**Approve a Credit Order** explains how to review and approve sales orders that are on hold due to a customer's credit status. Orders requiring approval can't be picked and released until they've been authorised in the **Order Credit Approval** screen.

An order requires credit approval when:

- The customer has exceeded their credit limit.
- The customer's credit status is **S** (Suspended) or **H** (Held).

Customers with a credit status of **H** (Held) must be taken off credit hold in **Customer Maintenance** before their orders can be approved.

## Screen Access

From the **Frameworks Menu**, navigate to **Receivables > Transaction Processing > Order Credit Approval**.

> 📝 To use the **Order Credit Approval** screen, users must have the following permissions configured in **User Maintenance**:

> 📝 - **Approve Credit** — must be enabled to authorise orders.
> 📝 - **Credit Approval Limit** — sets the maximum order value the user is permitted to approve. Orders exceeding this limit can't be authorised by the user.

## Steps to Approve a Credit Order

1. Use the search fields to filter orders and click **Find**.

2. Select an order from the results grid to display its details.
3. Review the **Order Details**, **Account Details** and **Delivery Details** panels.

4. If needed, add or review notes on the **Diary Notes** tab.
5. At the bottom of the **Order Credit Approval** screen, choose one of the following:

| **Button** | **What it does** |
| --- | --- |
| **Authorise** | Approves the order. The order must still be picked and released separately. |
| **Authorise and Release** | Approves the order and immediately releases it for picking in a single action. |

If the **OrdFrcAuth** flag is enabled, you'll be prompted to enter your password before the authorisation is processed.

### Result

Once authorised, the order is removed from the **Order Credit Approval** screen immediately. If you selected **Authorise**, the order is approved and can proceed to pick and release. If you selected **Authorise and Release**, the order is also immediately released for picking.

## Declining an Order

If you choose not to approve an order, don't authorise it. Manage the order, including editing or deleting it, through the **Sales Orders** screen.

## Guidelines for Assessing Credit

When a customer has exceeded their credit limit, consider the following before approving:

- If the risk is **acceptable**, approve the order using the authorisation options at the bottom of the **Order Credit Approval** screen.
- If the risk is **unacceptable**, decline the approval, inform the customer and follow your company's credit management policy.

It's recommended (but not required) to add a diary note to orders that go through credit approval. Use the **Diary Notes** tab on the order record to add or view notes.

## Search Fields

| **Field** | **Description** |
| --- | --- |
| **Company** | Select the company you want to view orders for. Defaults to your session company. Select **All Companies** to view orders across all companies your user account is permitted to access. If your user account has access to only one company, only that company appears in the list. |
| **Supervisor** | Enter a supervisor's user ID or use the search icon to open the **User Finder**. Leave blank to return orders for all supervisors. When **FWOrdCredSupr** is enabled, this field defaults to the logged-in user's ID. |
| **Customer** | Enter a customer code or use the search icon to find a specific customer. Leave blank to return orders for all customers. |
| **Branch** | Select a branch from the drop-down. The list shows only branches belonging to the selected company that your user account is permitted to access. Defaults to your home branch for the selected company. Select **All** to return orders for all branches within the selected company. |
| **Order#** | Enter a specific order number to find a single order. Leave blank to return all orders matching your other criteria. |

Click **Find** to return results. The **Company** column in the results grid sits between the **B/O** and **Brn** columns and identifies which company each order belongs to.

## Order Record

Select an order from the results grid to display its details. Use the **Details** and **Diary Notes** tabs to review the order.

| --- | --- |
| **Order Number** | The order number. |
| **Customer** | The customer number. |
| **Order Value** | The total value of the order. |
| **GST** | The total GST amount on the order. |
| **Date Ordered** | The date the order was placed. |
| **User ID** | The user who placed the order. |
| **Sales Rep** | The sales rep assigned to the order. |

### Account Details

| **Field** | **Description** |
| --- | --- |
| **Future Charges** | Charges due at the next 30-day rollover period. |
| **Current** | The current account balance. |
| **30 Days / 60 Days / 90 Days / 120 Days** | The balance outstanding in each 30-day age bracket. |
| **Total Due** | The total amount currently due on the account. |
| **Account Type** | The account type. |
| **Status** | The current credit status of the account. |
| **Other Orders** | The value of other orders currently outstanding. |
| **Sub Accounts** | The total amount across any sub accounts. |
| **Last Review** | The date the account was last reviewed. |
| **Credit Age** | The credit age on the account. |
| **Credit Limit** | The total credit limit for this account. |

### Delivery Details

| **Delivery Date** | The requested delivery date. |
| **Sold To** | Who the order was sold to. |
| **Address / Suburb / State / Post Code / Country** | The delivery address. |
| **Ship To** | Where the order is being shipped. |
| **Address / Suburb / State / Post Code / Country** | The shipping address. |
