# <span style="color: #172b4d">Overview</span>

The **Sales Orders**<span style="color: #333333"> </span>**<span style="color: #333333">Dashboard </span>**<span style="color: #333333">allows you to quickly and easily get an overview of all your businesses current sales orders and quotes. </span>

# <span style="color: #333333">Accessing the Sales Order Dashboard</span>

To access the Sales Orders Dashboard, perform the following:

1. Click **Frameworks **then navigate to **Sales > Transaction Processing > Sales Orders **from the navigation tree.
2. Click **Find **to view all of the current Sales Orders and Quotes in Frameworks.

> ℹ️ The **Branch** field defaults to the current session branch.

# <span style="color: #333333">Navigating the Sales Orders Dashboard</span>

Once you have opened the **Sales Orders Dashboard** you will be able to view, create, edit and maintain your sales orders and quotes

<span style="color: #333333">The Sales Orders Dashboard is made up of two sections, these are: </span>

## <span style="color: #333333">1. The Search Options</span>

To search for open Sales Orders or Quotes from the **Sales Order Dashboard** perform the following:

### 1. Search for Any Existing Sales Order or Quotes. 

**Basic Search:** 

In the **Customer** field, begin typing the customer's name or ID and select from the suggested results, or click the **Search** icon to open the **Customer Finder** window

> ℹ️ Leave the **Customer **field blank to search all customer sales orders and quotes. You are also able to refine the search by **Branch**, **Sales Rep** ID/name, **Order#** or Transaction **Type **(typically Order or Quote).

> ℹ️ The *Status* field in the Sales Order Processing dashboard changes as the different transitions takes place. When a quote is confirmed, the workflow status is changed to "**Confirmed**", when the Quote is printed, the workflow status is changed to "**Printed**" & when the quote is converted to an order, the workflow status is changed to "**New**".

**Advanced Search:**  

Clicking on the **Advanced **button displays additional search options to help you further refine your search results. The additional search fields available are **Status**, **Customer Order number** (Cust. O/N), **Assignee **and/or** Transaction Source **(Tran. Source).

Click **Find **once your search criteria has been entered. To return to the original filter criteria, click **Basic**.

**Order Number Search:**

In the **Order#** field, enter the order number for the Sales Order or Quote and click **Find**. Frameworks will search **all branches** for the entered order number, ignoring all other criteria.

> ⚠️ The search results will only display transaction of branches within the user's security settings. ie multi branch, multi zone or allowed branches.

### 2. Create a New Order or Quote

Click **New **to create a new Sales order or Quote.

## 2. The Dashboard Grid

The dashboard grid displays information related to your search results. From here you can:

### 1. Open an Order or Quote

Click the relevant **Order **hyperlink** **to maintain the Sales Order or Quote.

### 2. View the Current Status of your Orders and Quotes

From the grid you will be able quickly view information related to your Sales Orders.

> ℹ️ Right clicking on the grid headings will allow you choose which columns you want to be visible.

| **Field** | **Description** |
| --- | --- |
| **Order** | This field displays the **Order Number** which is given to every sales order. Click on the hyperlink to view the orders [Sales Order Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408932) screen. |
| **B/O** | This field displays the **B/O** number allows for a transaction to keep the same sales order number however for each successive back order the original order number is given a suffix to differentiate it form the initial transaction. This number is incremented by 1 each time. | **Customer Name** | This field displays the **Customers Name** for the order or quote. |
| **Brn** | This field displays the **Branch** the order or quote is linked too. |
| **Transaction Type** | This field display if the transaction is a **Quote **or an **Order.**<br>> ℹ️ Other **Transaction Types **are available depending on additional system flags, such as **[Commercial Quoting documentation types and output](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30516188)**** **and feature codes settings such as** Template Quote/Order, ****[Projects ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28383544)****, ****[Creating a Service Quote or Order](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30514274)**** **and **[Creating a Workshop Quote or Order](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30519074)****.** |
| **Order Date** | This field displays the date the order was created. |
| **Delivery Date** | This field displays the **Delivery Date**, which is set on the **Delivery Details **tab in the sales order maintenance screen. |
| **Expiry Date** | This field displays the quote's **Expiry Date**, which is set on the **Header **tab in the sales order maintenance screen. |
| **Delivery Address** | This field displays the **Delivery Address**, which is set on the **Delivery Details **tab in the sales order maintenance screen. |
| **Customer Ref** | This field displays the **Customer Reference** set on the header of the sales order maintenance screen. |
| **Despatch Method** | This field displays the **Despatch Method** code, which is set on the **Delivery Details **tab in the sales order maintenance screen. |
| **Transaction Description** | This field displays the **Transaction Description**, which is entered on the **Header **tab in the sales order maintenance screen. |
| **P/Slip Print** | This checkbox will be **ticked** if a **Picking Slip** has been printed either from the **Actions **menu in the **Sales Order** maintenance screen or via the **Pick & Release** screen. |
| **Sales Check** | This checkbox will be **ticked** if the sales order has been **Checked by Sales Manager**, which is done on the **Header **tab in the sales order maintenance screen. |
| **T/Port Check** | This checkbox will be **ticked** if if the sales order has been **Checked by Transport Manager**, which is done on the **Header **tab in the sales order maintenance screen. |
| **Attachments **or **Paperclip** | Click the **Attachments **icon to open the **Attachments **window and attach files and documents related to the transaction.<br>- Click the **Paperclip **icon, if there are files or documents already attached to the transaction.<br>> ✅ Refer to [Attachments](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30529422) for more information. |
| **Status** | This field displays the current **Status **of the sales order<br>> ✅ Refer to [Picking Order Status ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28402374) for more information on the status follow. |
| **Assignee** | This field displays the **Frameworks User **who has been assigned to the sales order or quote. This is done on the **Header **tab in the sales order maintenance screen. |
| **Total INC** | This field displays the **Total Value **of the sales order/quote including **GST** |
| **Customer Type** | This field displays the **Customer Type** as set on the **General **tab in the [Customer Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894) screen. |
| **Sales Rep Name** | This field displays the who is the **Sales Representative** (Account Manager) for the company the sales order is for. This is set on the **More Data **tab in the [Customer Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894) screen. |
| **Vehicle** | This field displays the which **Vehicle **as been assigned to deliver the order. |
| **Run No.** | This field displays which **Run **the order is on for the assigned vehicle. |
| **Drop No.** | This field displays which **Drop **on the** Run **the order will be delivered. |
| **Transaction Source** | This field displays the source where the Sales Order/Quote was created.<br>- **Frameworks: **Orders created within Framework.
- **Web:** Orders created from a 3rd party web application, for example, your websites ecommerce.
- **tportal:** Order created within the Trade Portal.<br>> ⚠️ This column is **hidden **by default, see [Advanced Grid Features](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30509842) for information on how to add and remove columns.<br>> ℹ️ The transactions sources of Frameworks and Web are searchable via the **Advanced **search function |
| **Job Name** | This field displays the **Job Name** linked to the sales order.<br>You can add or update linked jobs by going to the **Header** tab within the [Sales Order Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408932) screen. |

### 3. Change Delivery Date

Click the delivery date (**Deliv Date**) hyperlink to open the **Delivery Date Update** pop-up window and update the delivery date. From here you can do any of the following:

- Click the **Show Date Chooser** icon to change the **Date Required** field.
- Click any of the blue action buttons to change the **Date Required **field respectively relating to the current date.
- Confirm by enabling the checkbox or unconfirm by disabling the checkbox next to the delivery date.
- Change the **Assembly Location** using the **Search **icon.

> ⚠️ - If the **Date Is Confirmed** checkbox is enabled initially, when disabling it, the **Reason for change** and **Comments** fields will appear.

> ⚠️ - The **Assembly Location** field is only active when the **Date Is Confirmed** checkbox is enabled and the order hasn't yet gone through the picking process.

### View Basic Totals

At the bottom of the dashboard grid, you can see the **total number of transactions** and** $ value** (Inc GST) for the current search results.

> ℹ️ You can filter your search result or view **Quotes** and the total number of currently active quotes and total possible value of the quotes will be displayed.
