# Overview
**Promotions** allow you to create and maintain promotion prices for all or selected customers. All transactions for these customers that include products or product groups on promotion attract the special promotion prices specified for the period allocated.
# Accessing the Promotions Maintenance Screen
To access the Promotions maintenance screen, perform the following:
1. Click **Frameworks** then navigate to **Special Pricing > Maintenance > Promotions **from the navigation tree.
2. Click **Find **to view all the promotions in Frameworks.

3. Click **New **to [Create and Maintain Promotions](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30523730) or click on the relevant **Promotion ID **hyper link to maintain the promotion.
# Navigating the Promotions Maintenance Screen
Once you have entered the **Promotions Maintenance** screen you can **view, edit** and **maintain** the selected promotion.
The screen is made up of two sections, these are:
## 1. The Header (Details) Information
In this section you are able view and maintain the promotions details.
> ℹ️ You are able to make changes to the Header information by clicking on the **Actions **button and selecting **Edit Promotion Header**.

| **Field** | **Description** |
| --- | --- |
| **Promotion** | Displays the ID given to the promotion. |
| **Description** | Displays the description given to the promotion. |
| **Start** and** End Date** | These fields display the start and end dates for the promotions The start and end **Times** are displayed after the date fields |
| **From **and **To Branch** | These fields display the branch range the promotion applies to. |
| **From** and** To Zone** | These fields display the area zone range the promotion applies to. |
| **Customer Group** | Display the customer group the promotion applies to. |
| **Account Type** | Display the Account type the promotion applies to. |
## The Actions Button
From the **Actions **button additional options are available to maintain the promotion.

| **Edit Promotion Header** | Select **Edit Promotion Header **to make changes to the promotions header details. The **Promotion Header** window will be displayed.

| **Delete Promotion** | Select **Delete Promotion **to delete an remove the promotion from Frameworks |

2. The Promotion Lines Maintenance Tab
The **Promotion Lines **maintenance tab is where you can add, view and edit products, product groups and the promotion pricing information.
This section has two sections:
### 1. Promotion Lines Entry
The **Promotion Lines Entry **section has 3 functions. These are:
#### A. Adding a Product
From here you are able to add products and their promotional pricing.

| **Field** | **Description** |
| --- | --- |
| **Product** | Enter the **Product ID **you want to add to the promotion. Click **Search **to open the [Product Finder](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30531076) window. |
|  | Click > Macro (inline-media-image)
to toggle between the **product **and **product group **entry. |
| **Pricing Rule** | From the drop-down menu select the required **Pricing Rule**. A pricing rule code determines how this product is to be priced by prioritizing the values in the **GP%** field, **Promo Disc **field or the **Promo Sell **field.
The options are:
- **Fixed: **Defines a fixed sell price for the selected product line using the figure in the **Promo Sell** field. **This contract sell price does not change regardless of the sell/cost changes to the product.**
- **Disc of** **Retail: **Calculates a sell price using the Discount Percentage figure in the **Promo Disc **field and the Retail Selling Price. **The contract sell price will change if the product sell price is changed to maintain the discount percentage.**
- **Gross Profit**: Calculates a sell price using the Gross Profit percentage figure in the **GP%** field and the Branch Cost or if entered, the Promo Cost Price. **The contract sell price will change if the product cost is changed to maintain the GP%.**
> ℹ️ The price displayed is based on for example, a discount off the standard sell price, however if branch pricing is in use then the discount is applied to the applicable branch price when the product is sold, which can thus result in a different price to what you see on the screen. |
| **Cost Price** | Enter the product's **cost price** for the promotion, if it differs from the standard cost of the product. |
| **GP%** | Enter the product's **gross profit %** for the promotion.
> ℹ️ Once entered the **Promo Disc, Promo Sell** and** GST Inc **fields will calculate accordingly. |
| **Promo Disc** | Enter the product's **Promotion Discount **percentage value for the promotion.
> ℹ️ Once entered the **GP%, Promo Sell** and** GST Inc **fields will calculate accordingly. |
| **Promo Sell** | Enter the product's **Promotion Sell **price (excluding GST) for the promotion.
> ℹ️ Once entered the **GP%, Promo Disc** and** GST Inc **fields will calculate accordingly.
> ⚠️ When the System Setting - Flag **PrmSellInc **is unticked > Macro (inline-media-image)
> ⚠️
> ⚠️ the **Promo Sell **field will be available to enter in the promotion sell price (excluding GST). |
| **GST Inc** | Enter the product's **Promotion Sell **price (including GST) for the promotion.
> ℹ️ Once entered the **GP%, Promo Disc **and **Promo Sell **fields will calculate accordingly.
> ⚠️ When the System Setting - Flag **PrmSellInc **is ticked > Macro (inline-media-image)
> ⚠️
> ⚠️ the **GST Inc **field will be available to enter in the promotion sell price (including GST). |
| **Purch** | If required, you can enter the quantity which has been purchased for the promotion |
| **Std Cost** | Displays the current **Standard Cost **of the product before the promotions are applied as per [Product Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378114). |
| **Retail GP%** | Displays the current **Retail GP% **of the product before the promotions are applied as per [Product Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378114). |
| **Retail Sell ** | Displays the current **Retail Sell **of the product before the promotions are applied as per [Product Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378114). |
| **Sold** | This field displays the number of products sold under this promotion |
| **Check **icon | Click **Check **to add the product to the **Promotion Lines Grid.** |

#### B. Adding a Product Group
From here you are able to add products groups and their promotional pricing.

| **Field** | **Description** |
| --- | --- |
| **Product Group** | Enter the **Product Group ID **you want to add to the promotion. Click **Search **to open the **Product Group Finder **window. |
| **Toggle** | Click > Macro (inline-media-image)
to toggle between the **product group **and **product **entry. |
| **Sub Group** | Enter the Product **Subgroup ID **you want to add to the promotion. Click **Seach **to open the **Product Subgroup Finder **window.
> ℹ️ If no specific sub-groups are entered, all subgroups in the product group defined in the step above are automatically included. |
| **GP%** | Enter the product groups **gross profit %** for the promotion.
> ℹ️ Once entered the **Promo Disc **field will calculate accordingly. |
| **Promo Disc** | Enter the product group **Promotion Discount **percentage value for the promotion.
> ℹ️ Once entered the **GP% **field will calculate accordingly. |
| **Check **icon | Click **Check **to add the product group to the **Promotion Lines Grid.** |

#### C. Searching for a Product or Product Group
To enable the **Search **function from the **Actions **menu, select **Search Promotion Lines. **
- In the **Search **field enter the product/group, promotion description or part description then click Find.
### 2. Promotion Lines Grid
The **Promotion Lines Grid** displays the products and product groups with their costs, sell price, discount and GP% value that has been added to the promotion.
- Click the **Edit **icon to edit the product/group line
- Click the **Close **icon to remove the product/group line from the promotion.
