# Overview

From the **Customer Order Maintenance** screen, you can view and edit the details of a customer order. 

# Accessing Customer Order Maintenance

To access **Customer Order Maintenance**, complete the following:

1. Click the **Frameworks Menu** and navigate to **Sales** > **Transaction Processing** > **Customer Orders** from the navigation tree.
2. Fill in the necessary search fields, or leave blank to return a full list of customer orders, and click **Find**.
3. Click the **Order** hyperlink of your desired customer order to open the **Customer Order Maintenance** screen and maintain your order.

# Navigating Customer Order Maintenance

The **Customer Order Maintenance** screen is made up of 3 main sections:

1. The Order Details Header
2. Order Lines Entry
3. Action Buttons

## 1. The Order Details Header

The order details header contains the customer order details including:

- The customer order and order reference number and the subsequent sales order number once the customer order is completed.
- The customer number.
- The customer order, sales order and agreed price.
- The supplying branch.
- The required date.

| **Field** | **Description** |
| --- | --- |
| **Central Order Number** | An automatically generated number is assigned to the order upon creation. |
| **Sales Order Number** | If the customer order is connected to a sales order, its number is displayed here. |
| **Customer Number** | The customer's number. The customer's name is displayed alongside this field. |
| **Order Reference** | The order reference number. This number must be unique.<br>> ⚠️ If the order number already exists, a warning is displayed. Click the > Macro (inline-media-image)
> ⚠️ 
> ⚠️  button to view the matching orders. |
| **Cust Order GST Ex/Inc** | The total of the customers order excluding and including GST. |
| **Our Order GST Ex/Inc** | The total of your order excluding and including GST. |
| **Transaction Description** | The transaction description. This text comment will stay with the order as it progresses to a sales order.<br>> ℹ️ It will be located under the **Header** tab within the [Sales Order Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408932) screen |
| **Supply Branch** | The supplying branch. Select a branch from the dropdown menu. |
| **Required Date** | The date the order is to be delivered by. |
| **Agreed $ (GST Ex/Inc)** | The agreed pricing as negotiated with the supplying branch. |

Once attached to the Customers Order, and the Order has been marked as **Complete**, it will be available within the **Sale Order** and then the **Invoice** as the transaction progresses.<br>> ✅ Refer to the [Header ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28384642) User Manual for more information on accessing an orders attachment. |
| **Section** | The category the order belongs to. Enter a section code or use the > Macro (inline-media-image)

 or > Macro (inline-media-image) | Click the **upload** icon to open the **Attachments **window and attach files and documents related to the Customer Order.<br>- Click the **paperclip** icon, if there are files or documents already attached to the Customer Order.<br>> ✅ Refer to [Attachments](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30529422) for more information. |
| **Status** | The order status. |
| **Assignee** | The user the order is currently assigned to. All notifications regarding the order will be directed to this user. |
| > Macro (inline-media-image)

/> Macro (inline-media-image) | Allows you to change the assignee of the order and/or add notes to the order. |
|  | Open the **Customer Order Reprice** window and apply a discount, contract or discount group to the order.<br>> ✅ Refer to [Repricing a Customer Order](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30509146) for further information. |
|  | Open the **COP - Mass Edit** window and assign products specific area within a job selection. |
|  | Completes the order and creates the required sales order.<br>> ⚠️ For the customer order to be completed, all mandatory fields must be completed correctly. |
|  | Cancels the order. |

## 2. Order Lines Entry

The Order Lines Entry section has 4 tabs. Expand the sections below to learn more:

### 1. Order Lines Tab

The **Order Lines **tab contains a list of the products added to the order. From here you can:

- Click the **Cust Product** hyperlink to open the **Customer Order Line Maintenance** window and edit each order line.
- Click  to open the **Customer Order Line Maintenance** window and add a new order line.
- To remove an order line, select the desired product and click .

| **Header** | **Description** |
| --- | --- |
| **Cust Product (Customer Order)** | The customer product's ID. |
| **Description** | The name of the customer product. |
| **Price** | The price of the customer product. |
| **Product (Our Order)** | The corresponding product ID for the sales order item. |
| **Description** | The product description. |
| **Usage** | The product's assigned usage. |
| **Line Sell Ex **and** Inc** | The product's line sell price excluding and including GST. |
| **Comment** | Any comments added to the product line are displayed here. |
| **Amount (Variation)** | The variation amount between the inputted customer product and the matching Frameworks product. |
| **%** | The variation percentage between the inputted customer product and the matching Frameworks product |
| **GP %** | The gross profit percentage. |
| **Price Method** | The pricing method. |
| **Msg** | An automatically generated message that alerts the user of any issues regarding the product's pricing, quantity and other details.<br>> ❌ Order lines with an **Invalid Tally Quantity **( a negative tally quantity) will stop the Customer Order from being completed. You will need to access the **Tally Maintenance** window to edit this via the **Customer Order line Maintenance **window |

To use the **Customer Order Line Maintenance **window, complete the following:

- In the fields on top, input the details contained within the file sent to you by your customer.
- Click  to find the matching product in the Frameworks system.
- Click  to add a special product to the order.
- If no products in the Frameworks system are matched to the customer product, enter a product's details into the **Order Lines** fields.
- Click  to match the order product's price to the customer product's price.
- Click the or  icon to edit the matching product line or use the icon to remove the product line.
- Click  to finalise the match and add the product to the order.

 2. Order Line Pricing Tab

The **Order Line Pricing** tab shows the product pricing in more detail.

| --- | --- |
| **Cust Product** | The customer product ID. |
| **Description** | The customer product description. |
| **Price** | The customer product's price. |
| **Product ** | The matching Frameworks system product. |
| **Description** | The product's description. |
| **Unit Sell Inc** | The matching product's selling price including GST per unit. |
| **Disc %** | Added discount percentage. |
| **Line Sell Ex/Inc** | The total line sell price including and excluding GST. |
| **GP %** | The gross profit percentage. |
| **Price Method** | The pricing method. |
| **Source** | How the product was added to the order. |
| **Lead Time** | The lead time for the product. The lead time is the amount of time between the creation of the order to its receival. |

### 3. Despatch Data Tab

The **Despatch Data **tab contains the delivery information.

| **Field** | **Description** |
| --- | --- |
| **Desp. Method** | Select the appropriate despatch method from the dropdown menu. Despatch methods are unique to a customer's business. |
| **Delivery Date** | The required delivery date. Enter the date or use the > Macro (inline-media-image)

 icon. |
| **Requested Time** | Type the time the customer is requesting the delivery to be made. Select an option from the dropdown > Macro (inline-media-image)

 menu. |
| **Delivery Time** | The time the product(s) will be delivered. |
| **Fixed Time** | Enable if this time is fixed. |
| **Deliver To ** | The address the product(s) will be delivered to. |
| **Instructions** | Type any instructions regarding the delivery. |
| **Contact Name** | Type the contact name or use the > Macro (inline-media-image)

 icon. |
| **Contact Phone** | The contact phone for the delivery. |
| **Type of Load** | Select the appropriate type of load from the dropdown > Macro (inline-media-image)

 menu. |
| **Has Phoned** | Ticked if the customer has phoned about the impending delivery. |
| **Delivery Area, Map Ref & Map Xref** | - If a non-pickup** Desp. Method **has been selected, automatically populates if a Map Ref has been defined for the Delivery Area, otherwise select the appropriate Delivery Area.<br>- If a pickup** Desp. Method **has been selected, select the appropriate Delivery Area.<br>> Macro (include) |
| **Delivery Fee** | Automatically populated based on **Delivery Area**. Adjust as necessary. |
| **Comments** | Any special comments regarding the delivery. |

### 4. Diary Notes Tab

Contains a list of diary notes added to the customer order including the date they were added and the user who added them.

- Click > Macro (inline-media-image)

 to create a new diary note.

## 3. Action Buttons

### New Button

- Click > Macro (inline-media-image)

 to create a new customer order.

> ⚠️ Be sure to save any changes made to the currently opened customer order. Any changes will be discarded upon the creation of a new order.

### Save Button

- Click > Macro (inline-media-image)

 to finalise any changes made to the customer order.

### Delete Button

- Click > Macro (inline-media-image)

 to delete the currently opened customer order.

### Close Button

- Click > Macro (inline-media-image)

 to close the **Customer Order Maintenance** screen.
