# <span style="color: #172b4d">Overview</span>

The **Enterprise Pick and Release** screen provides comprehensive control over the picking and releasing of sales orders. This screen allows you to manage stock allocation, assign pickers, handle timber packs, create bundles, and progress orders through the picking workflow from initial allocation to final release. 

> ⚠️ **Important**: The System Setting - Flag **FWPKent** must be enabled for Frameworks Enterprise Picking.

The screen supports both stocked and non-stocked kit products, with different handling based on the **SOPNonStockKit** system flag configuration.

# Access and Navigation

To access the **Enterprise Pick and Release** screen, perform the following:

1. Click **Frameworks** and navigate to **Sales > Transaction Processing > Picking Dashboard** from the navigation tree.
2. In the **Picking Dashboard**, search for open sales orders using criteria such as **Customer No**, **Branch**, **Picking Group**, **Despatch Method**, or **To Date**.
3. Click **Find** to display matching orders.
4. Click the blue hyperlink **Order Number** to open the **Enterprise Pick and Release** screen for that order.

> ✅ **Tip: **Also accessible by selecting **Pick & Release** from the Actions menu in a Sales Order, when enabled.

> ℹ️ Branches with **Stock By Location** enabled in [Branch Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28390994) won't see the "*Do you need to backorder?*" prompt when accessing Enterprise Pick and Release from a sales order, even when **FWSOPRelAll** is enabled. No automatic picking occurs and you pick lines manually.

# Navigating Enterprise Pick and Release

The **Enterprise Pick and Release** screen is made up of 7 main sections:

## 1. The Header Information Section

This section displays key order details and allows you to assign the picker and view order status information.

**Sales Order No.**

Displays the sales order number for the order being picked.

**Back Order No.**

Displays the back order number if this order was created from a previous back order situation. A value of 0 indicates this is not a back order.

---

**Picking Status**

Displays the current picking status of the order. The status progresses through the following values:

- **New**: Order is ready for picking but has not been started
- **Picking In Progress**: Picking has commenced but is not complete
- **Picking Complete**: All items have been picked or allocated to back order
- **Checked**: The picking has been verified and signed off

**Customer No.**

Displays the customer number and name for this order. This field is display-only and cannot be modified during the picking process.

---

**Picking Group**

Displays the picking group assigned to this order. Picking groups are used to organise orders for efficient warehouse picking based on product location or type.

> ✅ Picking Groups are defined under System Administration > System Setup > Sales> Picking Groups.

---

**Customer Order Ref**

Displays the customer's reference number or purchase order number for this order if one was provided when the order was created.

---

**Assembly Location**

Displays the assembly or marshalling location where picked items are staged before despatch. This can be updated using the **Update Date/Time** button.

---

**Operator**

Displays the operator who created or is currently processing the sales order in the system.

---

**Picker**

Select the employee who is picking the order from the drop-down menu. This list is maintained in **Picker Maintenance** and does not require pickers to have Frameworks licences.

- Only the user entering the picking details (the Operator) requires a licence

**Order Taken By**

Displays the user who originally took or entered the sales order into Frameworks.

---

**Order Branch**

Displays the branch number responsible for fulfilling this order and from which stock will be allocated.

---

**Requested Date**

Displays the date the customer requested for delivery or pickup of the order. This can be updated using the **Update Date/Time** button.

---

**Delivery Time**

Displays the requested delivery or pickup time. This can be updated using the **Update Date/Time** button.

---

**Desp. Method**

Displays the despatch method code and description for this order, as set on the Sales Order

---

**Locked**

Enable this checkbox to lock the order and prevent other users from making changes while picking is in progress. This ensures only one person can pick an order at a time.

- When locked, the order cannot be accessed by other users for picking.

## 2. The Document Action Buttons

This section provides buttons for managing order communications and printing documents throughout the picking process.

**Confirm Order/SMS**

Click **Confirm Order/SMS** to send an order confirmation message to the customer via SMS.

- The SMS content is controlled by notification templates
- The customer's mobile number must be recorded in their customer record
- SMS notifications are sent through the Frameworks Automated Notification System

**Follow Up SMS**

Click **Follow Up SMS** to send a follow-up message to the customer regarding their order status.

- Use this to notify customers about delays, changes, or when their order is ready
- The SMS template can be customised in the notification system
- Multiple follow-up messages can be sent for the same order

**Update Date/Time**

Click **Update Date/Time** to open a window where you can modify the delivery date, delivery time, and assembly location for the order.

- Use this when customer requirements change during the picking process
- Changes are recorded in the order audit trail
- The new date and time will appear on printed picking slips and despatch labels

---

**Print Picking Slip**

Click **Print Picking Slip** to print a picking slip for the order. The **Output Dialog** window is displayed allowing you to configure print options.

- The **Previous Prints** field displays how many copies have already been printed
- The **Break by Picking Group** option splits the picking slip into separate documents per picking group
- Picking slips can be reprinted if needed during the picking process

> ℹ️ The **SOPPG20** and **SOPPG20Brk** system flags control sorting and page break behaviour for picking slips.

**View Alert Messages**

Click **View Alert Messages **to view all of the **Products on Alert** for the order and their** Alert Messages**.

**Print Despatch Label**

Click **Print Despatch Label** to print despatch labels for the products ready to ship. The **Output Dialog** window is displayed.

- In the **Copies** field, enter the number of despatch labels required
- From the **Despatch Label Format** drop-down menu, select the required template
- Multiple labels can be printed for large orders or items shipped in multiple bundles

## 3. The Picking Action Buttons

This section provides tools for managing the picking process, including clearing pick data, splitting lines, and creating bundles.

**Clear Pick**

Click **Clear Pick** to remove all picking data and reinitialise the picking fields to their default state.

- This button is enabled after the first save of picking data
- It is disabled once **Check Picking** has been performed
- Use this when you need to restart the picking process from the beginning

**Split Line**

Click **Split Line** to divide an order line into multiple lines with different quantities. The **Split Line** window is displayed where you can:

- Enter the quantity to move to a new line
- Specify different pack numbers for each split
- Maintain separate picking status for each resulting line

This is useful when:

- Picking from multiple locations
- Using different packs for the same product
- Partially picking a line with the remainder to be picked later

**New Bundle**

Click **New Bundle** to increment the bundle number and begin assigning products to a new bundle. By default, the bundle number starts at 1.

> ℹ️ The **Next Bundle **field displays the bundle number current bundle number being applied.

- Each new bundle increments the bundle number by 1
- Products in the same bundle are grouped together for despatch
- Bundle numbers appear on despatch labels and delivery dockets

To allocate products to a bundle:

1. Click **New Bundle** if this is not the first bundle
2. Enable the checkbox next to the **Pick Qty** for products you want in this bundle
3. The current bundle number is automatically applied to the **Bundle** field, on the product line.
4. The order quantity is automatically applied to the **Pick Qty** field
5. Click **New Bundle** to continue to pick the items for this bundle

> ℹ️ The **FWBundle** system flag must be enabled to use bundle functionality.

## 4. The Workflow Control Buttons

This section contains buttons that control the progression of the order through the picking workflow stages.

**Pick All**

Click **Pick All** to automatically pick all lines and items on the order. Otherwise, use the **Selection Checkbox** or enter a **Pick Qty **for each line as required.

This action:

- Sets the **Pick Qty** to equal the **Order Qty** for all lines
- Reduces all back order quantities to 0
- Marks all items as ready for checking and release

A ⛔ symbol indicates there is an error preventing a line from being picked, such as:

- Insufficient stock on hand
- Special order products without linked purchase orders (when **SOPCkSOHSp** flag is enabled)
- Products with picking alerts that require acknowledgment

> 📝 **Behaviour for Special Assembly Products**
> 📝 
> 📝 When a line contains a Special Assembly Product, Pick All cannot set the **Pick Qty** higher than the quantity completed on the Assembly task for this sales order. See [Special Assembly Product Handling](#) below for the validation rules and backorder behaviour.

**Complete Picking**

Click **Complete Picking** when all picking has been completed. This action:

- Runs validation checks on the picking data
- Changes the picking status to **Picking Complete**
- Automatically calculates remaining quantities into the **B/O Qty** fields
- Locks the product grid to prevent further changes
- Enables the **Check Picking** button

> ⚠️ After clicking **Complete Picking**, the button changes to **ReOpen Picking** which allows you to unlock the grid and make additional changes if needed.

**Check Picking**

Click **Check Picking** to sign off on the picking process. This button is only available once **Complete Picking** has been selected and all products are either picked or allocated to back order.

The **Check Picking** window displays:

- **Checked By**: Enter the user's name or click the search icon to open the **User Finder** window. This defaults to the logged-in user.
- **Assembly Location**: Select or change the despatch/dock location for the order from the drop-down menu.
- **Comments**: Enter any check picking comments or notes if required.

**Product Details**: A grid showing:

- **Product Description**: The description of products on the order
- **Supply Quantity**: The quantity being supplied
- **Back Order Quantity**: The quantity to be placed on back order
- **Remove Checkbox**: For branch transfers with pack numbers assigned, enable this to prevent creating a back order for remaining quantities

Once saved, products on back order are removed from the current sales order and a new sales order is created with a suffix of (n+1) containing the back ordered products.

If **Location Control** is set to 'Yes', stock movements can be tracked through Warehouse, Marshalling, and Assembly locations.

**Release Order**

The **Release Order** button is for releasing the order to create an invoice and update stock levels.

Click **Release Order** to release the order to the dock for preparation of pickup and delivery. This action:

- Converts the order to an invoice
- Removes the order from the Sales Order screen
- Makes relevant stock adjustments
- Updates customer transaction history
- Triggers any configured notification events

 The **Release Order** window provides the following options:

- **Print Delivery Docket**: Enable to print a delivery docket containing order information without pricing, sent in duplicate with the goods. One copy is returned signed by the customer to acknowledge receipt.
- **Email Delivery Docket**: Enable to send the delivery docket via email. The **Output Dialog** window displays allowing you to edit email details before sending.
- **Print Priced Prelim Invoice**: Enable to print a preliminary invoice with pricing. This allows trade customers to provide marked-up pricing documents to their customers.
- **Print Priced Docket**: Enable to print a docket containing unit prices, line prices, and order totals.
- **Retail Prices**: Enable to display the Recommended Retail Price (RRP) on the printed priced docket instead of actual order pricing. The **Print Priced Docket** option must be enabled.
- **Trade Prices + %**: Enter a markup percentage to be added to the order's pricing on the printed priced docket. This does not change actual pricing in the system. The **Print Priced Docket** option must be enabled.
- **Printer Address**: Enter the printer name or click the search icon to find and select a printer for document output.

> ℹ️ The availability of print pricing options is controlled by the **FWSopPrint**, **FWSopPrintInv**, and **FWSopPrintConf** system flags.

> 📝 Releasing a sales order containing a Special Assembly Product does not trigger component stock movements — components are consumed only when the Assembly task is completed. The finished product stock on hand is reduced at the point of order release. See [Special Assembly Product Handling](#) below for the complete picking and release behaviour.

## 5. The Order Maintenance Tabs

This section provides access to additional order information organised into tabs.

- **Order Details: **Click the **Order Details** tab to view and manage the order line items and picking information. This is the default tab when opening the screen and displays the order lines grid. See below for more information about the order lines grid
- **Delivery Details: **Click the **Delivery Details** tab to view delivery address information, delivery instructions, and customer-specific delivery requirements for this order.
- **Diary Notes: **Click the **Diary Notes** tab to view and add notes or comments related to this order. These notes are visible to all users accessing the order.

## 6. The Order Lines Grid

This section displays all products on the order and allows you to manage picking quantities, pack selection, and line-level details.

**Line**

Displays the line number for each product on the order. Line numbers are automatically assigned sequentially.

---

**Product Code**

Displays the product code for each item. This is the unique identifier used throughout Frameworks.

---

**Description**

Displays the product description, tally details, and any specific product comments configured in **Product Maintenance**.

---

**Location**

Displays the prime warehouse location for the line item. Click the **search **icon to view and select alternative locations if stock is available in multiple locations.

---

**Is Sales...**

Displays an indicator if this is a sales-related transaction type requiring special handling.

---

**Substituted**

Displays an indicator if a product substitution has been applied to this line. Click the **substitution **link to view substitution details or change the substitute product.

---

**Sub Qty**

Displays the quantity of the substitute product if a substitution has been applied.

---

**Sub Length**

Displays the length of the substitute product if a substitution has been applied to a length-based item.

---

**Sub UOM**

Displays the unit of measure for the substitute product.

---

**Order Qty**

Displays the quantity ordered by the customer for this line. This is the original order quantity and does not change during picking.

---

**Length**

Displays the length of the line item for products sold by length (e.g., timber, pipe, cable).

---

**UOM**

Displays the unit of measure for the line item (e.g., EA, LM, M2, TON).

---

**Selection Checkbox**

Enable this checkbox to pick all items for this line. 

> ℹ️ Not required to be done if **Pick All **has been used.

---

**Pick Qty**

Enter or edit the quantity currently being picked for this order line.

- This field is editable during the picking process
- It defaults to the order quantity when using **Pick All **or the **Selection Checkbox**
- It cannot exceed the order quantity unless overs are allowed
- Setting this to less than the order quantity automatically calculates the **B/O Qty**

> 📝 **For Special Assembly Products**
> 📝 
> 📝 The Pick Qty cannot exceed the quantity completed on the linked Assembly task for this sales order. The standard stock-on-hand check also applies, so both the completed quantity AND the on-hand quantity must be sufficient to release the entered Pick Qty. See [Special Assembly Product Handling](#) for backorder behaviour when not all units have been assembled.

---

**Bundle**

Enter or edit the bundle number for this line when picking multiple product bundles.

- Bundle numbers start at 1 by default
- Use **New Bundle** to increment to the next bundle number
- Products with the same bundle number are grouped for despatch
- Bundle numbers appear on labels and delivery documentation

> ℹ️ The **FWBundle** system flag must be enabled to use this functionality.

---

**B/O Qty**

Enter or edit the quantity to be placed on back order. This field:

- Automatically calculates as the difference between Order Qty and Pick Qty
- Can be manually adjusted if needed
- Determines what quantity will move to a new back order sales order
- Is set to 0 when using **Pick All**

---

**Packs**

For products that are part of a timber pack, click the **Select Packs** hyperlink to open the **Pack Selection** window.

The **Pack Multi Selection** window displays:

- **In Stock** packs available for picking
- **Allocated** packs already assigned to other orders
- Search options by **Branch**, **Pack From** and **To**, **Length**, and **Status**

To select packs:

1. Refine search criteria if needed and click **Find**
2. Enable the checkbox for each pack to pick
3. Click OK to add selected packs to the order line

Requirements for pack selection:

- The pack length must match the product line length
- Only **In Stock** packs can be picked
- If the pack quantity is less than the line quantity, the line will be split

**Splitting a Timber Pack**: Click **Create Split** in the **Pack Selection** window to:

- Select a single length and full quantity to move to a new pack
- Create a new pack number for the split portion
- The system prevents splitting the entire pack (all lengths and quantities)

> ℹ️ The **FWPacks** system flag must be enabled to use pack functionality.

---

**Comment**

Displays product line comments entered during order creation or added during picking.

---

**Linked PO**

Displays any linked purchase orders for the product as a hyperlink. Click the link to view the purchase order details.

- Linked purchase orders indicate stock has been ordered specifically for this sales order

> ⚠️ The **SOPCkSOHSp** flag can prevent picking special products without linked POs

---

**Recv'd**

Displays whether stock has been received where a pack is received as a stock item with quantity, attributes, and pack number captured.

---

**Avail to Pick**

Displays the number of items available to pick for this line, calculated as:

- Stock on hand at the branch
- Minus stock already allocated to other orders
- Plus any linked purchase order quantities received

> 📝 **For Special Assembly Products** 
> 📝 
> 📝 The Avail to Pick value is constrained to the quantity completed on the linked Assembly task for this sales order, in addition to the standard stock calculations.

---

**On Hand**

Displays the total quantity of this product currently on hand at the branch, regardless of allocations.

---

**Picking Group**

Displays the picking group for this line. This column is only visible if the user accesses the Enterprise Picking screen for all picking groups rather than a specific group.

---

**Substitute**

Click the substitution link to open the **Product Substitution** window where you can:

- Search for alternative products
- Select a substitute product
- Specify the substitute quantity
- Add a reason for the substitution

**Pic Alert**

Click the Pick Alert icon to open the **Picking Alert** window displaying the picking alert message configured for the selected product.

- Picking alerts warn of special handling requirements
- They may contain safety information, stocking notes, or customer-specific instructions
- The alert must be acknowledged before picking can proceed if required by system configuration

## 7. Command Buttons

- **Save: **Click **Save** to save all changes made to the picking data without closing the screen. Changes are committed to the database and can be resumed later.
- **Cancel: **Click **Cancel** to discard any unsaved changes and revert to the last saved state. This does not close the screen.
- **Close: **Click **Close** to exit the Enterprise Pick and Release screen. If there are unsaved changes, you will be prompted to save or discard them before closing.

# Other Processes

## Kit Product Handling

For non-exploding kits, the behaviour depends on the **SOPNonStockKit** and **InvBrAss** system flags:

- **Stocked Kit Headers**: While picking, the order remains at header level and is not broken down into components. The system displays components but picks the header.
- **Non-Stocked Kit Headers**: While picking, the order is broken down into individual components. The system displays the header but picks the components.

The **InvBrAss** flag controls whether Frameworks checks at the branch stock level or product level to determine if the kit header is stocked.

## Special Assembly Product Handling

Special Assembly Products are unique products generated when a sales order containing an Assembly Kit is marked Entry Complete. They are picked and released through Enterprise Pick and Release, but with specific behaviour that links picking to assembly task completion. ### Picking screen display

The picking screen displays only the kit header line for a Special Assembly Product — componentry is not shown. This keeps the picking slip clean for the yard, since the assembled product is what is being picked, not its underlying components.

### Pick quantity validation

The Pick Qty for a Special Assembly Product line cannot exceed the quantity completed on the linked Assembly task for this sales order. The standard stock-on-hand check also applies — both conditions must be met:

- The Pick Qty cannot exceed the Assembly task's completed quantity for this order
- The Pick Qty cannot exceed the available stock on hand at the branch

If the workshop has completed fewer units than the customer ordered, only the completed units can be released. The remainder goes to a backorder automatically (see Backorder behaviour below).

### Stock movements at release

Releasing a sales order containing a Special Assembly Product does **not** trigger component stock movements. Components are consumed only when the Assembly task is completed via the Process Task Details screen. At release:

- **Finished product stock on hand** is reduced by the released quantity
- **Component stock on hand** is unaffected (already adjusted at task completion)

### Backorder behaviour

When the Pick Qty is less than the Order Qty for a Special Assembly Product, Frameworks automatically creates a backorder and redistributes the Assembly task completion quantities between the original order and the backorder.

**Example:** A customer ordered 10 units of a custom door (sales order 12345/0). The workshop has completed 6 units. The picker releases 4 units:

| Item | Original Order (12345/0) | Backorder (12345/1) |
| --- | --- | --- |
| Ordered Qty | 10 | 6 (remaining) |
| Picked / Released Qty | 4 | 0 |
| Assembly Task Completed Qty | 4 (adjusted down) | 2 (surplus moved here) |
| Completion History entry | "2 units moved to BO 12345/1" | "2 units received from 12345/0" |

The system automatically adjusts the completed quantities so each order's Assembly task reflects the units available for that order. No manual adjustment is required.

### Backorder isolation

Each backorder gets its own independent Assembly task. When the backorder is later released, the system looks only at the completions recorded against that backorder's task — completions from the original order or any other related order are not considered.

Workshop staff must complete the Assembly task on the backorder before that backorder can be released, even if extra units were completed on the original order (those surplus units are automatically transferred as shown in the example above).

## Picking with Back Orders

When you click **Complete Picking** and there are products with B/O quantities, the **Pick Release Backorder** window displays:

To create the back order:

1. Enter a new **Delivery Date** and click **Confirm Date**
2. Select a **Reason for Backorder** from the drop-down menu
3. Review the products and quantities being back ordered
4. Click **Save** to create the new sales order

- The new back order receives a matching order number with a suffix increment (n+1)
- Products with the **Remove** checkbox enabled during check picking are not added to the back order
- The original order continues with the picked quantities only

## Unlocking Checked Picking

To make changes after the **Check Picking** status has been set:

1. Navigate to **Sales > Utilities & Scheduled Tasks > Utility to unlock checked picking**
2. Search for and select the order
3. Click **Unlock** to clear the checked picking status
4. Return to the picking screen to make required changes

This utility is restricted to authorised users only.

# Additional Information
