# Overview

The **Point of Sale Maintenance** screen allows you to create and process a sale for a new or existing customer.

# Accessing Point of Sale Maintenance

To access Point of Sales (POS), perform the following:

1. <span style="color: #333333">Click the </span><span style="color: #333333">**Frameworks Menu**</span><span style="color: #333333"> then navigate to </span><span style="color: #333333">**Sales > Transaction Processing > Point Of Sale**</span><span style="color: #333333"> from the</span><span style="color: #333333">** **</span><span style="color: #333333">navigation tree.</span>

# Navigating Point of Sale Maintenance

The **Point of Sale** maintenance is made up 7 main sections:

## 1. Transaction Number

An automatically generated number is assigned to the sales transaction.

- Click **HUD **to open a heads-up display, to be shown on another screen, for you customer’s to see transaction information.

## 2. Header Details

This section contains the customer details for the sale. Refer to the details below for more information on each field.

**Customer**

Displays the customer's name and ID. Enter the customer name, ID, or barcode, or use the **Search** icon to find the customer.

- This field will default to **Cash Sale** and you can process the sale as normal.

**Job**

Enter the job details if required.

> ⚠️ If the **Jobs Mandatory** checkbox is enabled for the customer in the [Customer Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894), then this field is mandatory. If not, the field is optional.

**Type**

Displays the customer types as set in [Customer Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894). For example, **Standard Debtor** or **Cash Card Holder**

---

**Customer O/No**

Enter the customer's order number if necessary.

> ⚠️ This field is mandatory if **Order No. Required** is enabled in [Customer Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894).

**Reference**

Add an extra reference to the order if necessary.

> ⚠️ This field is mandatory for **Standard Debtor** (type A) customers if the [FWPosRefReq](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28391162/Point+of+Sale+Related+System+Settings#FWPosRefReq) flag is enabled in **System Settings - Flags**.

**Contract**

Select a contract from the available options in the dropdown menu if required.

- ⚠️  is displayed if the customer has one or more active contacts available.

## 3. Rewards Card Details

Search for or scan the customer's Rewards Card (for example. Mighty Rewards) or connect a new card to the customer's account by completing either of the following actions:

- In the **Card #** field, enter or scan the card number to view the reward card details. This will also update the **Customer** details to match those registered to the card.
- Click the **plus **icon to open the **Mighty Rewards Card Registration** and connect a new rewards card.
- Click the **search** icon to search the **DCA Database** for an existing Mighty Rewards card.

## 4. Transaction Maintenance Section

The Transaction Maintenance section is made up of 4 tabs.

### 1. Product Entry Tab

The **Product Entry **tab is where you can scan a product or add it to the sale via the product entry fields.

The product entry tab has 2 main sections:

1. The **Product Entry** section is where you can add products to the sale.
2. The **Product Grid** section which displays the products that have been added to the sale and their basic information.

#### a. Product Entry

- Click the **Tick** (add) button to add the product to the sale.
- Click the **X **(remove) button to clear the **Product Entry** fields.
- Click the **Information** button to open the **Purchase Sales Information** and view more detailed information about the selected product.

**Product**

> ℹ️ - Enter **/** (forward slash) in the product field to open the **Quicklist Finder**. This displays all active quicklists with their codes,sequence, and descriptions to select the required quicklist.
> ℹ️ - Alternatively, enter the **Quicklist Name **to open the **Multi Select Product Quicklist Finder**.
> ℹ️ - The **Multi Select Product Quicklist Finder** window opens displaying the quicklist's products organised into collapsible groups and subgroups. Expand groups using the **+** icon, enter quantities for the products you need and click **Add To Selections**. Click **Use Selections** to add all selected products to the transaction as individual line items.

**Quantity**

Enter the quantity of the selected product to be added to the sale.

---

**UOM**

The Unit of Measure is a predefined value and distinguishes how the product is quantified. 

---

**Unit Price**

The price is assigned to the product and charged per UOM.

---

**Disc%**

The percentage value to take off the total price of this product for the current sale.

---

**Comments**

Add a comment to be displayed alongside the product.

---

**SOH**

The branch stock on hand of the entered product.

---

**Voucher No **

Enter the gift card number. If a gift card is selected as a product, this field will appear. Once entered, the gift card is automatically added to the Product Grid.

> ✅ Point of Sale supports internal gift card sales and redemptions. When selling gift cards, the system validates card numbers, manages card activation, and creates the appropriate liability entries. Gift cards can be redeemed as a tender type for any cash sale.

**Products (Non-tally)**

- When adding non-tally products, you can add child products by entering the parent product in the **Product** field. Similarly, a parent non-tally product can be added independently, provided it is marked as "Independently Traded" in **Product Maintenance** > **General Information**.
- Selecting a non-tally parent product opens the **Multi Select Product Child Finder** window, which displays a list of associated child products along with their details.

**Product**

The Product ID of the child product. Clicking the hyperlink will automatically add the item into the transaction.

**Description**

Displays a short description of the child product. 

---

**Supplier Catalog No**

Displays the Catalog No of the Supplier

---

**Tally Req**

Indicates whether the child product requires tally processing.

---

**Qty**

Enter the quantity for the selected child product. Clicking the **Add to Selections** button will display the chosen items and their quantities in the **Selected Product Details** Grid.

---

**Qty Min. Order**

Minimum quantity required to order the product. 

---

**CDF Src**

Displays the CDF sourced

---

**UOM**

Unit of measure of the product. 

---

**Qty On Hand**

The quantity of the product currently available and ready for order or sale.

---

**RRP GST Ex**

The recommended retail price of the product before adding the applicable GST. 

---

**RRP GST Inc**

The recommended retail price of the product after adding the applicable GST. 

---

**QTY On C/O**

Quantity of stock on existing open customer orders.

---

**Qty On P/O**

The quantity of products specified in a Purchase Order. 

---

**Qty on Consign**

Displays the amount of stock that is in the branch on consignment.

---

**Product Type**

Displays the product type of the product. 

---

**Branch Type**

Displays the status of the product at a specific branch, like whether it is stocked or not. 

---

**Selected Product Details**

Displays the selected child product(s). Clicking the **Remove** icon will remove an item from the** Selected Product Details** Grid.

> ℹ️ Click the **Use Selections **button to add the selected products in the sales order line.

**Tally Products**

- When you select a tally product, click the **Tally** icon to open the **Tally Maintenance** window. This window will open automatically upon initially selecting a tally product.
- To add a child product to a transaction, you have two options: (1) enter the tally parent product in the **Product** field, then specify the quantity and length; or (2) directly enter the child product code into the product entry line. Each child product added will appear as a separate line in the transaction.

> ⚠️ Parent tally products cannot be sold on their own.

- Click **Add** to add a quantity of a separate length.
- Click **Remove** to remove the quantity of the selected length.

#### b. Product Grid

The Product grid displays the products that have been added to the transactions

- Products carrying Water Efficiency Labelling Standard (WELS) attributes have their WELS values appended automatically to the product **Description** on each transaction line, with no prompt to the user. For the full setup and behaviour details, see [Configure Water Efficiency Labelling Standard (WELS) Attributes](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/1103003649).
- The red highlight over the **Quantity **indicates that there is insufficient stock available to fulfil the sale based on the **Qty Available to Pick** calculation.

> Macro (include)

- Click the **Tally** icon to open the **Tally Maintenance** window and edit the tally quantities.
- Click the **Pen **(edit) icon to open the **Edit Sale Line** window and modify.

> ℹ️ When you add a miscellaneous product and the [POSMiscCostEdit](https://kb.myframeworks.com.au/space/FRAM/543754348/Point+of+Sale+Related+System+Settings#PosMiscCostEdit) flag is enabled, you can edit its cost in the **Unit Cost** field, which will be displayed if you have the necessary permissions to view it.

- Click the **X** (remove) icon to remove the product from the sale.

> ℹ️ - If contract pricing has been applied to a product the **Unit Price **field will be highlighted in a **light blue/grey** colour.
> ℹ️ - If promotional pricing has been applied to a product the **Unit Price **field will be highlighted in a **light red** colour.

### 2. Delivery Details Tab

If the customer wishes to have the products contained in the order delivered, complete the necessary details contained within this tab. The fee, if any, will be added to the **Product Entry** screen.

**Despatch Method**

Select the** **appropriate** Despatch Method** via the drop-down menu. Despatch Methods are unique to a customer's business. The Despatch Method field determines if a cash sale requires delivery.

**Delivery Date**

Type the required delivery date or use the date finder to search.

---

**Delivery Time**

Type the time the product/s will be delivered. The format is **ddmm** with no colon in between. 24-hour time format is accepted.

---

**Fixed Time**

Enable if this time is fixed.

---

**Requested Time**

Select the** Requested Time** the customer is requesting the delivery to be made via the drop-down menu.

**Deliver To**

Defaults to the first name (if defined in the *Delivery Name *field in [Delivery Address Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400456)) or select the appropriate name via the **search **icon or type the customer name to deliver the product/s to.

---

**Address Lookup**

The **Address Lookup** field provides address autocomplete functionality powered by Addressify, enabling fast and accurate address entry with automatic population of address fields.

Type a street address or suburb in the **Address Lookup** field, a dropdown list displays matching address suggestions. Select an address from the suggestions, Frameworks automatically populates the **Address**, **Suburb/City**, **State**, **Post Code**, and **Country** fields with validated address data.

You can bypass the **Address Lookup** field and enter addresses manually using the standard address fields (**Address**, **Suburb/City**, **State**, **Post Code**) if the correct address does not appear in the suggestions or if you prefer manual entry.

**Format:** Text (with autocomplete dropdown) | **Required:** No (optional; you can use manual address entry instead) | **Editable:** Yes    
**Related fields:** When you select an address, the **Address Lookup** field automatically populates the **Address**, **Suburb/City**, **State**, **Post Code**, and **Country** fields

> ⚠️ **Availability:** The **Address Lookup** field only appears when Addressify integration is enabled and activated by your system administrator. If the field is not visible, use manual address entry through the standard address fields.

**Address / Suburb/City / State**

Select the appropriate address (if defined in [Delivery Address Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400456)) via the search **search **icon, or type the address details.

---

**Instructions**

Defaults to the Instructions provided (if defined in the *Instructions* field in [Delivery Address Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400456)) or type any instructions regarding the delivery.

---

**Contact Name**

Enter the contact name for the delivery.

> ℹ️ If you edit the contact details, the information will be printed on the delivery docket and invoice outputs, but it will not be saved to the customer's **Contact Details** in the **Customer Dashboard**.

---

**Contact Phone**

Enter the contact phone for the delivery.

> ℹ️ If you edit the contact details, the information will be printed on the delivery docket and invoice outputs, but it will not be saved to the customer's **Contact Details** in the **Customer Dashboard**.

---

**Contact Email**

Enter the contact email for the delivery.

> ℹ️ If you edit the contact details, the information will be printed on the delivery docket and invoice outputs, but it will not be saved to the customer's **Contact Details** in the **Customer Dashboard**.

---

**Type Of Load**

Select the Type Of Load via the drop-down menu.

---

**Has Phoned**

Tick if the customer has phoned about the impending delivery.

---

**Map Ref**

Select the appropriate map reference for the delivery via the **search **icon.

**Map Xref**

Type the appropriate map cross reference for the delivery.

---

**Delivery Area**

Select the appropriate delivery area via the **search **icon.

---

**Delivery Fee**

Automatically populated based on **Delivery Area**. Adjust as necessary.

> ⚠️ This field is required based on if the **Charge Delivery **and** Default Delivery** field is ticked in the **More Data** tab of [Customer Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894). Refer to [Delivery Fees by Date/Value](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382836) for further information.

> ℹ️ The **Delivery Fee** field provides messages to inform the user where the Delivery Fee is being calculated from. 
> ℹ️ 
> ℹ️ - Message: "*This customer does not get charged a delivery fee*" is displayed if the *Charge Delivery* field is **disabled **in the Customer's record in [Customer Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894)
> ℹ️ - Message: "*Customer delivery fee overrides area delivery fee*" is displayed if the *Charge Delivery* field is **enabled **in the Customer's record in [Customer Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894)and a *Delivery Area* with an associated fee has been selected.

**Comments**

Type any special comments regarding the delivery.

### 3. Job Details Tab

The Job details section allows you to link a Job to a POS transaction. This can be a Job linked to a customer's project or a stand-alone job for other reasons, such as Lien Tracking.

**Project**

Displays the **Project Id** for jobs that are linked to existing projects. This field will update automatically.

**Job**

Displays the **Job Id** linked to the transaction. Once a job is linked the **Job Name** will be displayed here too.

- Enter the **Job ID** or use the **Finder** icon to search for a job.
- Click the **Add Job** icon to open the **Job Maintenance** window and enter the relevant **Job Details.** Click **Save** to create the job and link it to the transaction.
- Click the **Pencil** icon to edit the **Job Details**, via the **Job Maintenance** window.

**Section Code**

Enter the **Section Code** or use the **Finder** icon to allocate the order to a section within the job.

---

**Description**

Enter a description for the Transaction, if required.

---

**Payment Term Code**

Displays the payment terms for the customer, for the job. This can be edited via the **Job Maintenance** window.

### 4. Extra Charges Tab

The **Extra Charges** tab displays all additional fees that have been applied to the sale, either automatically by the system based on configured charge rules, or manually added by an authorised user. Charges in this tab are included in the sale total and appear as line items on the customer invoice when the order is invoiced.

The **Record Type** column identifies whether each charge was applied automatically or added manually. Use the **Add Charge** button to manually add a charge from the configured charge list.

**Description**

Displays the name of the extra charge as configured in **Extra Charges Maintenance**. The **Description** value appears on printed and digital customer documents including invoices and receipts.

**Customer Type**

Displays the customer type criterion from the charge rule that triggered this charge. This reflects the customer type condition configured in **Extra Charges Defaults** that was matched when the charge was applied to the transaction.

---

**Despatch Method**

Displays the despatch method criterion from the charge rule that triggered this charge. This reflects the despatch method condition configured in **Extra Charges Defaults** that was matched when the charge was applied to the transaction.

---

**Delivery Area**

Displays the delivery area criterion from the charge rule that triggered this charge. Blank indicates the charge rule was not restricted to a specific delivery area.

---

**Post Code**

Displays the postcode criterion from the charge rule that triggered this charge. Blank indicates the charge rule was not restricted to a specific postcode.

---

**Method**

Displays the calculation method used for this charge, as configured in **Extra Charges Defaults**. The method is either **Fixed Value** (a flat fee) or **% of Order Value** (a percentage of the transaction total).

---

**Factor**

Displays the flat fee amount or percentage used to calculate the charge, as configured in the matching **Extra Charges Defaults** rule. When the **Method** is **Fixed Value**, this is the dollar amount. When the **Method** is **% of Order Value**, this is the percentage applied.

---

**Per Delivery**

Indicates whether this charge applies on each individual delivery or once per transaction. A ticked checkbox indicates the charge applies per delivery.

---

**Minimum Charge**

Displays the minimum dollar amount configured for this charge rule. When the **Method** is **% of Order Value** and the calculated amount is less than the minimum, the minimum amount is charged instead. Displays $0.00 when no minimum is set.

---

**Maximum Charge**

Displays the maximum dollar amount configured for this charge rule. When the **Method** is **% of Order Value** and the calculated amount is more than the maximum, the maximum amount is charged instead. Displays $0.00 when no maximum is set.

---

**Date From**

Displays the start date of the charge rule that triggered this charge. Blank indicates the rule has no start date restriction.

---

**Date To**

Displays the expiry date of the charge rule that triggered this charge. Blank indicates the rule has no end date restriction.

---

**Added Charges Exclusive**

Displays the tax-exclusive dollar amount of this charge as applied to the transaction. This is the charge amount before GST or applicable tax is added.

---

**Added Charges Inclusive**

Displays the tax-inclusive dollar amount of this charge as applied to the transaction. This is the charge amount including GST or applicable tax.

---

**Total Added Charges**

Displays the cumulative total of all extra charges applied to this transaction, inclusive of tax. This value contributes to the order total displayed in the Totals section of the screen.

**Total Invoiced Charges**

This column currently has no purpose and can be hidden.

---

**Record Type**

This column identifies how each charge was applied to the transaction. **Auto** for charges applied by the system based on configured rules and **Manual** for charges added manually by a user.

## 5. Sale Totals

Displays the totals relating to the sale including:

- **Total EXC**: the total price excluding GST.
- **GST**: the accrued GST.
- **Total INC**: the total price including GST.

## 6. Action Buttons

Along the bottom of the screen are a set of various buttons that perform different functions.

### a. ACCOUNT

- Once all products have been added and the sale is ready to be finalised, click **Quick ACCOUNT** to charge the sale to the customer's account.

> ⚠️ The **Quick ACCOUNT **button is only visible if **PosQckTnd** is enabled in **Miscellaneous Table Maintenance > System Settings - Flags**.

### b. EFTPOS

- Once the sale is ready to be finalised, click **Quick EFTPOS** to process the sale via EFTPOS.

> ⚠️ The **Quick EFTPOS** buttons is only visible if **PosQckTnd** is enabled in  **Miscellaneous Table Maintenance > System Settings - Flags**.

### c. Finish Sale

- Click **Finish Sale** to open the **Tendering** window and finalise the sale.

### d. Suspend Sale

- Click **Suspend Sale** to suspend the sale.

### e. Void Sale

- Click **Void Sale** to void the sale.

### f. Last Docket

- Click **Last Docket** to print the receipt of the last processed sale. The docket is sent to your nominated printer to print.

## 7. Command Buttons

The command buttons at the bottom of the screen allows you to perform the following functions:

### a. New Sale

- Click **New Sale** to refresh the **Point of Sale** maintenance screen and start a new transaction.

> ⚠️ If you have made any changes to the current sale, finish processing the current sale before starting a new one.

### b. Close

- Click **Close** to close the screen.

> ⚠️ Be sure to process any open sales before closing.
