contact can exist for a customer. Contact ID:  key a numeric identifier of up to 9 digits for the contact. Cannot be zero. Must not already exist for this or any other customer, nor can it be the same as an existing customer ID. If the System Tailoring Flag 'CusNumCont' is set to 'yes' then the Contact ID will automatically default to the next available number. e-Address:  <F3> search then select to define an email address for the contact. You cannot type an e-Address in this field - see  E-Addresses  for details on how to define email addresses. No two contacts on the same customer can have the same e-address. Primary E-Addr:  this field is read-only and will be determined by the e-address definition. Only one primary e-address can exist for a customer. Note: Primary e-address is not to be confused with the Main Contact Type: a contact with a primary e-address can be of any type. First Name:  key the first name of the contact. If you specify an e-Address then this field will be populated automatically and you will not be able to change it. Surname:  key the surname of the contact. If you specify an e-Address then this field will be populated automatically and you will not be able to change it. Password:  key a password of up to 15 characters for the contact if required. Note: input for this field will appear on the screen as you type. Contact passwords may be used at Point of Sale or when creating a sales or job order and tailoring flag 'CusOrdCont' is set to 'yes'. If user specifies a contact ID, either directly or if prompted by the system, then the transaction will not continue unless the password is keyed in. If no password is entered into this field, the customer will not be required to enter a password (unless the customer also has a password - refer to  More Data ). Phone:  key the business telephone number for the contact. Phone (Mobile):  key the mobile telephone number for the contact. Fax Number:  key the business fax number for the contact Birth Date:  key the birth date for the contact. Format is DDMM. 5. Once you have completed the screen, the system will display the entry in the Contact Details screen. The fields will comprise the Contact Type, Primary E-Addr, Contact ID, Name and E-Address. If the contact has an E-Address then the Name will be that defined for the E-Address; otherwise it will be the First Name, followed by a space, followed by the Surname. 6. To modify a contact highlight it and press/click  Update <F7> . You can modify any fields except Contact ID; other access and validation rules are the same as for adding. 7. To delete a contact highlight it and press/click  Delete <F5> . The system will prompt you to confirm the deletion; press to confirm or  Exit <F4>  to cancel. 8. When you have finished defining contacts, press/click  Exit <F4>  to return to  customer maintenance options . The following fields in the customer header will be updated, depending on what contacts you have defined: Principal Name:  if you have defined a Principal type contact then that contact's Name will populate the Principal Name field. Contact Name:  if you have defined a Main type contact then that contact's Name will populate the Contact Name field. E-Address:  if you have defined a contact with a Primary E-Address then that contact's e-Address will populate the E-Address field. If any of these fields are populated from the customer's Contacts then you can change them only by updating the Contacts themselves.    Review:   You can now:  · Maintain Contact Details for a customer.
