> **Contacts **are a pricing method that allow you to apply defined contact pricing to the products, which are on a sales transaction, contained within the applicable contract. The contract pricing can be added automatically or manually to a sales transaction.

> > ⚠️ **Note**: Any applied contract pricing may overridden by your <u>[Pricing Hierarchy](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28377236)</u>. The pricing hierarchy is used to determine your customers "best" price based on our businesses' pricing rules.

> # What are the Contract Types?
> 
> There are three main contract types within Frameworks. these are:
> 
> 1. **Customer Contracts**  
> A customer contract allows you to provide contract pricing for an **individual customer** across **all branches**. You can apply a customer contract to a new sales transaction or when repricing a transaction by selecting the contact from a list of contracts available to the customer. Once selected the contract prices will be applied to that transaction.
>   If a customer contract is defined as a **Default **or **Auto-Select Contact**, then the contract pricing will be automatically applied to a customer's sales transaction without the need for selecting a customer contract.
> 
> > ⚠️ - **Default Contracts: **There can ONLY be one default contract per customer.
> > ⚠️ - **Auto-Select Contracts**: There can be multiple auto-select contracts per customer. If a product has different pricing on multiple auto-select contracts assigned to a customer, then the best price is applied to the transaction.
> > ⚠️ 
> > ⚠️ Default and auto-select customer contracts are on a different pricing hierarchy level allowing for pricing to behave differently between the contract types.
> 
> 2. **National Contracts**  
> A national contract allows you to provide contract pricing for **multiple customers** across **all branches**. You can apply a national contract to a new sales transaction or when repricing a transaction by selecting the contact from a list of contracts available to the customer. Once selected the contract prices will be applied to that transaction.
> 
> > ℹ️ If no customers are applied to the contract, you can apply the contract to all customer sales transactions. If customers are applied to the contract, then only those customer's sales transactions can be applied with the contract.

> > ⚠️ When adding customer to a national contract you can define them to use the national contract as their **Default **or an **Auto-Select Contact. **This allows for the national contract pricing to be automatically applied to a customer's sales transaction without the need for selecting the national contract. 
> > ⚠️ 
> > ⚠️ - **Default Contracts: **There can ONLY be one default contract per customer.
> > ⚠️ - **Auto-Select Contracts**: There can be multiple auto-select contracts per customer. If a product has different pricing on multiple auto-select contracts assigned to a customer, then the best price is applied to the transaction.
> > ⚠️ 
> > ⚠️ Default and auto-select contracts are on a different pricing hierarchy level allowing for pricing to behave differently between the contract types.

> 3. **Job Contracts**  
> A Job contract allows you to provide contract pricing for **multiple customers** across **specific branches**. You can apply a job contract to a new sales transaction or when repricing a transaction by selecting the contact from a list of contracts available to the customer. Once selected the contract pricing will be applied to that transaction.
> 
> > ⚠️ Job contracts can **not** be defined as a customer's **Default **or an **Auto-Select Contact.**
> 
> > ℹ️ - If no customers are applied to the contract, you can apply the contract to all customer sales transactions. If customers are applied to the contract, then only those customer's sales transactions can be applied with the contract.
> > ℹ️ - If no branches are applied to the contract, you can apply the contract to transactions for all branches. If branches are applied to the contract, then only those branch transactions can be applied with the contract.
> > ℹ️ - The customers and branch functions work together.

# Accessing the Contracts Maintenance Screen

To access Contracts Maintenance Screen, perform the following:

1. Click **Frameworks **then navigate to** Special Pricing > Maintenance > Contracts **from the navigation tree.
2. Click **Find **to view all the contracts in Frameworks.

3. Click the **Contract** hyperlink to open the contract maintenance screen.

# Navigating the Contracts Maintenance Screen

Once you have entered the **Contracts Maintenance** screen you can **view, edit** and **maintain** the selected contract.

The screen is made up of two sections, these are:

## 1. The Header (Details) Information 

In this section you are able view and maintain the contract details.

> ℹ️ You are able to make changes to the Header information by clicking on the **Actions** button and selecting **Edit Contract Header**.

**Contract**

Displays the contract number and name for the contract. This field is automatically populated when the contract is created and uniquely identifies the contract within Frameworks.

**Customer**

Displays the assigned customer Id and name for customer contract types. For national and job contract types, this field displays 0 as no individual customer is assigned at the header level.

- Only visible for customer contract types
- For national and job contracts, customers are assigned via the Customers tab

---

**Contact**

Displays the main contact's name for the customer. This field is automatically populated from the customer's primary contact information maintained in Customer Maintenance.

- Only visible for customer contract types where a customer has been assigned
- Contact details are maintained in Customer Maintenance

---

**Address**

Displays the customer's address. This field is automatically populated from the customer's primary address information maintained in Customer Maintenance.

- Only visible for customer contract types where a customer has been assigned
- Address details are maintained in Customer Maintenance

---

**Start and End Date**

Displays the start and finish dates the contract is effective from and to. These dates define the period during which the contract pricing can be applied to sales transactions.

- Start date indicates when the contract becomes active
- End date indicates when the contract expires
- Dates can be modified via the Edit Contract Header action

---

**Contract Type**

Displays the contract type of the contract. Available contract types include:

- **Customer**: Contract pricing for an individual customer across all branches
- **National**: Contract pricing for multiple customers across all branches
- **Job**: Contract pricing for multiple customers across specific branches

The contract type determines which features and tabs are available in the Contracts Maintenance screen.

**Pricing Rule**

Displays the assigned pricing rule of the contract. The pricing rule determines how contract pricing is calculated and applied to products on this contract. Available pricing rules include:

- **Fixed Price**: Allocates a fixed selling price as entered by the user
- **Discount**: Allocates a percentage discount on the retail selling price
- **Gross Profit**: Sets the contract sell price to the gross profit percentage entered
- **Detail Line**: Pricing rule is determined at each individual line of the contract

## 2. Future Reviews 

This section displays the up-and-coming review dates. These dates are bases on the **Start Date** of the contract **Review Frequency (Months) **define in the header details.

## 3. Actions Menu

From the **Actions **button additional options are available to maintain the contract.

**Edit Contract Header**

This option allows you to update the Customer, National or Job Contract Header details. The available options will differ depending on the contract type selected. Click **Save **once complete.

The following fields are visible or editable via the **Contract Header **window.

**Contract Type**

Displays the contract type of the selected contract. 

> ℹ️ For customer or default contract types, you can use the drop-down menu to select Customer or Default.

**Auto Select**

Enable this option to have this contract automatically selected for pricing when applicable products are added to sales transactions. When enabled, the contract pricing is applied without requiring manual contract selection.

**Contract Number**

Displays the contract number for the selected contract. This field is automatically populated when the contract is created and cannot be modified.

**Description**

Enter a description for the contract for easy reference. The description helps identify the contract's purpose and makes it easier to locate in contract lookups.

**Customer**

Displays the assigned customer Id and customer name for the selected customer. This field identifies which customer the contract applies to.

**Pricing Rule**

Displays the assigned pricing rule for the selected contract. If required, this can be updated to a **Detail Line** pricing rule which means that the pricing rule is determined at each individual line of the contract.

Available pricing rules include:

- **Fixed Price**: Allocates a fixed selling price as entered by the user
- **Discount**: Allocates a percentage discount on the retail selling price
- **Gross Profit**: Sets the contract sell price to the gross profit percentage entered
- **Detail Line**: Pricing rule is determined at each individual line of the contract

**Start Date **and **Finish Date**

Enter the start and finish dates for the contract to be effective from and to or click the date finder icon to select dates from a calendar. These dates define the period during which contract pricing can be applied to sales transactions.

**Lock Period**

Enter the Lock Period (number of days) for which the pricing will be locked in, preventing price changes, prior to future pricing review dates. This prevents product future pricing changes from being applied too close to scheduled review dates.

**Lock Date**

The Lock Date will be calculated when the **Contract Margin Management** scheduled task is run. This is the date for which the pricing will be locked into before the price is reviewed. Any product future pricing changes due to occur during the time between the lock date and the **Future Review** date will be moved to the next review period.

The date is calculated from the next future review date less the days defined by the lock period. For example, if the next price review is the 30/05 and the lock period is 5 days then the lock date would be 25/05. Alternatively, you can use the date finder to select it.

**Review Frequency**

Enter the Review Frequency which indicates the number of months between contract review dates. This setting is used to automatically schedule future price review dates for the contract.

**No. of Customers**

Displays the number of customers currently linked to the contract. Customers are linked via the **Customers** contract maintenance tab.

- Read-only display field
- If zero, the contract can be applied to all customers
- If greater than zero, only listed customers can use the contract

**Special Buy In**

Enable this option if there are Special Buy-Ins in this contract. Special buy-ins are products purchased at special pricing from suppliers for a limited time, which can be passed on to customers through contract pricing.

**No. of Branches**

Displays the number of branches currently linked to the contract. Branches are linked via the **Branches** contract maintenance tab.

- Read-only display field
- If zero, the contract can be applied to all branches
- If greater than zero, only listed branches can use the contract

**Hold Sell**

Enable this option to retain the sell price of products on Gross Profit-based contracts when those products' costs decrease. When enabled, the selling price remains unchanged even when the product cost drops, maintaining or increasing the gross profit margin.

**Quote Number**

If the contract has been created via a quote the Quote Number will be displayed for reference. This field provides traceability between quotes and contracts created from those quotes.

**Fixed Quantity**

Enable this option if this customer contract is for a fixed quantity on certain products. This quantity may then be defined when typing the contract details. When enabled, you can specify maximum quantities that can be purchased at contract pricing.

**Exclude from Lookups**

Enable this option to hide this contract from contract lookups in Sales Order Processing, Point Of Sale and Job Processing. This checkbox determines whether this contract is hidden from users on sales screens.

**Print Original**

Enable this option to print original selling prices on invoices. When enabled, both the original retail price and the contract price are displayed on invoice documents, showing the customer the discount they received.

**Cartage**

Select whether cartage is **Required** or **Not required** from the drop-down menu. This option is used for the **Central Allocations** module where cartage products may be required on the contracts.

**Distance**

If Cartage is required you will need to enter a distance (KM) for the cartage. This field will be removed if cartage is not required. This option is used for the **Central Allocations** module.

**Lot No Required**

Enable this option if you require the **Lot Number** field in a Weighbridge Ticket, which has a contract assigned to it, to be visible and mandatory. This option is used for the **Central Allocations** module.

**Price Margin %**

Enter a margin management percentage to be applied to the contract. This percentage is used to increase the sell price on the contract lines when the **Contract Margin Management** scheduled task is run.

**Add Contract Lines**

This option displays the product/product group entry section to the **Contract Lines** tab. This allows you to add products and pricing rules to the Customer, National or Job Contract pricing rules.

This option allows you to search for product or product groups in the contract.

**Renumber Contract Lines**

This options automatically renumbers Customer, National or Job Contract lines in sequential numbering order.

**Delete Contract**

This option allows you to delete the selected contract. Once selected you will be promoted to confirm deletion of the selected contract. Select **Yes** to delete the contract.

> ⚠️ Contracts can be deleted while active on an Open Sales Order, however the Contract price will still take effect on the Order regardless unless the order is repriced.

**Review Future Prices**

This option opens the **Contract Future Price Review **screen already loaded with the details of the contract being maintained and the next review date.

**Copy Contract Lines**

This option opens the **Copy Contract** window allowing you to select a contract to copy. After searching and selecting the contract, all the contract lines of the selected contract will be copied into the current contract.

> ℹ️ If any lines being copied already exist on the contract, then the new lines will not be copied in.

**Auditing**

This option allows to audit the change history for the contract, via the **Audit Enquiry **screen.

## 4. The Contract Maintenance Tabs

The **Contract maintenance tabs** are where you can add, view and edit products, product groups, updated contract lines, assign customers and branches and maintain delivery address information.

### 1. Contract Lines Tab

The **Contract Lines **tab is where you can add, view and edit products, product groups and the contract pricing information.

> ℹ️ The **Contract Lines **tab is used by **all** **contract types.**

This section has 2 sections:

#### 1. Contract Lines Entry

The **Contract Lines Entry** section has 3 functions. These are:

**A. Adding a Product**

From here you are able to add products and their contract pricing.

> ℹ️ If this section is not visible, from the **Actions **menu select **Add Contract Lines**. Use the **<Tab> **key to move between the fields.

**Product**

Enter the Product ID you want to add to the contract. This field allows you to specify individual products that will have contract pricing applied.

- Scan, type, or search for the product using the product code or description
- Click **Search** to open the Product Finder window for advanced product searching
- Use the Tab key to move to the next field after entering a product

**Toggle**

Click the **Toggle** button to toggle between the **Product** and **Product Group** entry. This allows you to switch between adding individual products and adding entire product groups to the contract.

**Price Rule**

Displays the Pricing Rule as defined when creating the contract. If the contract has the **Detail Line** pricing rule, you can select the relevant pricing rule for this specific contract line from the drop-down menu.

Available pricing rule options are:

- **Fixed Price**: Allocates a fixed selling price as entered by the user
- **Discount**: Allocates a percentage discount on the retail selling price
- **Gross Profit**: Sets the contract sell price to the gross profit percentage entered

---

**Cost Price**

Enter the product's cost price for the contract line, if it differs from the standard cost of the product. This allows you to specify a different cost basis for contract pricing calculations, particularly useful for special buy-in situations.

- Optional field - if left blank, the product's standard cost is used
- Used to calculate gross profit percentage when GP-based pricing rules are applied
- Particularly relevant for Special Buy-In contracts with negotiated supplier pricing
- Cost entered here does not affect the product's standard cost in Product Maintenance

> ⚠️ The **ConCstWr** system flag can be enabled to warn if the contract cost entered exceeds the standard cost

---

**GP %**

Enter the product's gross profit percentage for the contract line. Once entered, the **Disc %, Sell (Ex)** and **Sell (Inc)** fields will calculate accordingly.

---

**Disc %**

Enter the product's Contract Discount percentage value for the contract line. Once entered, the **GP %, Sell (Ex)** and **Sell (Inc)** fields will calculate accordingly.

> ⚠️ The **PrcConDisc** system flag can be enabled to stop discounts in contracts

---

**Sell (Ex)**

Enter the product's Contract Sell price (excluding GST) for the contract line. Once entered, the **GP %, Disc %** and **Sell (Inc)** fields will calculate accordingly.

---

**Sell (Inc)**

Enter the product's Contract Sell price (including GST) for the contract line. Once entered, the **GP %, Disc %** and **Sell (Ex)** fields will calculate accordingly.

---

**Quantity**

Enter the quantity of products which can be sold under this contract. This field tracks the maximum quantity available at contract pricing, useful for fixed-quantity agreements or special buy-in situations.

---

**Customer's Ref**

Enter a customer reference for the contract line if required. This field allows you to record customer-specific product codes, job numbers, or other reference information.

- Optional field for additional tracking and reference purposes

---

**Comments**

Enter any comments related to the contract line if required. Use this field to record special handling instructions, terms, or other notes specific to this product on the contract.

- Optional field for documenting special requirements or conditions

---

**Check**

Click **Check** to add the product to the **Contract Lines Grid**. This action validates the entered information and adds the contract line to the contract.

---

**Information**

Click the **Information** button to open the Purchase Sales Information window. This provides detailed product information including pricing, costs, stock levels and sales history.

**B. Adding a Product Group**

From here you are able to add products groups and their contract pricing.

**Product Group**

Enter the Product Group ID you want to add to the contract. Product groups allow you to apply contract pricing to multiple related products at once, using a single contract line.

- Click **Search** to open the Product Group Finder window
- Product groups are not permitted where the pricing rule is Fixed Price
- All products within the selected group (and optional subgroups) receive the same discount or GP% pricing
- More efficient than adding products individually when pricing applies to entire categories

**Toggle**

Click **Toggle** to toggle between the **product group** and **product** entry. This allows you to switch between adding product groups and individual products to the contract.

**Sub Group**

Enter the Product Sub Group ID you want to add to the contract. Sub groups allow you to narrow the contract pricing to a specific subset within a product group.

- Click **Search** to open the Product Sub Group Finder window
- Optional field - if left blank, all subgroups in the product group are automatically included
- Allows more granular control over which products receive contract pricing
- Multiple product group lines can be added with different subgroups selected

---

**GP %**

Enter the product group's gross profit percentage for the contract line. Once entered, the **Disc %** field will calculate accordingly.

---

**Disc %**

Enter the product group Contract Discount percentage value for the contract line. Once entered, the **GP%** field will calculate accordingly.

- Required when adding a product group line

> ⚠️ The **PrcConDisc** system flag can be enabled to stop discounts in contracts

---

**Check**

Click **Check** to add the product group to the **Contract Lines Grid**. This action validates the entered information and adds the product group line to the contract.

---

**Information**

Click **Information** to open the Viewing Purchase Sales Information window. This provides detailed information about products within the selected product group.

**3. Searching for a Product or Product Group**

To enable the **Search **function from the **Actions **menu, select **Search Contract Lines. **

- In the **Product **field enter the product's name or Id you want to find. Click **Search **to open the [Product Finder](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30531076) window.
- In the **Product Group ID **field, you want to find. Click **Search **to open the **Product Group Finder **window.
- In the **Supplier **field enter the supplier's name or Id you want to find. Click **Search **to open the S**upplier Finder** window.
- From the **Filter **drop-down you can choose to filter the results by **Show Product and Cartage, Show Product Only** or **Show Cartage Only.**

Click **Find **once the search criteria have been entered to update the results in the **Contact Lines Grid.**

### 2. Contract Lines Grid

The **Contract Lines Grid** displays the products and product groups with their contract related pricing rules, costs, sell prices, discount and GP% value that has been added to the contract.

- Click the **Edit **icon to edit the product/group line and add or remove future prices reviews for the contract line.
- Click the **Close **icon to remove the product/group line from the contract.

> ℹ️ If contract pricing has been applied for a product on a sales transaction the **Unit Price **field will be highlighted in a **light blue/grey** colour.

**Line**

Displays the product line number. Line numbers provide sequential ordering of products within the contract and are used for reference purposes.

- To reorder the contract lines in sequential numbering order from the **Actions** menu select **Renumber Contract Lines**

**Product/Group**

Displays the Product or Product Group Id. This field identifies whether the line represents an individual product or a product group with multiple products.

---

**Product Desc.**

Displays the description for the Product or Product Group. This provides the full descriptive name to help identify the product or group on the contract line.

---

**Product Type**

Displays the type of product for each contract line, as defined in Product Maintenance, under **Key Details**. Product types categorise products based on their nature and handling requirements.

- This column is not displayed by default.

**Branch Prod. Type**

Displays the branch product type of product for each contract line, as defined in Product Maintenance, under **Product Branch Stock**. This displays if the product is stocked or not stocked at the branch level

- This column is not displayed by default.

**Stocking UOM**

Displays the stocking unit of measure for the contract line. This indicates the base unit used for inventory tracking and pricing calculations for this product.

**Price Rule**

Displays the pricing rule applied to this contract line. The pricing rule determines how the contract price is calculated and applied. The options are:

- **L = Prices determined line by line**: Each line has its own pricing rule (Detail Line contracts)
- **F = Fixed Price**: A specific selling price is set for the product
- **D = Discount**: A percentage discount is applied to the retail price
- **G = Gross Profit**: Selling price is calculated to achieve a target GP%

**Cost**

Displays the product's cost price for the contract line. This is the cost basis used for calculating gross profit percentages and contract pricing.

---

**GP %**

Displays the product's gross profit percentage for the contract line. This shows the margin being achieved or targeted on this contract line.

---

**Disc %**

Displays the product's Contract Discount percentage value for the contract line. This shows the discount from the retail price being offered through this contract.

---

**Average Cost**

Displays the product's Average Cost of the contract line. This shows the weighted average cost of the product in inventory, which may differ from the contract cost.

---

**Sell (Ex)**

Displays the product's Contract Sell price (excluding GST) for the contract line. This is the actual selling price that will be applied when this contract is used on sales transactions.

---

**Sell (Inc)**

Displays the product's Contract Sell price (including GST) for the contract line. This shows the total price including GST that customers will pay.

---

**Has Future**

Displays whether the product line has a Future Price Review defined against it. When enabled, this indicates that scheduled price changes exist for this contract line.

- Past Review Dates are NOT included - only future scheduled reviews

**Qty**

Displays the quantity of products which can be sold under this contract. This shows the maximum quantity available at contract pricing for fixed-quantity contracts.

**Sold**

Displays the quantity sold of the contract line. This tracks how much of the contracted quantity has been used on sales transactions.

- When Sold quantity reaches the Qty value, contract pricing may no longer apply

**Supplier**

Displays the supplier Id for the contract line. This identifies which supplier provides the product for this contract, particularly relevant for special buy-in contracts.

**Supplier Ref**

Displays any supplier reference information for the contract line. This field shows supplier-specific codes, model numbers, or reference information.

---

**Expiry Date**

Displays the special buy-in purchase expiry date from the supplier for the cost. This shows when the special supplier pricing expires and costs may increase.

**T&T Price/TN**

Displays the Truck and Trailer contract price per tonne. This field shows the cartage rate for truck and trailer delivery configurations.

**Tandem Price/TN**

Displays the Tandem Truck contract price per tonne. This field shows the cartage rate for tandem truck delivery configurations.

### 2. Customers Tab

The **Customers **tab allows to you add customers to a **Nationals** or** Job **contract.

- From the **Add Customer **field enter a customer and select from the suggestion list or click **Search **to open the **Customer Finder** window.
- Click **Check **to add the customer to the contract.
- Click the **Edit **or **Close **icons to edit or remove a customer from a contract.
  

**For National Contracts:**

- If no customers are applied to the contract you can apply the contract to all customer sales transactions. If customers are applied to the contract then only those customer's sales transactions can be apply with the contract.
- For a customer you can enable the **Default **checkbox to set this as a customer default contract (Note a customer can only have one default contract). This will automatically apply the contract pricing to the customer.
- Enable **Auto Select **to set this contract as an auto-select contract for the customer, meaning that it is automatically selected and assigned to the transaction line when a contracted product is added to a sales order or quote. A customer can have multiple auto-select contracts and the best priced one will be used.

**For Job Contracts:**

- If no customers are applied to the contract, you can apply the contract to all customer sales transactions. If customers are applied to the contract, then only those customer's sales transactions can be applied with the contract.

### 3. Branches Tab

The **Branches **tab allows to you add branches to a **Job **contract.

1. From the **Add Branch** drop-down menu select the branch that required the access to the contract.
2. Click **Check **to add the branch to the contract.
3. Click the **Close **icons to remove a branch from a contract.

> ℹ️ If no branches are applied to the contract, you can apply the contract to transactions for all branches. If branches are applied to the contract, then only those branch transactions can be applied with the contract.

### 4. Project Delivery Address Tab

> ⚠️ The Project Delivery Address tab is only displayed when the feature code **CAL** is active

The **Project Delivery Address tab** displays the delivery addresses for linked central allocation projects. Adding a new delivery address in the Project Delivery Address tab in Contract Maintenance will create a record in Delivery Address Maintenance.

- Click New Delivery Address to add a new delivery address.

> ℹ️ The **Project Delivery Address** tab is used for **Customer** and **Default Contracts.**
