# Overview

The **Synchronise Contracts Scheduled Task** will copy all contract pricing from the selected company (the parent company) to all your other companies in the database. This will allow you to quickly update your national and customer contracts across your companies from the company that has been nominated as the parent company to manage ALL your national and customer contracts.

> ⚠️ Only **National** and **Customer** Contracts will only be synchronised.

## What happens once the Synchronised Contracts Scheduled Task has been run?

On running the scheduled task, the following will occur:

- All **National** and **Customer Contracts** will be copied from the **nominated company** to all other companies in the database, appending the destination company number to the end of the contract ID to keep them unique.

> ℹ️ **For Example,** you have 3 companies defined within Frameworks.
> ℹ️ 
> ℹ️ 1. A National/Customer Contract **TRADE1** (parent contract) is created in **Company 1** (The nominated parent company managing ALL your contracts).
> ℹ️ 2. The Synchronised Contracts Scheduled Task is run with the selected company as **Company 1.**
> ℹ️ 3. The **TRADE1 **contract will be copied over to your other 2 companies and their contact id will be updated to:
> ℹ️   1. **Company 1** (Parent Company) = **TRADE1 **(Parent Contract) - *Stays the same.*
> ℹ️   2. **Company 2** (Child Company) = **TRADE1-02 **(Child Contract).
> ℹ️   3. **Company 3** (Child Company) = **TRADE1-03 **(Child Contract).
> ℹ️ 4. When updating the contracts, make the changes to the parent contract (**TRADE1**) and re-run the Synchronised Contracts Scheduled Task for the parent company (**Company 1**).
> ℹ️ 5. All the child contracts will be overwritten with the details in the updated parent, **APART** from the list of customers already on the contract in the destination company. If there have been any changes made to a child contract they will be deleted and recreated as per the parent contract.  If additional customers have been added to the child contract then those customers will be retained on the contract after the sync process.

## What to look out for?

- When a contract is copied out to the other companies, any existing contract with the same contract ID will be completely replaced. ie deleted and recreated.
- <span style="color: #222222">Be aware that any pricing you want to keep unique in the other companies should be placed into differently named contracts so they're not overwritten. </span>
- <span style="color: #222222">Always run the Synchronised Contracts Scheduled Task for your nominated parent company, or you will create additional contracts based on the contracts from the other selected company. For example, if Company 1 is your nominated parent company, do NOT run the task for Company 2, as TRADE1-02 will become TRADE1-02-01 in Company 1 (</span>*<span style="color: #222222">as referred to in the above example</span>*<span style="color: #222222">).</span>
- <span style="color: #222222">If you already have parent/child national contracts between companies with exactly the same contract IDs, then you will want to perform the following steps after the first sync</span>
  - <span style="color: #222222">If there are any prices in the previous contract in the child company that you want to retain, add them to the parent contract before the next sync (this also applies to customer contracts)</span>
  - <span style="color: #222222">If there are any customers on the previous contract in the child company that you want to retain, add them to the new child contract that has the company suffix. This will retain them in the child contract for subsequent syncs</span>

> ⚠️ When running the **Synchronise Contracts Scheduled Task **for the first time there may be a number of redundant contracts in the other company(ies). These will need to be removed after the first synchronization to save double-ups and confusion.

# Synchronizing Contract Between Companies  

To synchronise National and Customer contracts between companies, perform the following:

1. Click the **Frameworks Menu**, then navigate to **System Administration > Task Scheduler > Schedulable Tasks > Synchronise Contracts Scheduled Task **from the navigation tree.
2. From the **Report Criteria **tab, in the **Company **field, enter the nominated parent company id or click the **Search** icon to open the **Company Finder** window.

> ℹ️ Enabled by default, the **Report Only **checkbox allows you to produce a report only of the changes to be made without processing the changes themselves.

3. Click the **Schedule** tab. The scheduled task is defaulted to run **One Time** and is set to run at the *current system date and time*.

> ℹ️ If you are performing a large task you might want to delay the import to not impact performance. To do this update the **Start date** and **time** or use the **Date Picker** icon to search for an appropriate date and time to run the task.

4. Select the task notification options to **send a notification** or **send an email** once the scheduled task has run.
5. Click **Submit** to schedule and/or run the task. An information box will pop up advising that the task has been submitted. Click on **OK.**
6. On the **Output** page, under the **Generated Reports** section, click on the **reports** links to review the import.

> ⚠️ If the** Report Only** option was enabled and there were no errors in the generated report click **New** and repeat the above and disable **Report Only**.
> ⚠️ 
> ⚠️ If there were any errors in the generated report, resolve the errors before importing and possibly run the report only option until it is error-free.
