# <span style="color: #172b4d">Overview</span>

<span style="color: #333333">A User Group allows Users with the same access requirements to be grouped by assigning their User ID to User Group(s). </span>

> ℹ️ This process explains how to create a new user security group and define the menu items and activities the user group requires access to.

# Creating a New User Security Group

To create a new user security group and define the activities, perform the following:

### 1. Navigation

Click the **Framework Menu**, then navigate to **System Administration > Users & Security > Users > Security Group Maintenance** from the navigation tree.

### 2. Create User Security Group

1. Click **New** to open up the **New Security Group **window.
2. In the **New Security Group **window enter the following:
  - **Security Group**: Enter a unique name for the security group.
  - **Description**: Enter a description of the security group.
  - **Can use Spooler**: Tick if you want the users to have access to the spooler file.
  - **Password Will Not Expire**: For security reasons, we recommend leaving this unticked.

> ⚠️ For security reasons, we recommend all users have a strong password that expires at least every 90 days.

3. Click **Save** to create the security group.

### 3. Define the Security Group Access

Once the **Security Group **has been created you will need to define the menu items and activities the group requires.

1. From the **Security Group Maintenance **search window, click on the newly created **Security Group** hyperlink.
2. Under the **Menu **tab click on the **menu item** hyperlink, the user group requires access to.
3. In the **Security Group Access** window
  1. Enable the **top-level menu item**, to view the item in the Frameworks Menu.
  2. Enable all the other **activities** and **options** the user group requires access to.

> ℹ️ You need to tick each activity and option individually. Related **finders** will automatically be enabled in the background.

4. Click **Save** to commit the changes.

> ℹ️ If you have selected or unselected activities that are used multiple times you will be advised. Click **Yes - Perform Save** and these activities will be authorised across Frameworks for the user group.

5. Repeat for each menu item.

# Copying a User Security Group

To copy a user security group to another security group, perform the following:

> ℹ️ If you are wanting to create a new security group based on an existing security group, ensure that you have created the new empty security group first.

1. Click the **Frameworks Menu**, then navigate to **System Administration > Users & Security > Users > Security Group Maintenance** from the navigation tree.
2. Click **Copy Security Group** to open up the **Copy Security Group **window.
3. In the **Security Group From **field enter the security group name you want to copy the **Security Group Access** from.  
In the **Security Group To **field enter the security group name you want the **Security Group Access** to be added to.

> ℹ️ Click the **Search** icon to open the **Security Groups Finder **and select the security groups you require.

4. Click **Copy** to commit the copy.
5. Click the **Security Group **hyperlink to open, check and modify the access for the security group which has been copied into.
