# Overview

Interim invoicing allows for invoices, for Account customers only, to enter a hold state after being released, allowing time for minor changes (repricing, credits, etc.) and additions (new products and special buy-ins) to take place via the Interim Invoices dashboard.

Each interim invoice remains in a hold state for a period defined by the **IntInvDel** integer setting. Once this period has elapsed, the invoice/s are picked up and processed by the Scheduled Interim Invoice Post task. Alternatively, individual interim invoices can be selected for immediate processing via the **Post Immediately** checkbox. 

> ⚠️ The stock that is currently on an interim invoice is taken into account when stock is being frozen in a stocktake.

2. Click **Post Interim** from either the:

# Accessing the Interim Invoices maintenance screen

To access the **Interim Invoices maintenance **screen, perform the following:

1. Click the **Frameworks Menu** and navigate to **Sales > Interim Invoicing > Interim Invoices** from the navigation tree.
2. Click **Find** to view all available interim invoices.
3. Click on the **Order **hyperlink to open the maintenance screen of the interim invoice.

# <span style="color: #172b4d">Navigating the Interim Invoice Maintenance Screen</span>

Once you have opened the screen you can <span style="color: #333333">view, add edit</span>

<span style="color: #333333">There are 5 sections to the </span><span style="color: #333333">**interim Invoices maintenance**</span><span style="color: #333333"> screen:</span>

## 1. The Header Details

The **header details** section displays basic order information for the interim invoice.

The following field can be edited:

- Click on the **Cust Order # **field to add or update a customer's order number.
- Click the **Pencil** icon, next to the **Posting Date** field, to open the **Update Interim Invoice Due Date **window where you can define the date in which the transaction is set to be charged out.

> ⚠️ **NOTE: **The Posting Date can not be set to a past date.
> ⚠️ 
> ⚠️ The system settings **InvPstDte **and **IntInvFut **affect the Interim Invoice Due date. See additional information below.

## 2. The Actions Menu and Icons

From the **Actions** button, additional options are available to help you better manage the interim invoice. The options include **Hide Costs, Repricing **options**, Special Buy-in, Attachments, Print Options, Import Files, Send Messages **and **Return Stock**. Refer to the link below for an explanation of these functions.

> ⚠️ The options available within the Actions menu are highly configurable. Your Frameworks instance may not be configured the same as the information contained below, so you may not see some of these options.

**Hide Costs**

- Click **Hide Cost** to hide the **Unit** **Cost**, **GP%**, **Rebated Unit** **Cost,** **Rebated** **GP%, Fully Reb Unit Cost **and **Fully Reb GP%** from the Product Grid on the Order Lines Tab.
- Click **Show Costs **to show the **Unit** **Cost**, **GP%**, **Rebated Unit** **Cost,** **Rebated** **GP%, Fully Reb Unit Cost **and **Fully Reb GP% ** from the Product Grid on the Order Lines Tab.

**Reprice**

Allows you to set new price/s for the interim invoice.

**Modify Agreed Price**

Allows you to update the **Agreed Price **on a transaction to allow for the interim invoice to be posted. The **Modify Agreed Price Dialog **window requires an **Override Reason **and a **User **and **Password **to be entered to save changes to the agreed price.

**Supplier Reprice**

Allows you to update the **GP% **for a specific supplier on an interim invoice. A reason for the reprice must be given.

**Product Group Reprice**

Allows for specific product groups to be price matched to an elected GP% or to an elected Cost Plus %. 

> ℹ️ Any previous discounts are removed as part of this process as the elected price takes precedence.

**Hold Prices**

This allows you to keep the same sell price of the ordered product.

---

**Special Buy-In**

Allows you to set a special buy-in supplier cost for the interim invoice.

**Attachments**

Allows you to store important files within your database so that information can be easily recovered when you need it.

**Print Options**

The available print options for interim invoices are: 

- **Print Interim Docket: **Allows you to re-print an interim docket after changes have been made to the transaction. This will output an unpriced proforma invoice.
- **Print Confirmation: **Allows you to print a confirmation of the transaction for the customer.
- **Print Delivery Docket: **Allows you to print the Delivery Docket from the Sales Order before releasing the order to invoice.
- **Print Pro-Forma Invoice: **Allow you to print a Pro-forma/non-official version of the invoice. Only outstanding products will be displayed on this Pro-forma invoice.

**File Imports**

Allows you to import files to updated the interim invoice.

**Send Message**

This allows you to send a message to the customer.

**Revert to Order**

This allows you to revert an interim invoice back to a sales order. All previous picking details will be cleared from the transaction so that it can be fully maintained in [Sales Order Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408932).

> ⚠️ Feature code **INZ **needs to **Active **for **Revert to Order **to be available.

**Returns**

This allows you to return stock via the **Interim Invoice Returns **window.

**Consolidate**

The **Consolidate **option opens the [Consolidated Interim Invoices](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28381534) screen allowing you to consolidated interim invoices for the selected customer before being able to post the invoices immediately.

### Action Icons

Below the **Actions** menu icons will appear to inform you of an order status and/or reference a required action.

- The **Link **icon advised that there is a  [Linked Purchase Order](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30523144). Clicking the icon will open up the Sales Order Fulfillment screen.
- The **Paperclip** icon advised that there is an attachment attached to the order. Clicking the icon will open the [Attachments](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30529422) window.
- The **Import **icon advises that there are unresolved/invalid mappings on an import. Clicking the icon will open the Resolve Order Lines window.

## 3. Completion Options

Once you have made the required changes to an interim invoice there are 2 checkbox options available to you for the completion of the interim invoice

### Post Immediately: 

Enable to finalise the interim invoice upon clicking **Save**. The order will be invoiced and removed from the interim invoice queue.

> ⚠️ If a customer has **Consolidated Interim Invoices **enabled the option to **Post Immediately **will NOT be available until the interim invoices are consolidated.
> ⚠️ 
> ⚠️ Customers will only receive invoices for outstanding products.

### Prices Reviewed:

Enable to make the interim invoice as **Prices Reviewed **on the [Interim Invoices Dashboard](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28409122) so other users know that the interim invoice has been looked at. The [Scheduled Interim Invoice Post](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28383404) task will clear out the interim invoice dashboard and post all interim invoices that match the scheduled tasks criteria. 

### Agreed Pricing: 

Displays the agreed price amount for the order. Interim invoices can be posted immediately if the **Total **amount of the interim invoice is **less than or equal to **the Agreed Price value (within Customer-specified tolerances).

## 4. Interim Invoice Maintenance Tabs

There are 4 Interim Invoice maintenance tabs, these are:

### 1. Order Lines Tab

Displays the products that have been added to the Order. Here you can add, view and edit products that have been added to the transaction.

The **Order Lines **tab has 2 sections:

1. The **Product Entry** section is where you can add products to the interim invoice.

**Review Previous Sales**

Allows you to review previous sales for the customer. You can narrow the search results by customer, by product and by setting the date to search previous sales via the **From Date** field.

**Copy Selected Line**

Allows you to copy the product line you have selected in the product grid.

**Mass Edit**

This opens the **Mass Edit** window allowing you to update the **Usage **for selected products en-mass.

**View Alert Messages**

Allow you to view all of the **Products on Alert **for the transaction and their **Alert Messages**.

> ℹ️ **Note: **Products carrying Water Efficiency Labelling Standard (WELS) attributes have their WELS values appended automatically to the product description on each interim invoice line, with no prompt to the user. WELS values remain visible on the interim invoice while it is queued, and are saved permanently against the line once the interim invoice is posted. 2. The **Product Grid** section displays the product information that has been added to the transaction of the interim invoice.

**Line**

Displays the line number automatically assigned to the product in the Order. You are able to manually edit this number for the purpose of grouping like items.

**Product No.**

Displays the product number. Click the product hyperlink to display previous sales of that product.

> ❌ If the field is highlighted red, there is currently insufficient stock to fill the line.

---

**Product Desc.**

Displays a brief description of the product.

---

**Quantity**

Displays the quantity required for the given product.

---

**UOM**

Displays the unit of measure for the given product.

---

**Unit Price**

The Unit Price is automatically populated based on the product and customer pricing structure.

Any price variances in the Invoice will be posted to the Price Variance GL account defined under 'PRIC' product group.

---

**Disc%**

Displays the discount percentage for the product. Defaults to 0.00 if no Disc % has been used.

---

**Disc Price**

Displays the discount price applied to the product/s in the Order based on the **Disc %. **

---

**Total Price**

Displays the total price of the product lines in the Order. This cannot be modified.

---

**Usage**

If required, displays the location the product is used in to break down the Order. For example, screws may be used in a floor, or the pipe may be used for a bathroom.

---

**Picking Group**

Displays the picking group who pick the actual products. For example, the shop or yard. The field is validated against a defined list.

---

**Comments**

Displays any additional comments relating to this product.

---

**Unit Cost**

Displays the Unit Cost. This field is automatically populated.

---

**Cost Last Rcpt**

Displays the last receipted cost for the product.

> ⚠️ The column is only visible if the User has a [Cost Viewing Level](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28386196) of **Full**.

---

**GP%**

Displays the Gross Profit percentage generated/made for the sale of this product. This field is automatically populated.

---

**Rebated Unit Cost**

Displays the Rebated Unit Cost for the sale of this product. This field is automatically populated.

---

**Rebated GP%**

Displays the Gross Profit percentage (with the partial rebate included) for this product Cost. This field is automatically populated.  
This field is displayed dependent on a user's security based on the *Frameworks Rebate Vie*w field.

**Fully Reb Unit Cost**

Displays the full Unit Cost with the rebate included for the sale of this product. This field is automatically populated.

---

**Fully Rebated GP%**

Displays the Gross Profit percentage (with the full rebate included) for the cost of this product. This field is automatically populated.  
This field is displayed dependent on a user's security based on the *Frameworks Rebate Vie*w field.

**Pencil icon**

Click **Pencil** icon to edit the **Unit Price, Disc %** (defaults to 0.00%), **GP%** and add any **comments **to an existing product.

> ℹ️ When you are editing the product line, you can click the :info: icon to view any **previous sales information** related to the customer and product. This is handy to see what discounts you have given the customer in the past.

**Tally icon**

Click **Tally** icon to edit timber tally products.

### 2. Delivery Details Tab

The **Delivery Details **tab displays the delivery information for the transaction of the interim invoice. Here you can view and update the details as required.

**Delivery Date**

Displays date the transaction is due to be delivered.

**Requested Time**

As required, select the Requested Time for delivery. For example AM or PM.

---

**Delivery Time**

As required, update the requested time for the delivery.

---

**Fixed Time**

As required, update or enable if the Delivery Time was fixed.

---

**Deliver To**

Defaults to the first name, if defined in the *Delivery Name *field in [Delivery Address Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400456), or select the appropriate name via the **search** icon, or enter the customer name to deliver the product/s to.

> ℹ️ The finder displays the addresses in descending order according to the Date Last Used, so that the address used most recently displays at the top of the finder.

---

**Address, Suburb/City, State**

As required, update or type the address details.

---

**Instructions**

As required, update or type any instructions regarding the delivery.

---

**Contact Name**

As required, update or type the contact name for the delivery or search for contact/s via the **Search **icon.

> ℹ️ You can create and maintain customer contacts directly in the **Delivery Details** tab. If the **AutoPopCCBar** flag is enabled, a contact barcode is automatically generated for new contacts or when editing contacts without a barcode. If disabled, contacts are saved without a barcode, which can be added later in the [Customer Dashboard](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378750).

---

**Contact Phone**

As required, update or type the contact phone number for the delivery.

---

**Save Address**

It allows you to save a new delivery address entered into the sales order. Simply add the new address details and click **Save Address**. This will save the address to the customer's list of delivery addresses.

---

**Type of Load**

As required, update or select the type of load from the list of options.

---

**Has Phoned**

As required, tick if the contact has previously phoned or not phoned.

---

**Map Ref**

As required, update or select the appropriate map reference. 

> Macro (include)

---

**Map Xref**

As required, update or select the external reference code. 

> Macro (include)

---

**Delivery Area**

As required, update or select the appropriate Delivery Area.

---

**Delivery Fee(Inc)**

As required, type the delivery fee (inclusive of GST).

---

**Comments**

As required, add any additional comments.

---

**Picking Comment**

Displays any additional comments about the products to be picked.

---

**Vehicle**

Delivery Vehicle type populated if allocated in Pick And Despatch.

---

**Run No**

Run number populated if allocated in Pick and Despatch.

---

**Drop No**

Drop number populated if allocated in Pick and Despatch.

### 3. Header Tab

The **Header **tab displays the header information for the transaction of the interim invoice. Here you can view and update the details as required.

**Ordered By**

Displays the **User ID** who created the transaction.

---

**Operator**

Displays the **Sales Rep Number **and **Name **of who created the transaction.

---

**Order Taken by**

Displays the **User ID **and **Name **who the order was taken by, if this differs form the user who entered the transaction.

---

**Status**

Displays the status of the Quote/Order. For an interim invoice, this will be **Invoiced.**

---

**Assignee**

Displays the current Assignee for the quote.

Click the **Pen** (edit) icon to **change the assignee** and click **Save**.

> ℹ️ A notification will appear on the new assignee's Notification screen *"<userid> has assigned Quote nnnnn to you"*, informing them of the order number and from whom it was assigned.

**Date Ordered**

Displays the date the Quote/Order was raised.

---

**Original Deliv Date**

Displays the original delivery date first stored in Frameworks.

---

**Linked Transfer**

Displays the linked Purchase Order attached to the Sales Quote/Order if applicable.

---

**Pick List Print#**

Displays how many picking lists have been printed.

---

**Hide Quote Line Pricing on Web**

**Enable** to hide the quote line pricing in the trade portal on the web.

---

**Export Sale**

**Enable** if the goods are being exported outside of the sold country (GST Exempt). 

---

**Online Sale**

This checkbox will be **enabled **if the transaction is a **Web **sale, for example, your website ecommerce site.

---

**Project**

Auto-populates based on the selected** Job **field.

---

**Job**

Select the appropriate **Job **from the list of options or search for it via the **search** icon. 

> ✅ Refer to [Jobs](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30523848) for further information.

---

**Section**

Select the appropriate section of the **Job** or search for it via the **search** icon. For example, a swimming pool.

---

**Transaction Description**

Enter an appropriate description for the transaction.

> ℹ️ If the Sales Quote or Order is created from a Job and the Job Description will automatically populate.

---

**Checked by Sales Manager**

If applicable, Click **Pen** (edit) icon and enable** Checked by Sales Manager**, then click **Save** when complete.

> ℹ️ This action adds a Diary Note to the Quote.

**Checked by Transport Manager**

If applicable, Click **Pen** (edit) icon and enable** Checked by Transport Manager**, then click **Save** when complete.

**Assembly** **Location**

Displays the Assembly Location where the order located when picked, to be ready for delivery.

### 4. Diary Notes Tab

Allows you to [create a new Diary Note](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28397356) and also [displays any existing diary notes](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28400532) for the Order. For example, General or Transport Diary Notes.

> ℹ️ When an Order has been checked by either the Sales Manager and/or the Transport Manager (via ticking the **Checked by Sales Manager **or** Checked by Transport Manager **checkboxes in the **Header** tab), there is a Diary note automatically created.

**Type**

Displays the type of Sales Order. That is, either an Order or a Quote.

**Date**

Displays the date the diary note was created.

---

**Time**

Displays the time the diary note was created.

---

**User**

Displays the name of the user who created the diary note.

---

**Follow-Up**

If applicable, displays a follow up date. A reminder prompt containing the diary note is presented to the User in the **Notifications** section of the [Frameworks Home Page](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28379174) on the applicable follow up date.

> ℹ️ Validation has been placed on the follow-up date field in Diary Maintenance so this field cannot be back dated.

**Diary Note**

Displays the diary note information.

## 5. The Totals

This section displays **totals** related to the interim invoice for a quick overview. 

The total values displayed are:

- **TOTAL EXC**: This is the GST Exclusive amount
- **TOTAL INC**: This is the GST Inclusive amount
- **GP%**: This is the gross profit % of the interim invoice.
- **REBATED GP%**: This is the partial rebated gross profit % of the interim invoice.
- **FULLY REBATED GP%**: This is the full rebated gross profit % of the interim invoice.
- **DELIVERY FEE**: Any delivery fees

## 6. The Command Buttons

The command buttons allow you **Save** or **Cancel** any changes made and **Close **the sales order screen

> ℹ️ When **Products** are added to a Sales Order it automatically saves the order.

# Additional Information

The below system settings may be used to customise the functionality of your Frameworks instance.
