# Scheduled Statement Print Screen - Field Definitions

The **Scheduled Statement Print** screen allows you to schedule the sending and printing of customer statements based on customer preferences and defined criteria. Use the **Scheduled Statement Print** screen to batch-produce statements for a range of customers, with options for deferred statement printing, invoice inclusion and email or print output.

> 📝 **Prerequisites:** Statement stationery must be converted into XML format before running the Scheduled Statement Print task for the first time.

## Screen Access

From the **Frameworks Menu**, navigate to **Receivables** > **Utilities & Scheduled Tasks** > **Scheduled Statement Print**.

## Screen Structure

The **Scheduled Statement Print** screen is organised into three tabs:

1. **Report Criteria** - Customer selection, statement parameters, invoice parameters and output parameters.
2. **Schedule** - Task scheduling configuration.
3. **Output** - Task output and logging.

The **Report Criteria** tab contains four sections: Customer Selection, Statement Parameters, Invoice Parameters and Output Parameters.

## Customer Selection

The **Customer Selection** section defines which customers will receive statements in the scheduled output. Use the range fields to narrow the statement run to specific customers, branches, account types or groups.

### Company

The **Company** field displays the company context for the scheduled statement print. The **Company** value determines which company's customer data is used for the statement run. Ensure the correct company is selected before opening the **Scheduled Statement Print** screen.

**Format:** Text (display only) | **Editable:** No

### All Customers

The **All Customers** checkbox controls whether statements are produced for all customers or a filtered range. When enabled (default), statements are generated for all customers in the selected company. Disable the **All Customers** checkbox to activate the customer range fields and filter statements by branch, account type or group.

**Format:** Checkbox | **Default:** Enabled | **Editable:** Yes | **Related fields:** Disabling the **All Customers** checkbox enables the **From Branch**, **To Branch**, **From Account Type**, **To Account Type**, **From Group** and **To Group** fields.

### From Branch / To Branch

The **From Branch** and **To Branch** fields define the branch range for the statement run. Select the starting and ending branches from the drop-down menus to include only customers assigned to branches within the specified range.

**Format:** Drop-down menu (branch code and name) | **Required:** No (defaults to full range) | **Editable:** Yes (when **All Customers** is disabled)

### From Account Type / To Account Type

The **From Account Type** and **To Account Type** fields define the account type range for the statement run. Select the starting and ending account types from the drop-down menus to include only customers with account types within the specified range.

**Format:** Drop-down menu (account type code and description) | **Required:** No (defaults to full range) | **Editable:** Yes (when **All Customers** is disabled)

### From Group / To Group

The **From Group** and **To Group** fields define the customer group range for the statement run. Enter the starting and ending group codes directly or click the **Search** icon to open the **Customer Group Finder** window.

**Action:** Click the **Search** icon to open the **Customer Group Finder** window.

**Format:** Text (alphanumeric search) | **Required:** No (defaults to full range) | **Editable:** Yes (when **All Customers** is disabled)

### Nuvu Preference

The **Nuvu Preference** field filters the statement run by the customer's configured output preference (email, print or both). Select a specific preference to include only customers with that output method, or leave as **All** to include all customers regardless of preference.

**Format:** Drop-down menu | **Default:** All | **Editable:** Yes

## Statement Parameters

The **Statement Parameters** section defines additional options for how statements are generated, including whether to reprint previously outputted statements, include deferred invoices, add comments or apply custom messages.

### Statement Copies

The **Statement Copies** checkbox controls whether the statement run includes previously outputted statements. Enable the **Statement Copies** checkbox to regenerate and include all statements for the period, including statements that have already been sent or printed.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes

### Print Defer Statement

The **Print Defer Statement** checkbox controls whether deferred invoice information is included in the statement output. Enable the **Print Defer Statement** checkbox to include deferred invoice details on customer statements. The **Print Defer Statement** checkbox is only visible when the **DfrStPrt** flag is enabled in **System Settings - Flags**.

When deferred statement printing is enabled, the statement output varies by statement type:

- For **Open Item** statements, deferred invoices are listed as "Deferred Invoice" lines, with a total deferred value at the bottom of the statement.
- For **Balance Forward** statements, only the total deferred value is shown at the bottom of the statement. Individual deferred invoices are not listed separately.
- If a customer has deferred invoices and the **Print Defer Statement** checkbox is enabled, Frameworks produces both the standard statement and a deferred summary page with a monthly breakdown. If a customer has no deferred invoices, only the standard statement is produced.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes | **Visibility:** Only visible when the **DfrStPrt** flag is enabled. | **Related fields:** The **RecPrntBF** flag overrides the customer's configured statement type to Balance Forward, which changes how deferred invoices are summarised on the statement.

### Comments

The **Comments** checkbox controls whether order line comments are included on the statement output. Enable the **Comments** checkbox to print order line comments alongside transaction details on customer statements.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes

### Suppress All Zero Balance Transactions

The **Suppress All Zero Balance Transactions** checkbox controls whether customers with a zero account balance are excluded from the statement run. Enable the **Suppress All Zero Balance Transactions** checkbox to skip customers whose account balance is zero, reducing unnecessary statement output.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes

### Include Zero Balance Only if Transactions

The **Include Zero Balance Only if Transactions** checkbox controls whether zero-balance customers are included in the statement run when they have transactions in the statement period. Enable the **Include Zero Balance Only if Transactions** checkbox to include zero-balance customers who had activity during the period, while still excluding zero-balance customers with no transactions.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes | **Related fields:** The **Suppress All Zero Balance Transactions** checkbox takes priority. If **Suppress All Zero Balance Transactions** is enabled, zero-balance customers are excluded regardless of the **Include Zero Balance Only if Transactions** setting.

### Always Include Credit Balance

The **Always Include Credit Balance** checkbox controls whether customers with a credit balance (the customer is owed money) are always included in the statement run. Enable the **Always Include Credit Balance** checkbox to ensure customers with credit balances receive a statement showing their credit position.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes

### Include Credit Balance Only if Transactions

The **Include Credit Balance Only if Transactions** checkbox controls whether credit-balance customers are included in the statement run only when they have transactions in the statement period. Enable the **Include Credit Balance Only if Transactions** checkbox to include credit-balance customers who had activity during the period, while excluding credit-balance customers with no transactions.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes | **Related fields:** The **Always Include Credit Balance** checkbox takes priority. If **Always Include Credit Balance** is enabled, credit-balance customers are always included regardless of the **Include Credit Balance Only if Transactions** setting.

### Statement Message 1 / Statement Message 2 / Statement Message 3

The **Statement Message 1**, **Statement Message 2** and **Statement Message 3** fields allow you to add custom messages to the statement output. Enter up to three lines of text that will appear on all statements produced in the run. Use statement messages for seasonal greetings, payment reminders or important notices.

**Format:** Text (free text) | **Required:** No | **Editable:** Yes

## Invoice Parameters

The **Invoice Parameters** section controls whether customer invoices are generated alongside the statement output. Enabling invoice printing displays additional fields for configuring the invoice output.

### Print Invoices

The **Print Invoices** checkbox controls whether customer invoices are printed as part of the statement run. Enable the **Print Invoices** checkbox to generate invoices alongside statements. Enabling the **Print Invoices** checkbox reveals additional fields for invoice configuration.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes

### Invoice Copies

The **Invoice Copies** checkbox controls whether the invoice output includes previously outputted invoices. Enable the **Invoice Copies** checkbox to regenerate and include all invoices for the period, including invoices that have already been sent or printed. The **Invoice Copies** checkbox is only visible when the **Print Invoices** checkbox is enabled.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes | **Visibility:** Only visible when the **Print Invoices** checkbox is enabled.

### Invoice Email Details

When the **Print Invoices** checkbox is enabled, additional email fields are displayed for overriding the customer's default invoice email settings. Use these fields to redirect invoice output to a different email address for the current run.

The **Invoice Copies** and invoice email override fields are only visible when the **Print Invoices** checkbox is enabled.

**Format:** Text (email address) | **Required:** No | **Editable:** Yes | **Visibility:** Only visible when the **Print Invoices** checkbox is enabled.

When printing invoices with statements, two system flags control how the documents are organised:

- **RecStmtInv:** When enabled, invoice details are embedded directly into the statement format. Individual invoices do not print separately.
- **ConsolStmtInv:** When enabled and **RecStmtInv** is disabled, statements and invoices are grouped by customer. Each customer's statement prints followed by their invoices. When disabled, all statements print first, then all invoices print separately.

## Output Parameters

The **Output Parameters** section defines the email and printer settings for the statement output. The customer's **Nuvu Preference** setting determines whether statements are emailed, printed or both.

### From Email Address

The **From Email Address** field defines the sender email address that appears on emailed statements. The **From Email Address** value is the email address customers see as the sender when they receive their statement.

**Format:** Text (email address) | **Editable:** Yes

### Reply To Email Address

The **Reply To Email Address** field defines the reply-to email address for emailed statements. When a customer replies to a statement email, the reply is directed to the address specified in the **Reply To Email Address** field.

**Format:** Text (email address) | **Editable:** Yes

### BCC

The **BCC** field defines a blind carbon copy email address for emailed statements. Use the **BCC** field to send a copy of all emailed statements to an internal mailbox for record-keeping without the customer seeing the additional recipient.

### Email Subject

The **Email Subject** field defines the subject line for emailed statements. Enter a descriptive subject line so customers can identify the statement email in their inbox.

**Format:** Text (free text) | **Required:** No | **Editable:** Yes

### Email Message

The **Email Message** field defines the body text for emailed statements. Enter a message that accompanies the attached statement PDF in the email body. Use the **Email Message** field for payment reminders, contact details or other information relevant to the statement.

**Format:** Text (multi-line free text) | **Required:** No | **Editable:** Yes

### Printer Address

The **Printer Address** field defines which printer is used for printed statements. The **Printer Address** defaults to the user's configured default printer. Click the **Search** icon to open the **Printer Finder** window and select a different printer.

**Action:** Click the **Search** icon to open the **Printer Finder** window.

**Format:** Text (alphanumeric search) | **Default:** User's default printer | **Editable:** Yes

## Command Buttons

The command buttons at the bottom of the screen allow you to manage the scheduled statement print task.

### Submit

The **Submit** button submits the scheduled statement print task for processing based on the configured criteria and schedule settings.

**Action:** Click **Submit** to queue the statement print task for processing.

### Cancel

The **Cancel** button cancels the current configuration and clears all entered criteria without submitting the task.

**Action:** Click **Cancel** to discard changes and clear the screen.

### Close

The **Close** button closes the **Scheduled Statement Print** screen and returns to the previous screen.

**Action:** Click **Close** to close the screen.
