# Overview

The **Ledger Chart of Accounts Import **option allows you to download or your current chart of accounts to make changes and reimport and/or setup new accounts via a .CSV file. The import also allow you to perform a report only import to test the import for errors.

> ⚠️ The following information MUST exist in your Chart of Accounts before you can run the Ledger Chart of Accounts Import task: Account Categories, Account Instances, Account Types, Account Sub Types, Analysis Codes, Cost Centres, Divisions and Account Classifications.

# Accessing the Chart of Accounts Import

To access the **Chart of Accounts Import**, perform the following:

1. Click the **Frameworks Menu, **then navigate to **General Ledger > Maintenance** > **Ledger Chart of Accounts Import **from the navigation tree.
2. The **Ledger Chart of Accounts Import **screen will open the **Import Criteria **tab.

# <span style="color: #003366">Downloading a Chart Of Accounts Template</span>

To make it easier to import a chart of accounts, you can download a template. By downloading a template, you will ensure that you have the correct fields available to update and/or modify. To download a template, from the** Import Criteria **tab, perform the following:

1. From the **Update Field **menu, select which fields you want to update/import. By default all the fields are selected; hold the **CTRL** key down to select multiple fields.
2. Click **Download Template** to download the.csv template (chart.csv) that will include all of the chart of accounts fields based on the above selections.

> ℹ️ Enable the **Template Only: (No Data)** to download a blank .csv file (column headers only) tha can be used to populate and import new chart of accounts data.

3. Open up the downloaded.csv template (product.csv) and add/edit the required product fields in the file.
4. **Save **the file, keeping the.csv file format ready for importing.

# Uploading Chart of Accounts Import

<span style="color: #333333">To upload and import the edited chart.csv file from the</span>** Import Criteria **<span style="color: #333333">page, perform the following:</span>

1. Click **Upload CSV** and choose the file created in the above steps, and then click the** Upload** button. Once the.csv file has been uploaded next to **Import File, it** will display the filename that is going to be imported.
2. Set the import options:
  - Enable** **the** Create missing Reporting Chart Records** checkbox if you want Frameworks to create missing chart records.
  - Enable the** Report Only **checkbox** **to confirm the changes before importing, or **disable** to import the changes into Frameworks.

3. Click the **Schedule** tab. The scheduled task is defaulted to run **One Time** and is set to run at the *current system date and time*.

> ℹ️ If you are performing a large import you might want to delay the import to not impact performance. To do this update the **Start date** and **time** or use the **Date Picker** icon to search for an appropriate date and time to run the task.

4. Select the task notification options to **Send a notification** or **Send and email** once the import has run.
5. Click **Submit** to import the .csv file. An information box will pop up advising that the task has been submitted. Click on **OK.**

On the **Output** page, under the **Generated Reports** section, click on the **report** links to review the import.

> ⚠️ If the **Report Only** option was enabled and there were no errors in the generated report repeat the above and disable the **Report Only.** If there were any errors in the generate report, resolve the errors before importing and possibly run the the report only option until it is error free.

If you receive a message indicating there were errors updating the Chart Of Accounts, click the **ledgerChartImport.html** and the **errors.csv** links to view the detailed reports & then correct the Chart Of Accounts import file.

<span style="color: #003366">Correct errors with the planned Chart Of Accounts Import</span>

To correct errors with the .csv import file, perform the following:

1. After you have completed the **Report Only** Chart of Accounts import from the **Output **tab open the **ledgerChartImport.html** file and look for errors.  Refer to the table below for guidance on how to correct the issues in the import file.

| **Error** | **How to correct the error** |
| --- | --- |
| Invalid BAS code entered [*n*] (ERROR) | The account listed has an invalid BAS code defined. Go back to the import template/file & ensure you have added a valid BAS code for every account listed in the .csv. The **System - BAS Codes **miscellaneous table records valid system BAS codes. Refer to [System - BAS Codes ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28405242) for further information. |

> ℹ️ If the report lists an account with **Success** = *Yes* and **Notes** = *Will be Updated*, you can assume that that those accounts will import successfully without any issues.

2. Open the **errors.csv **file and look for errors, then correct them in the import file.

3. Once the error has been resolved and the **Report Only** Chart of Accounts import/s confirms there are no more errors, then per the [uploadCOA](#) with **Report Only **disabled.
