The **Sales Order Maintenance **screen allows you to create and maintain a sales order from a Quote to picking.

> ⚠️ **Important**: The **Sales Order Processing** (SOP) module can be customised to meet your business's specific needs. To do this various system settings and flags must be defined to turn on or off different functionality. # Accessing the Sales Order Maintenance Screen

<span style="color: #333333">To access the Sales Order Maintenance screen, perform the following:</span>

1. Click **Frameworks **and navigate to **Sales > Transaction Processing > Sales Orders **from the navigation tree.
2. <span style="color: #333333">Click </span>**Find **<span style="color: #333333">to view all of the current Sales Orders and Quotes in Frameworks.</span>

# Navigating the Sales Order Maintenance Screen

Once you have entered the **Sales Order Maintenance **screen you can view, edit and maintain your sales orders and quotes.

<span style="color: #333333">The Sales Orders maintenance screen is made up of seven main sections, these are: </span>

## 1. The Header (Details) Information

In this section you are about to view and edit the order's header details.

> ℹ️ You are able to make changes to the Header information by clicking on the **Actions** button and selecting **Edit Header. **

 The information displayed here is:

- **Customer**: This field displays the **Customer ID** and **Customer Name** for the sales order/quote.
- **Customer Order #**: This field displays the **Customer Order Number **and formatting can be enforced at a customer level. *This field is editable in the header*.
- **Reference**: This field displays the order **Reference**. *This field is editable in the header*
- Click the **Attachments **icon to open the **Attachments **window and <span style="color: #333333">attach files and documents related to the transaction so the information can be easily recovered when you need it.</span>
  - Click the **Paperclip **icon, if there are files or documents already attached to the <span style="color: #333333">transaction</span>.

- **Sales Rep:** This field displays the assigned sales representative. If not assigned, it will display “Not Assigned.”
- **Type**: This filed displays the **Transaction Type **of the order. Depending on if it is set to **Order **or **Quote **will determine which **Actions** are available
- **Order Branch**: This field displays the **Branch** the order or quote is linked too.
- **Desp. Method**: This field displays the **Despatch Method **for how the customer will receive the order. *This field is editable in the header*.
- **Follow-up Date / Date Required**: If the **Transaction Type **is a **Quote** a **Follow-up Date **will be displayed here for your team to follow up on the quote. If the **Transaction Type **is an **Order** the **Required Date **for the sales order will be displayed here.
- **Contract**: For customers with active selectable contracts, a **Contract** field is displayed, with the **alert **icon.
- **Agreed** **Prices**: For customers with agreed pricing enabled, any agreed price will be displayed.

## 2. The Order Process

This section displays information about the **Sales Order Process Flow** of the sales order to help you to keep track of where a quote and order is. Using the **[Actions](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408932/Sales+Order+Maintenance#3.-The-Actions-Menu)** menu to **Mark as 'Entry Completed', Confirm/Modify Delivery Date **and **Pick & Release **the quote and Sales order will move through the sales order process.

The processes are as follows:

3. The Actions Menu

<span style="color: #333333">From the</span> **Actions **<span style="color: #333333">button additional options are available to help you better manage the order. Depending on if the transaction type is an Order or a Quote some of the options including </span>**Hide Costs, Reprice, Special Buy-in, Split Transaction, Print Options, Accept Quotes, Void Order **<span style="color: #333333">and</span>** Import Files **may not display<span style="color: #333333">. Refer to the link below for an explanation of these functions.</span>

> ℹ️ To open up the Actions Menu use the keyboard Shortcut **Alt+a** and then press the <**Enter**> key and the Actions menu will open up wherever the mouse is on the screen

> ⚠️ <span style="color: #333333">The options available within the Actions menu are highly configurable. Your Frameworks instance may not be configured the same as the information contained below, so you may not see some of these options.</span>

**Edit Header**

Click **Edit Header** to make changes to the Sales Order or Quotes header details such as the **Customer, Order Branch, Dates, Agreed Pricing** (If enabled) and **Delivery Details.**

**Hide Cost**

- Click **Hide Cost** to hide the **Unit** **Cost**, **GP%**, **Partially** **Unit** **Cost** and **Rebated** **GP%** from the Product Grid on the [Order Lines Tab](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408932/Sales+Order+Maintenance#%5BinlineExtension%5D1.-Order-Lines-Tab).
- Click **Show Costs **to show the **Unit** **Cost**, **GP%**, **Partially** **Unit** **Cost** and **Rebated** **GP%** from the Product Grid on the [Order Lines Tab](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408932/Sales+Order+Maintenance#%5BinlineExtension%5D1.-Order-Lines-Tab).

**Reprice**

Allows you to set new price/s for unfinished Sales Order/Quotes.

**Supplier Reprice**

Allows you to update the **GP% **for a specific supplier on a Sales Order or Quote. A reason for the reprice must be given.

**Product Group Reprice**

Allows for specific product groups to be price matched to an elected GP% or to an elected Cost Plus %. 

> ℹ️ Any previous discounts are removed as part of this process as the elected price takes precedence.

**Hold Prices **

This allows you to keep the same sell price of the ordered product.

**Special Buy-in**

Allows you to set a special buy-in supplier cost for the quote.

**Split Transaction**

Allows you to split transactions, if the [FWSplitTrn ](https://sterlandsupport.atlassian.net/wiki/spaces/FSS/pages/13174518)system flag has been activated. 

> ⚠️ - For this functionality to be available, the flag must be turned on, no Purchase Orders should be linked to the transaction and picking must not be in progress (it is available before and after picking).
> ⚠️ - This function is not available for **Prepayment Orders** or **Prepaid Orders**.

**Accept Quote**

**Only Available for Sales Quotes** - Allows you to accept a Quote to convert it to a Sales Order.

**Void Quote**

**Only Available for Sales Quotes **- Allows you to Void a Quote or mark it as lost.

**Create Contract**

> ℹ️ Only Available for Sales Quotes.

**Pick & Release**

**Only Available for Sales Orders** - This takes you to the Pick & Release screen to you to complete a Sales Order by:

- Getting the stock from the shelf or warehouse for collection by a customer or for delivery to the customer.
- Marking the stock off that is being provided to a customer or delivered to a customer via a printed Picking Slip.
- Creating a Back Order for stock that is not available.
- Completing the Picking Slip for stock that has been provided or will be delivered.
- Releasing the Order to enable the Order to be invoiced against the Customer's account.

Once an order has entered into the **Pick & Release** screen, and picking has started, the order status will change to **PICKING** and once the order has completed picking the order status will update to **PICKED**.

**Picking Enquiry**

Clicking this option will open the **Pick Enquiry** screen. The read-only screen shows the picking status of sales orders. It allows you to see product picking, bundle assignments, and stock locations. Order lines are grouped by status and bundle for easy tracking.

> ℹ️ If the system flag **FWPKENT** is disabled (Enterprise Picking not enabled), then this option is not available.

**Release Prepayment Order**

**Only Available for Prepayment Orders**

When you click this option, your prepayment order remains within **Sales Order Maintenance** but becomes a prepaid order and a prepayment invoice is created to send out to your customer.

> ⚠️ Once your prepayment order transitions to a prepaid order, you can no longer add products or make changes to the existing product lines.

**Release Prepaid Order**

> ℹ️ This is only Available for Prepaid Orders.

Takes you to the **Pick & Release** screen to complete your order.

**Linked PO**

**Only Available for Sales Orders**

Allows you to create Purchase Orders based on a specific Sales Order’s lines and link those PO's to the Sales Order.

> 📝 **Note for Assembly Kits and Special Assembly Products:** When the sales order contains an Assembly Kit or Special Assembly Product line, the Linked PO option opens a branch-aware Sales Order Fulfilment screen. The screen displays componentry and source type options differently depending on whether the linked purchase order is directed to a manufacturing branch or a non-manufacturing branch / external supplier. See the [Sales Order Fulfilment / Linked Purchase Orders](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/PLACEHOLDER) page for the full branch-specific behaviour, including source type restrictions, componentry display rules, picking quantity validation, and backorder mechanics.

**Confirm/Modify Delivery Date**

Allows you to confirm and modify the sale order or quote delivery date. When **Date Is Confirmed** is enabled the order process status **DATE NOT CONFIRMED** will be changed to **DATE CONFIRMED.**

> ℹ️ If the Assembly Location feature is enabled, you will be prompted to select an Assembly Location (Not Mandatory). Upon unconfirming a delivery date, the Assembly Location on the transaction will be cleared.

**Hold/Resume Order**

**Only Available for Sales Orders **

Allows you place a sales order on hold and resume the order. To place a sales order on <span style="color: #ff5630">**HOLD**</span>, From the **Actions **menu select **Hold Order. **To take an order off hold select **Resume Order, **via the **Actions **menu.

- When **Hold Order** is selected the sales order is placed on <span style="color: #ff5630">**HOLD**</span>, and the **Order Type** is automatically updated to **Order Hold.**
- When **Resume Order **is selected the sales order is taken off <span style="color: #ff5630">**HOLD**</span>, and the **Order Type** is automatically updated back to **Order.**

> ℹ️ If the System Setting flag **OrdComHold **is enabled Sales orders with an order process status of <span style="color: #ff5630">**ENTRY NOT COMPLETE**</span>** **will be set to **HOLD** and resumed when changed to **ENTRY COMPLETE**.

**Void Order**

**Only Available for Sales Orders **- Allows you to Void an Order or mark it as lost.

**Mark as 'Entry Complete'**

Allows you to confirm that a Sales Order or Quote is complete. When **Mark as 'Entry Complete' **is selected the order process status **ENTRY NOT COMPLETE **will be changed to **ENTRY COMPLETE** and from the actions button, in the Order or Quote, the **Print Options** and **Accept** **Quote** options will be available.

> 📝 **Behaviour for orders containing Assembly Kits**
> 📝 
> 📝 For orders containing Assembly Kit products, **Mark as 'Entry Complete'** also triggers the Template Kit conversion: Frameworks generates a unique Special Assembly Product for each Assembly Kit line, locks the componentry against the new product, and creates Assembly tasks against the linked Process Model. The original Assembly Kit on the sales order line is replaced with the new Special Assembly Product code. > 📝 **Important — Branch configuration prerequisite:** Confirm **Auto-Complete Orders** is disabled at the manufacturing branch in Branch Maintenance. If enabled, the conversion may run prematurely or under the wrong conditions. **Mark as 'Entry Not Completed'**

Allows you to revert a Sales Order or Quote as not completed. This allows you to be able to make changes to the order, such as, **Edit header, Reprice, Hold Prices **and **Special Buy-ins.** The order process status will change from **ENTRY COMPLETE** to **ENTRY NOT COMPLETE**.

**Print Quote**

**Only Available for Sales Quotes - **Allows you to print a completed Quote.

**Print Options**

**Only Available for Sales Orders**

1. **Print Confirmation**: Allows you to print a confirmation of the Sales Order for the customer.

> ℹ️ The order confirmation print out does not include special Buy-In information.

> ✅ Refer to [Sales Order Related System Settings](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28381092) for more information about the flag **FWOrdConfPickComm** which allows for Picking slip comments to be added to a product'sdescription.

2. **Print Picking Slip**: Allows you to print an internal Picking Slip for the Sales Order.

3. **Print Delivery Docket**: Allows you to print the Delivery Docket from the Sales Order before releasing the order to invoice.

4. **Print Despatch Labels**: Allows you to print the despatch labels for the products you are ready to ship.

> ℹ️ - In the **Copies **field, enter the number of despatch labels you want printed.
> ℹ️ - From the **Despatch Label Format **drop-down menu select the required template for the labels.

**File Imports**

Allows you to import files to create Orders.

**Make Payment**

Allows you to make a payment for **Cash Card** (type C customers) or **COD **customers (type D customers) only. 

> ℹ️ When viewing the tendering screen from the *Make a Payment* option, the **Order Value**, **Deposit Required,** **Already Received** and **Remaining Deposit** fields are calculated based on the aggregate values of any transaction with the same transaction number, regardless of the suffix.

> ⚠️ This option is not available for Account customers.

**Split By Doors Options**

Only available when processing a transaction with Architectural Doors. You will have the option to **Split by Doors, Amend the Doors **or **Explode Doors** into their components.

**Copy**

**Only Available for Sales Orders **- This function allows you to copy the details of an Invoice (including surcharges if applicable), Quote (archived or active including won and lost quotes & quotes with a contract with products no longer assigned to it) into a new Sales Order. 

The transaction header and detail lines are copied into the new Sales Order including tallies, picking group, line comments and pricing. The new Sales Order can be repriced depending on the reprice check box.

The **Order Lines Tab** is where you can add, view and edit products that have been added to the Sales Order or Quote.

This tab has two sections:

1. The **Product Entry** section is where you are able to add products to the Sales Order or Quote.

**Add Special Product**

The **Add Special Product** option opens the **Create Special Product** window, allowing the user to create a non-standard product and add it to the current Sales Order. The Special Product is added to the Order Lines and the Product Master File with a system-generated product code (for example, ZZ00001) when saved.

**Review Previous Sales**

Allows you to review previous sales for the customer. You are able to narrow the search results by customer, by product and by setting the date to search previous sales via the **From Date** field.

Allows you copy the product line you have selected in the product grid.

**Mass Edit**

This opens the **Mass Edit** window allowing you to update the **Usage **for selected products en-mass.

**Line**

Displays the line number automatically assigned to the product in the Quote. You are able to manually edit this number for the purpose of grouping like items.

**Product No.**

Displays the product number. Click the product hyperlink to display the purchase sales information of that product.

For non-exploding kit products, the **Purchase Sales Information** window also displays the kit componentry. This includes Assembly Kit products that act as the front-end on a sales order for a custom-manufactured item, allowing counter staff to view the kit components without disturbing the kit's locked structure.

**Product Desc.**

Displays a brief description of the product.

> ℹ️ Products carrying Water Efficiency Labelling Standard (WELS) attributes have their WELS values appended automatically to the **Product Description** on each transaction line, with no prompt to the user. For the full setup and behaviour details, see [Configure Water Efficiency Labelling Standard (WELS) Attributes](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/1103003649).

**Supplier Catalog No**

Displays the preferred supplier's catalogue number for the product. This field is automatically populated from the product record and helps identify the product using the supplier's reference system.

- This field is particularly useful when communicating with suppliers about product orders

**Picking Alert**

Displays the Picking Alert message defined for the product.

---

**Product Type **

Displays the product type classification assigned to the product at the product level. 

---

**Branch Prod. Type**

Displays whether the product is classified as stocked or non-stocked at the branch level. Values are **Stocked** (the product is a stocked item at this branch) or **NOT Stocked** (the product is treated as a non-stocked item at this branch — meaning it would need to be ordered in for the customer).

This is the branch-level classification. The **Product Type** field displays the classification at the product level, which applies across all branches.

To view the stocking classification across all branches at once, click the **Product No.** hyperlink to open the **Purchase Sales Information** window and refer to the **Prod. Type** column in the **Stock Levels By Branch** section.

**Quantity**

Displays the quantity required for the given product.

> ❌ A **Red Highlight **indicates there is insufficient stock to fill the line; Frameworks checks whether the **Qty Available to Pick** is less than the quantity required for the transaction. Requires the **FWNegWarn** flag to be enabled.

**Qty UOM**

Displays the unit of measure for the given product for the transation.

> ℹ️ When [PosGtin ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28381092/Sales+Order+Related+System+Setting#PosGtin)is active, the UOM finder pop-up screen which will make available for selection GTINs enabled for **Sales?** as per the **[Units of Measure](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378114/Product+Maintenance#Units-of-Measure)** option under **Product Maintenance**

**Unit Price** 

The Unit Price is automatically populated based on the product, customer and agreed pricing structure.

> ℹ️ - If contract pricing has been applied to a product the **Unit Price **field will be highlighted in a **light blue/grey** colour.
> ℹ️ - If promotional pricing has been applied to a product the **Unit Price **field will be highlighted in a **light red** colour.

> ⚠️ If The System Setting Flag **InvAltUOM **is enabled, the **Unit Price **is not displayed.

**Sell Price **  

Displays the base **Sell Price **amount, per **Sell UOM**, for the product before any discounts are applied.

- This price is automatically populated based on the product's pricing configuration
- The sell price may be influenced by contracts, promotions, or customer-specific pricing arrangements

> ℹ️ The System Setting Flag **InvAltUOM** is required to be enabled to allow for transactions where the quantity and price use different units of measure (for example, selling 1 box of bolts at $1.00 per each)

**Sell UOM **  

Displays the unit of measure for the **Sell Price**, which can be different from the **Qty UOM** used for ordering quantities.

Displays the unit price including GST. This field shows the total price the customer will pay per unit including tax.

**Disc%**

Displays the discount percentage for the product. Defaults to 0.00 if no Disc % has been used.

---

**Disc Price**

Displays the discounted price per unit after the discount percentage has been applied. This field automatically calculates based on the **Disc%** field.

**Total Price**

Displays the total price of the product lines in the Quote/Order. This field is calculated by multiplying the discounted unit price by the quantity ordered.

- This value is used for calculating order subtotals and gross profit

If the item is covered by a contract, the contract number is displayed here.

**Pricing Method**

The product's pricing method.

---

**Usage**

If defined on the product, this displays how or where the product may be used to help break down a quote or order. For Example, **Flooring **and **Framing** may be applied to different order lines of the same **product **to better break down a quote or order.

> ℹ️ If **OrdUsagVal** is enabled the **System Settings - Flag** table, the system validates that the selected **Usage **is defined within the **Job Usages** miscellaneous table. If **OrdUsagVal **is disabled, the **Usage **field accepts free-form text.

**Picking Group**

Displays the picking group assigned to the product line. The picking group identifies which team or area picks the products, for example, the shop or yard. The field is validated against a predefined list of picking groups.

The **Picking Group** field also appears in the product entry row at the top of the **Order Lines** tab, allowing you to assign or change the picking group as you enter each product line. If a product has a default picking group configured, the field auto-populates when the product is selected. You can tab to the field and select a different picking group, or populate the field if it is blank.

The value entered is saved to the order line and passed to the picking slip.

If the **FWBundleComment** flag is enabled, the picking group and bundle details are also saved to the transaction comment field and are visible in the **Picking Status** column of the **Picking Dashboard** once the sales order is complete.

**Location**

If picking has not commenced, then the location column will display the default location (when the line is initially created on the order). If picking has commenced the location column will display as per the picking location selected.

If **LOC **feature code is enabled, the stored locations of the products that were purchased in a sales order is displayed. In addition, if the products are stored in multiple locations, each with a specified quantity, this information will also be displayed.

**Comments**

Displays any additional comments relating to this product.

---

**Unit Cost**

Displays the Unit Cost. This field is automatically populated.

**Cost Last Rcpt **

Displays the last receipted cost for the product.

> ⚠️ The column is only visible if the User has a [Cost Viewing Level](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28386196) of **Full**.

---

**GP%**

Displays the Gross Profit percentage generated/made for the sale of this product. This field is automatically populated.

---

**Partially Unit Cost**

Displays the partial Unit Cost (with the rebate included) for the sale of this product. This field is automatically populated.

---

**Rebated GP%**

Displays the Gross Profit percentage (with the rebate included) for this product Cost. This field is automatically populated. This field is displayed dependent on a user's security based on the *Frameworks Rebate Vie*w field.

**Unit Cost Average **  

Displays the average cost per unit for the product based on historical purchase costs. This field shows the calculated average from all stock receipts over time.

- The field is only visible if the user has appropriate cost viewing permissions

**Avg Cost GP%**   

Displays the gross profit percentage calculated using the average cost instead of the current or last receipt cost. This field helps analyse profitability based on average historical costs.

**Weight (kg)**

The weight of the product in kilograms.

---

**Area (m2)**

The area, in metres squared, that the product takes up. 

---

**Volume (m3)**

The volume, in metres cubed, of the product.

---

**Supplier**

Displays the products preferred supplier.

---

**Supplier Contract **  

The **Supplier Contract** checkbox indicates the availability of a supplier contract for the product. 

> ℹ️ **Note: **Supplier Contract pricing is not automatically applied to product lines and must be manually added.

> ⚠️ Requires feature code **SCP **must be active to use this functionality.

**Stock on Hand**

The current stock on hand of the product for the branch of the sales order.

**Qty Picked **

Displays the quantity of the product that has already been picked for the branch of the sales order. This field helps you track picking progress and understand how much stock has already been for picked (but not released) at the branch.

- This column is hidden by default and can be enabled through grid customisation

> ⚠️ **Important: **When **Enterprise Picking** is enabled, the Qty Picked value is automatically calculated in real-time as picking occurs. When Enterprise Picking is not enabled, you must schedule the **Calculate Product 'Qty Picked'** scheduled task to run regularly to collect and update this information

Displays the quantity of the product available to pick at the branch of the sales order. This field is automatically calculated to help you determine if sufficient stock exists to fulfil the order.

The calculation is: **Stock on Hand - Qty on Interim Invoices - Qty Picked = Qty Available to Pick**

- This column is hidden by default and can be enabled through grid customisation

> ℹ️ **Red highlighting**: When the **FWNegWarn** flag is enabled, the **Quantity** field will be highlighted in red if the quantity entered exceeds the quantity available to pick, warning you of insufficient stock.

**Is Future Price**

Enabled if the product's future price is being used.

**Pick Alert**

Click the **Pick Alert **icon to open the **Picking Alert** window, which displays the picking alert message, for the selected product line.

**Pencil**

Click the **Pencil** icon to edit the **Quantity**, **UOM**, **Unit Price**, **Disc %**, **Usage**, **Picking Group** and to add any **Comments** to an existing product line. The **Picking Group** field can also be edited directly in the product entry row when entering a new product line.

> ℹ️ When you are editing the product line, you can click the **Previous Sales** button to view any previous sales information related to the customer and product. This is handy to see what discounts you have given the customer in the past.

> ⚠️ If the System Setting - Flag **SOPUomPrcWrn** is enabled, when the UOM is changed on a product line that has a price override (pricing method), you will receive a warning message that the "Line should be repriced".

**Tally**

Click the **Tally **icon to edit timber tally quantities and lengths.

---

**Delete**

Click **Delete **to delete the product line/s from the quote.

Displays delivery information for the Sales Order/Quote and also allows you to save a new delivery address entered on the Sales Order via the **Save Address** button.

> ℹ️ The delivery address is then available in the Delivery Address finder for future orders made by the same customer and can also be maintained via the [Delivery Address Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400456)module.

**Address Lookup**

The **Address Lookup** field provides address autocomplete functionality powered by Addressify, enabling fast and accurate address entry with automatic population of address fields.

Type a street address or suburb in the **Address Lookup** field, a dropdown list displays matching address suggestions. Select an address from the suggestions, Frameworks automatically populates the **Address**, **Suburb/City**, **State**, **Post Code**, and **Country** fields with validated address data.

You can bypass the **Address Lookup** field and enter addresses manually using the standard address fields (**Address**, **Suburb/City**, **State**, **Post Code**) if the correct address does not appear in the suggestions or if you prefer manual entry.

**Format:** Text (with autocomplete dropdown) | **Required:** No (optional; you can use manual address entry instead) | **Editable:** Yes    
**Related fields:** When you select an address, the **Address Lookup** field automatically populates the **Address**, **Suburb/City**, **State**, **Post Code**, and **Country** fields

> ⚠️ **Availability:** The **Address Lookup** field only appears when Addressify integration is enabled and activated by your system administrator. If the field is not visible, use manual address entry through the standard address fields.

**Address, Suburb/City, State**

Automatically populated based on the customer selected via the** Deliver To** field above, if defined in [Delivery Address Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400456), or enter the address details.

For Example:

- If the **Desp. Method** is a **Customer Pick-up**; it defaults to customer pickup.
- If the **Desp. Method** is a **Delivery**; the delivery address will be shown via Google map.

> ℹ️ Postcodes for validation (eg Getswift, Dettrack) need to be entered in the suburb field eg "Erina 2250".

**Instructions**

Defaults to the Instructions provided (if defined in the *Instructions* field in [Delivery Address Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400456)) or type any instructions regarding the delivery.

**Contact Name**

Enter the contact’s name for the delivery or search for existing contact/s via **Search**.

If adding a new contact, click **Save Contact**. This contact is saved to the Customer's Contact lists (available from the** Contact Finder** screen) for future reference.

> ℹ️ If System Setting - Flag **OrdSFName** is enabled a first and last name needs to be entered.

> ℹ️ You can create and maintain customer contacts directly in the **Delivery Details** tab. If the **AutoPopCCBar** flag is enabled, a contact barcode is automatically generated for new contacts or when editing contacts without a barcode. If disabled, contacts are saved without a barcode, which can be added later in the [Customer Dashboard](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378750).

**Contact Phone**

Enter the contact phone number for the delivery.

> ℹ️ Phone number validation can be configured for to ensure only valid phone numbers are entered when editing. The following [Sales Order Related System Settings](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28381092) are required:

### 3. Header Tab

Displays the header information for the Sales Order/Quote.

**Ordered By**

Displays the User ID who created the Quote/Order.

**Status**

Displays the status of the Quote/Order. That is, **Blank**, **New**, **Complete** or **Cancelled**.

**Assignee**

Displays the current Assignee for the quote. For newly created back orders, the assignee is automatically set to the original order assignee. 

- Click the **Assign To Me **button to update the assignee as the current user.
- Click the **Pencil **icon to **change the assignee** and click **Save**.

> ℹ️ A notification will appear on the new assignee's Notification screen *"<userid> has assigned Quote nnnnn to you"*, informing them of the order number and from whom it was assigned.

**Date Ordered**

Displays the date the Quote/Order was raised.

**Quote Expiry**

**Only available for Sales Quotes** Displays the date the Quote will expire. Defaults to the expiry date setup on the Company record, however, adjust as necessary via the date finder.

**Original Deliv Date**

Displays the original delivery date first stored in Frameworks.

**Linked Transfer**

Displays the linked Purchase Order attached to the Sales Quote/Order if applicable.

**GST**

Displays the Sales Quote/Order GST amount. This value cannot be modified.

---

**Pick List Print#**

Displays how many picking lists have been printed.

---

**Hide Quote Line Pricing on Web**

**Enable** to hide the quote line pricing in the trade portal on the web.

---

**Export Sale**

**Enable** if the goods are being exported outside of the sold country (GST Exempt). 

---

**Online Sale**

This checkbox will be **enabled **if the transaction is a **Web **sale, for example, your websites ecommerce site.

---

**Project**

 Auto-populates from the selected** Job **field.

### 4. Diary Notes Tab

Allows you to [Create a Diary Note](https://kb.myframeworks.com.au/space/CO/30516256) and also displays any existing diary notes for the Quote/Order.

### 5. Messages Tab

Allows you to [Create a Quote Message](https://kb.myframeworks.com.au/space/CO/30526610/Create+a+Quote+Message) related to the sales order/quote and also display any existing messages for the transaction. The message/s are then printed out on the bottom of the Sales Quote.

**Line**

Displays the line number automatically assigned to the message. You are able to manually edit this number for the purpose of grouping like items.

### 6. Tasks Tab

Allow you to view any **Tasks **and their progress that have been assigned to the Sales Order/Quote.

### 7. Extra Charges Tab

The **Extra Charges** tab displays all additional fees that have been applied to the sales order or quote, either automatically by the system based on configured charge rules or manually added by an authorised user. Charges in this tab are included in the order total and appear as line items on the customer invoice when the order is invoiced.

The **Record Type** column identifies whether each charge was applied automatically or added manually. Use the **Add Charge** button to manually add a charge from the configured charge list.

**Extra Charge Id**

Displays the unique code identifying the extra charge type. The **Extra Charge Id** value corresponds to the charge code configured in **Extra Charges Maintenance**.

**Description**

Displays the name of the extra charge as configured in **Extra Charges Maintenance**. The **Description** value appears on printed and digital customer documents including invoices and receipts.

**Customer Type**

Displays the customer type criterion from the charge rule that triggered this charge. This reflects the customer type condition configured in **Extra Charges Defaults** that was matched when the charge was applied to the transaction.

---

**Despatch Method**

Displays the despatch method criterion from the charge rule that triggered this charge. This reflects the despatch method condition configured in **Extra Charges Defaults** that was matched when the charge was applied to the transaction.

---

**Delivery Area**

Displays the delivery area criterion from the charge rule that triggered this charge. Blank indicates the charge rule was not restricted to a specific delivery area.

---

**Post Code**

Displays the postcode criterion from the charge rule that triggered this charge. Blank indicates the charge rule was not restricted to a specific postcode.

**Method**

Displays the calculation method used for this charge, as configured in **Extra Charges Defaults**. The method is either **Fixed Value** (a flat fee) or **% of Order Value** (a percentage of the transaction total).

---

**Factor**

Displays the flat fee amount or percentage used to calculate the charge, as configured in the matching **Extra Charges Defaults** rule. When the **Method** is **Fixed Value**, this is the dollar amount. When the **Method** is **% of Order Value**, this is the percentage applied.

---

**Per Delivery**

Indicates whether this charge applies on each individual delivery or once per transaction. A ticked checkbox indicates the charge applies per delivery.

---

**Minimum Charge**

Displays the minimum dollar amount configured for this charge rule. When the **Method** is **% of Order Value** and the calculated amount is less than the minimum, the minimum amount is charged instead. Displays $0.00 when no minimum is set.

---

**Maximum Charge**

Displays the maximum dollar amount configured for this charge rule. When the **Method** is **% of Order Value** and the calculated amount is more than the maximum, the maximum amount is charged instead. Displays $0.00 when no maximum is set.

---

**Date From**

Displays the start date of the charge rule that triggered this charge. Blank indicates the rule has no start date restriction.

---

**Date To**

Displays the expiry date of the charge rule that triggered this charge. Blank indicates the rule has no end date restriction.

---

**Added Charges Exclusive**

Displays the tax-exclusive dollar amount of this charge as applied to the transaction. This is the charge amount before GST or applicable tax is added.

---

**Added Charges Inclusive**

Displays the tax-inclusive dollar amount of this charge as applied to the transaction. This is the charge amount including GST or applicable tax.

---

**Total Added Charges**

Displays the cumulative total of all extra charges applied to this transaction, inclusive of tax. This value contributes to the order total displayed in the Totals section of the screen.

**Record Type**

This column identifies how each charge was applied to the transaction. **Auto** for charges applied by the system based on configured rules and **Manual** for charges added manually by a user.

## 6. The Totals

This section displays **totals** related to the Sale Order or Quote for a quick overview. 

The total values displayed are:

- **TOTAL EXC**: This is the GST Exclusive amount.
- **TOTAL INC**: This is the GST Inclusive amount.
- **GP%**: This is the gross profit % of the order.
- **DELIVERY FEE**: Any delivery fees.
- **EXTRA CHARGES**: The total of extra charges applied.
- **TOTAL WEIGHT **and **TOTAL VOLUME **of the order or quote.

## 7. The Command Buttons

The command buttons allow you **Save** or **Cancel** any changes made and **Close **the sales order screen
