# Overview

The **Work Order Maintenance** screen allows you to add and remove products, log time towards, and add expenses to a work order.

# Accessing Work Order Maintenance

To access **Work Order Maintenance**, complete the following:

1. Click the **Frameworks Menu** and navigate to **WorkOrders **> **Work Orders** from the navigation tree.
2. Enter the necessary information into the search fields and click **Find** to return a list of existing work orders.
3. Click the **Work Order** hyperlink to open the work order or click **New** to create a new **stock** work order.

# Navigating Work Order Maintenance

The **Work Order Maintenance** screen is made up of 3 main sections:

## The Work Order Details

In this section, you are able to view the details related to the selected work order.

> ℹ️ Click the **Search** breadcrumb, in the top left, to go back to the the [Work Orders Dashboard ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28388388)screen.

Click **Refresh** to refresh the details of the work order. This is typically used after the [Time Sheet Entry ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28388398)have been updated.

> ℹ️ The **Header** details can be edited via **Actions** and then selecting **Edit Header.**

**Work Order**

Displays the work order transaction number.

**Type**

Displays the transaction type of work order.

---

**Status**

Displays if the work order is **IN-PROGRESS** or **COMPLETED**.

---

**Customer**

Displays the **Customer ID **and **Customer Name **the work order is for. 

---

**Assignee**

Displays the Frameworks user who has been assigned to the work order. 

---

**Description**

Displays a description of the work order.

---

**Company **

Displays the **Company ID **the work order has been created by.

---

**Branch**

Displays the **Branch ID **the work order has been created by.

---

**Linked Transaction and Suffix**

Displays the **Transaction **and **Suffix Number **linked to the project, service or workshop orders.

---

**Linked Delivery Date**

Displays the **Delivery Date** of the the linked project, service or workshop orders.

---

**Linked Delivery Address**

Displays the **Delivery Address** of the the linked project, service or workshop orders.

## The Actions Menu

The **Actions** menu has options to manage the work order. These options are:

### 1. Stock In

From the **Actions** menu, select **Stock In** to add products to the work order.

> ⚠️ The System Setting - Flag **FWWorkBrnHdr** defines if the default branch will be the users logged in branch or the same as what is defined in the Work Orders header.

<summary>General Ledger Movements on Stock In</summary>

Service WIP account as per setup show stock committed to the work order

1. **CREDIT **(CR) - **Stock account **for the product group of the product being used
  1. If not defined for the product group, CR stock account at company level.
2. **DEBIT** (DR) - **Work in Progress **account defined for the transaction type if not zero/blank.
  1. If the Work in Progress account is not defined for the transaction type then the DR is to post to the branch level work in progress account.

### 2. Stock In Packs

From the **Actions** menu, select **Stock In Packs** to add packs or pack items to the work order.

> ⚠️ If a tally pack is made up of multiple lengths, the pack is automatically split by each length.

> ⚠️ The System Setting - Flag **FWWorkBrnHdr** defines if the default branch will be the users logged in branch or the same as what is defined in the Work Orders header.

### 3. Stock Out

To return stock from a work order back to the store, from the **Actions** menu, select **Stock Out** to enter the products to remove from the work order:

1. **DEBIT** (DR) - **Stock account **for the product group of the product being used
  1. If not defined for the product group, DR stock account at company level.
2. **CREDIT** (CR) - **Work in Progress** account defined for the transaction type if not zero/blank.
  1. If the Work in Progress account is not defined for the transaction type then the CR is to post to the branch level work in progress account.

### 4. Stock Out Packs

To return packs or pack items from the work order back to the store, from the **Actions** menu, select **Stock Out Packs**.

### 5. Log Time

From the **Actions** menu select **Log Time** to open the **Log Time **window and log time against the work order.

**User**

The user the logged time is assigned to.

**Role**

The role assigned to the selected **User**. This is configured under [Labour Setup](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28407178).

**Start Date**

The date the work was completed.

---

**Start/End Time**

The time spent (in 24 hour format). This will automatically calculate the **Hours Worked **field.

1. **CREDIT **(CR) - **Labour Recovery** account defined for the transaction type if not blank/zero.
  1. If not defined for the transaction, CR the labour recovery account defined for the branch.
2. **DEBIT **(DR) - **Work in Progress **account defined for the transaction type if not zero/blank.
  1. If the Work in Progress account is not defined for the transaction type then the DR is to post to the branch level work in progress account.

> ℹ️ Users can also log time from within [Time Sheet Entry ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28388398).

> ⚠️ Timesheets cannot be marked as completed here, you need to go to [Time Sheet Entry ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28388398)to review and approve the time entered.

### 6. Expense Entry

If a user requires additional services to complete the work order, for instance a crane was hired to move a hot water tank, they can select **Expense Entry **from the **Actions** menu to open the **Expense Entry** popup window.

**Supplier**

The supplier the expense has been provided by.

**Description**

Description of the expense for reference.

---

**Expense Type**

These are defined under 3rd Party Expenses Types as configured under [Project/Service Configuration](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28407178).

---

**Cost**

The cost of the expense if known, or an estimated cost.

---

**Sell**

This is automatically calculated based on the **Cost** entered, plus the markup % for the **Expenses Type** as defined under [Project/Service Configuration](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28407178).

---

**Date**

The date the expense was/is incurred.

---

**Completed**

Enable if the expense including the cost has been confirmed, otherwise unticked until such time as the expense invoice has been cited.

<summary>General Ledger Movements on Expense Entry</summary>

1. **CREDIT **(CR) - **Expense Recovery** account defined for the transaction type if not blank/zero.
  1. If not defined for the transaction, CR the expense recovery account defined for the branch.
2. **DEBIT** (DR) - **Work in Progress **account defined for the transaction type if not zero/blank.
  1. If the Work in Progress account is not defined for the transaction type, then the DR is to post to the branch-level work in progress account.

> ⚠️ Adding an expense to a work order** **does not create an expense invoice in Payables.

### 7. Progress Claim

On a monthly basis, the work done to date on a project order needs to be invoiced to the customer as a progress claim.

From the **Actions** menu, select **Progress Claim** to process a progress claim for a project order.

> ⚠️ This option is only available for work orders linked to project orders.

### 8. Close Order

From the **Actions** menu, select **Close Order** to close the work order and consolidate the items to their respective workshop, service or project order ready for invoicing.

### 9. Edit Header

Select **Edit Header** from the **Actions** menu to edit the header details. You can modify the **Description, Branch** and the **Assignee **fields.

> ⚠️ The assign **Branch** can be changed ONLY if the Work Order has NO lines added AND the Work Order is NOT linked to a Sales Order.

### 10. Delete

Select **Delete** from the **Actions** menu to delete the Work Order from the system.

> ⚠️ The **Delete** option is only available if the Work Order has NO lines added AND the Work Order is NOT linked to a Sales Order.

## The Work Order Maintenance Grid

Contains a list of line entries added to the work order.

**Line**

The line number. Added sequentially in the order the line was added to the work order. If the line is not yet complete (**Completed**), you can click the hyperlink to edit the line.

**Brn**

The branch the line is associated with.

---

**Type**

The line type can be any of the following:

- **StockIn**: Products or packs/pack items added to the work order.
- **StockOut**: Products or packs/pack items removed from the work order.
- **LogTime**: The time logged towards the work order.
- **Expense**: Expenses charged against the work order.

---

**Date/Time Processed**

The date and time the line was added to the work order.

---

**User**

The user the line was processed by.

---

**Pack**

The pack number of the pack or pack item(s).

---

**Product/Supplier**

The product number or the supplier ID.

---

**Description**

Displays a description of the product that has been added IN or removed OUT of the work order. A tally text description will be added for any Packs or Tally products.

---

**Qty**

Amount of the line item (pack item quantity = length x qty).

---

**UOM**

The product or pack/pack item unit of measure.

---

**Labour Date**

Date the logged labour was completed.

---

**Hours Worked**

The hours the labourer worked.

---

**Role**

The labourer's role.

---

**Rate**

The labourer's pay rate.

---

**Cost**

The cost price.

---

**Sell**

The sell price.

---

**Expense Type**

Type of expense added to the work order. Defines the

**Comment**

Any comments added to the line entry.

---

**Completed**

Enable if the line has been verified and completed.

> ⚠️ Only **Line** items ticked as complete are posted to the GL. Products added as **Stock In** are ticked by default, all other types such as time entry can be reviewed and then ticked once approved; only then does the GL get updated.
