Before the **Work Orders **functionality can used the following system administration configurations must be completed.

# Feature Code

# <span style="color: #172b4d">Security Group Maintenance </span>

<span style="color: #333333">From the Frameworks menu navigate to </span>**System Administration > Users & Security > Users > Security Group Maintenance **<span style="color: #333333">and then ensure the following </span>**Activities**<span style="color: #333333"> are added to your Users required Security Groups. Tick the access as required for the security groups.</span>

# System Settings 

## Flags

From the Frameworks menu navigate to **System Administration > System Setup > Configuration > System Settings - Flags **and then search for** System Setting - Flags** and define, as required, following system flags.

## Amounts

From the Frameworks menu navigate to **System Administration > System Setup > Configuration > System Settings - Amount **and then search for** System Setting - Amount **and define, as required, following system amounts.

Labour Setup

The labour setup allows you to define the **Roles **for your resources, your **Labour Resources** and their defaults, and the **Rate types **to be used when completing the work orders.

- Click the **Frameworks Menu** then navigate to **Work Orders > Labour Setup **from the navigation tree.

## Roles

1. Click the **Roles **tab and then click **Add** to create a new role.  
In this table, you will be able to define the role **Code** and add a **Description **of the role.

## Labour Resources 

1. Click the **Labour Resources **tab and then click **Add** to create a new labour resource (tradesperson/employee).

> ⚠️ Labour resources do not add to your user License count.

In this table, you will be able to define each **Resource **and define their default **Code** and add a **Description **of the role.

Rate Types

1. Click the **Rate Types **tab and then click **Add** to create a new rate type.  
  
In this table, you will be able to define the rate type **Code** and add a **Description, **such as double time, standard rates etc:

# Labour Rates Maintenance

The labour rates maintenance allows you to define the customer cost and charge out rates per resource per labour type.

> ℹ️ You can have more than one labour rate charge per customer, such as 1st year apprentice, 2nd year apprentice rates.

1. Click the **Frameworks Menu** then navigate to **Work Orders > Labour Rates Maintenance **from the navigation tree.
2. Click **New** to add a Customer Labour Rate.
3. Enter the following fields as required:

| **Customer** | Search and enter the customer you wish to setup labour rates for.<br>> ⚠️ You can use customer '0' as a generic customer which will apply the configured rates to all customer unless they specifically have their own rates defined under **Labour Rates Maintenance** |
| **Role** | Search and select the Role Type, as setup under [Work Orders - Setup and Configuration#laboursetup](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28407178/Work+Orders+-+Setup+and+Configuration#%5BinlineExtension%5DLabour-Setup) |
| **Rate Type** | Search and select the Rate Type as setup under [Work Orders - Setup and Configuration#ratetype](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28407178/Work+Orders+-+Setup+and+Configuration#%5BinlineExtension%5DRate-Types) |
| **Hourly Cost** | Enter the Hourly Cost rate for the nominated Role/Rate Type. |
| **Hourly Charge Out** | Enter the Hourly Charge Out rate for the nominated Role/Rate Type. |

<span style="color: #003366">Product Setup</span>

<span style="color: #000000">Labour, Material, Expense, and Fixed Price Products need to be setup in </span><span style="color: #000000">[Product Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378114)</span><span style="color: #000000"> which will then be used in </span>[<span style="color: #000000">Work Orders - Setup and Configuration#psconfig</span>](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28407178/Work+Orders+-+Setup+and+Configuration#%5BinlineExtension%5DProject%2FService-Configuration)<span style="color: #000000"> below.</span>

- <span style="color: #000000">Products should be set as </span>**<span style="color: #000000">Miscellaneous Type</span>**<span style="color: #000000">, and </span>**<span style="color: #000000">Stocked</span>**<span style="color: #000000"> at Branch Level, with $0 cost and sell.</span>

Example Products setup is:

- **Labour Products** are used to roll up the total value of all labour logged against the job. Labour is then charged out as one lump sum using this product code.
- **Material Products **are only used to manage material costs on Project Orders.
- **Expense Products **are used to roll up the total value of all 3rd party expenses logged against the job. Expenses are then charged out as one lump sum using this product code.
- **Fixed Price Products **are used for Service and Workshop Orders where the quoted price is exactly what the customer will pay. There is no rolling up of individual labour, material or expense costs when using these products.

Project/Service Configuration

The labour setup allows you to define the **Roles **for your resources, your **Labour Resources** and their defaults, and the **Rate types **to be used when completing the work orders.

Under Work Orders - Project/Service Configuration setup the GL accounts and products for each transaction type in the **GL Accounts** tab:

- Click the **Frameworks Menu** then navigate to **Work Orders > Project/Service Configuration **from the navigation tree.

## GL Accounts

1. Click the **GL Accounts** tab and then click **Add** to create the GL accounts and products for each transaction type.

> ℹ️ Each branch can have one GL account definition per transaction type.

| --- | --- |
| **Company** | If multi-company, select the company associated with the GL allocation. If single company this field will default. |
| **Transaction Type** | Select the transaction type from the available options - Workshop, Project, Service. |
| **Active** | Enable to activate the transaction type for that branch |
| **Branch** | Select the branch the GL account configuration is for. |
| **WIP GL Acct** | Enter the GL account where all completed work order entries will be posted to |
| **Labour GL Acct** | Enter the GL account where all completed time sheet entries will be posted to |
| **Expense GL Acct** | Enter the GL account where completed expense entries will be posted to |
| **Product Group** | Enter a default Product Group that the GL stock account postings will be allocated to.<br>> ℹ️ When committing stock in or out, frameworks will use Product's Product Group to identify GL Stock Account to post as opposed to the Project/Service Configuration. |
| **Labour Product** | Enter the default labour product as defined above under [Work Orders - Setup and Configuration#prodsetup](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28407178/Work+Orders+-+Setup+and+Configuration#%5BinlineExtension%5DProduct-Setup) |

## 3rd party Expense Types

1. Click the **3rd party Expense Types** tab and then click **Add** to define any third party expense types here including the markup % for each type

# <span style="color: #000000">User Maintenance</span>

<span style="color: #000000">If users are dominantly entering in Work Orders you can define </span>**<span style="color: #000000">Default Sales Transaction Type</span>**<span style="color: #000000"> per user. </span>

> ℹ️ <span style="color: #000000">This is optional and blank is an acceptable default value.</span>

<span style="color: #000000">When a new transaction is created within SOP the transaction will default to the defined value in user maintenance. If blank, the user will need to select a transaction </span>**Type**<span style="color: #000000"> from the drop-down list in SOP.</span>

# Event Notification

When a Work Order is assigned to a user for completion they can be set up to receive notifications via sms, email, or via the Frameworks home page.

## <span style="color: #003366">Notification</span>

1. Enter the condition** task:taskId gt 0** (This ensures that only valid tasks are processed).
2. In the **To:** field enter **{task:taskAssignee}**
3. The **Subject** and **body** may be set to whatever messages the user should see, for example:

> ⚠️ To enable the SMS function customers must have **SNA** enabled, Refer to [Frameworks Automated Notification System](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28381066) for more information.

1. Enter the condition **task:dateDue eq today** (This ensures that only tasks allocated for ‘today’ send an sms).
2. In the **To:** field enter **{task:mobilePhone}@**[**somewhere.com**](http://somewhere.com)**  **(This would be set to the sms to email system defined at the customer).

> ⚠️ Ensure you trim the agents once you have created the new event notification task. Refer to [How do I trim the agents in Frameworks?](https://sterkb.atlassian.net/wiki/pages/createpage.action?spaceKey=FFAQ&title=How%20do%20I%20trim%20the%20agents%20in%20Frameworks%3F)
> ⚠️ 
> ⚠️ If a task is assigned to a user with a due date of the current date, the system needs to generate a notification even so that the assigned user can be sent an SMS.

<span style="color: #003366">Configure Tasks</span>

Tasks can be created and then viewed in a calendar view to help manage your resources.

1. Under **Production Scheduling > Maintenance > Standard Task Maintenance** define the task.

2. Under **Production Scheduling > Maintenance > Process Model Maintenance** create a process model and add the task to it. Define the timing of the tasks using the **Days Due**, Relative To and **Milestone **fields.

3. Under **Inventory > Maintenance > Product Maintenance** find the product you will be adding to the service, project or workshop order. In the Product Branch Stock section assign the Process Model to the product in the Manufacturing Model. When this product is added to the order, the task that's in the process model will be created based on the defined timing.
