To ensure financial accuracy, our **Creditors Control Account Notifications **provide a daily summary of key account movements from the previous day’s trade. By tracking discrepancies or imbalances in the creditors control accounts, this notification helps identify potential issues early, ensuring smooth financial operations and better decision-making. This article is intended to help investigate the reason behind an imbalance in the Creditors Control Account Notification task.

## Prerequisite

#### Creditors Control Audit

To ensure there is creditor control data available to be reported on, you must run the **Creditors Control Audit** schedule task at the end of each day’s trade. This task totals up the Creditors subledger for a company and compares it to the GL balance for your Trade Creditors. To allow for variances between these accounts to be tracked, we recommend scheduling this task to run daily at around 8 pm and setting the schedule to email the report to your accounts team.

Your accounts team will be notified, via email, if the Creditor Control Audit from the day trade was Balanced or Imbalanced.

#### Creditors Control Account Notifications

In addition to scheduling the Creditors Control Audit task, we also recommend scheduling the **Creditors Control Account Notifications** report to run daily at 6 am and setting the schedule to email the report to your accounts team.

By default, the report is set to report on the last 60 days of Creditors Control Audits.

> ⚠️ **Important:** The Creditors Control Account Notifications report can only display data starting from the date when the Creditors Control Audit scheduled task was first activated.

## Detailed Steps

1. Check the Creditors Control Audit Notification

If you missed the notification email or you just want to review the Creditors Control Audit Notification from the end of a particular day there are 2 ways to check the Creditors Control Notification output from the **Task Scheduler Queue** screen. 

1. Click the **Frameworks Menu** and enter **Task Scheduler Queue** in the **Search Box.**
2. Click the **Frameworks Menu **and navigate to **System Administration > Task Scheduler > Task Scheduler Queue** from the navigation tree.

To view this report, perform the following steps: 

> ⚠️ **Note**: The Creditors Control Audit task needs to be run to see this report.

1. In the **Search **fields at the top, enter **Creditor** in the **Name** field and leave the **Created By** and **Scheduled** fields blank.
2. Click **Find** to filter and display the results.
3. From the Results Grid, click the **CreditorControlSched** link.
4. Go to the **Output** tab, then click on the hyperlink to download the report.
5. Open the **Generated Report**.
6. Check if the **Cr Close Balance** and **Creditors Account Values** match.

> ℹ️ If the **Cr Close Balance** and **Creditors Account Values** match, there is no issue, and no further action is required. 2. Run the Creditor Control Notification report

The **Creditors Control Account Notifications** report extracts the details from the Creditors Control Audit Notification task, typically for the last 60 days. This allows for variances to be tracked to the particular day they started. 

To rerun this report, perform the following:

1. From the **Dashboard Icons** on the **Home **screen, select the **Report Category List** icon.
2. In the **Search **bar at the top of the grid, enter **Creditors Control** in the **Name** or **Description** column.
3. In the **Report Name **column, click the **Creditors Control Account Notifications** hyperlink.
4. In the **Report Criteria** tab, enter the required parameters for the report you have chosen to run.
5. Click **Submit **to run the report as a once only report.
  
6. After running the report, the **Output **tab displays the results of the completed task and a link to download the selected report output under the **Generated Reports** section.
7. Open the report and determine when the control account became imbalanced.

3. Review Journals in the GL Dashboard

To further investigate the imbalance, check if there is an existing Journal.

1. From the **Dashboard Icons** at the top of the screen, click the **GL Dashboard **icon.
2. In the **Search** fields, search for your **Trade Creditor account.**

> ℹ️ If it’s been renamed, go to **Company Maintenance** and copy the account number from the **Creditors Control** field.

3. Filter the account by the day or month the imbalance started and check for any Journal postings.

> ⚠️ GL Journals should not be posted to Control Accounts.

**If there are any Journals:**

- Determine the reason they were posted to the Control account.
- Reverse the Journal and fix the issue.

4. Run the Supplier Invoice Listing Report. 

The **Supplier Invoice Listing** report is a simple list of open supplier invoices dated up to and including the nominated cutoff date. It displays the total of each invoice, a supplier subtotal and a total of the invoice amounts.

1. From the **Dashboard Icons** on the **Home **screen, select the **Report Category List** icon.
2. In the Search bar at the top of the grid, enter ”Supplier Invoice Listing” in the **Name** or **Description** column.
3. Click the **Report Name** hyperlink.

5. Match Supplier Payments in the Payments Enquiry Screen

If there is still no sign of the imbalance, go to the **Payments Enquiry** screen and match the **Supplier Payments** with the **Direct Deposit** postings.
