# Enabling TradeNet EDI

## Feature Codes

The following feature code must be **Active** to enable TradeNet integration within the Electronic Product Catalogue (EPC) module and the purchasing-to-invoicing process.

## Systems Tables

### System Settings - General

From the Frameworks menu, navigate to **System Administration >System Setup > Configuration >** **System Settings - General, **and set up the information for the tables below.

| System Setting - Flags | Flag Purpose - Description |
| --- | --- |
| **TradeNetKey** | Enter the **TradeNet API Key **as supplied by TradeNet. |
| **TradeNetStore** | Enter your TradeNet Store number the product pricing details will be extracted for. |

# TradeNet with EPC

The following system administration configurations must be completed before the products from the specific suppliers can be automatically updated using the Electronic Product Catalogue (EPC) module via the TradeNet network.

Below is the basic flow for setting up a supplier to automatically download EPC details.

1. Add the TradeNet Supplier to your EPC Dashboard to receive the supplier’s EPC details into their EPC file.
2. Run or schedule the **EPC Update from TradeNet** task to pull the supplier’s data directly from TradeNet.
3. Process the EPC as normal for the supplier.

# TradeNet for Purchasing and Invoicing

Below basic flow for the purchasing to invoicing process when using TradeNet (*background tasks, which require no user interaction once setup, in italics*).

1. Create the PO for the supplier as normal.
2. Send the PO to the supplier via ETM (using the Print Order action).
  1. *A scheduled task uploads the purchase order to the supplier.*
  2. *A scheduled task downloads the order confirmations from the supplier.*
  3. *A scheduled task imports the order confirmation into Frameworks.*
3. Apply the order confirmation for the purchase order.
  1. *A scheduled task downloads the invoice from the supplier.*
  2. *A scheduled Task imports the invoice into Frameworks.*
4. Receipt the goods from the supplier as normal with the addition the Accept Invoice option.
5. Match the receipt detail and invoice details via Stock Invoice Approval. Then post the stock invoice.

## 1. Directory Setup

To setup the file management requirements for TradeNet perform the following:

1. Click the **Frameworks Menu** and navigate to **Utilities > File Upload** from the navigation tree.
2. In the **/dmp/ **directory, click **New Folder** to create the parent folder of **tradenet.**
3. Click the **folder** icon to open the **/dmp/tradenet/ **folder and create the following sub-folders:
  - **order: **This is used to save purchase orders before sending them to the TradeNet suppliers.
  - **archive**: This is used once an order has been sent to TradeNet or when an order confirmation has been imported.
  - **conf**: This is used to store downloaded order confirmations from TradeNet.
  - **inv**: This is used to store downloaded TradeNet for any invoices from TradeNet

> ℹ️ Copy the **Server Path** of each of these folders, into a document, for later use during the setup.

## 2. Supplier Setup

### P/O Export Tab

For each of the suppliers who are a part of the TradeNet network, perform the following:

1. Click the **Frameworks Menu** and navigate to **Payables > Maintenance > Supplier Maintenance** from the navigation tree.
2. **Find **the Supplier and select the **P/O Export **Tab.
3. On the **P/O Export** tab update the following information
  1. From the **Export Format **drop-down menu select **TradeNet - TradeNet Purchase Order output format.**
  2. In the **Export Directory **field enter the order server path, for example: /<Your_Frameworks_Server_or_Tenant_Path>**/dmp/tradenet/order**
  3. The **Export Filename **is not required for TradeNet purchase orders as the export process creates this. An example file name is PO<senderId><PONumber>.txt
4. Still on the **P/O Export **Tab, enter the **Sender ID** and **Receiver ID** for all your branches or for each individual branch.
5. Enable the **Active **checkbox to activate TradeNet communication between the supplier and branch.

> ⚠️ The **Sender ID** and **Receiver ID** will be provided to your by TradeNet.

If the **Supplier ID** already setup for a supplier differs from the TradeNet’s Supplier ID you will need to enter the TradeNet’s Supplier ID into the **Buying Group Code** field in the **Trading Terms** tab

## 3. FTP Schedule

To send the required information to and from the TradeNet server the following scheduled tasks should be configured to run at regular intervals during business hours.

1. To upload outputted **Purchase Orders** to the TradeNet server.
2. To check (poll) the TradeNet server for **Order Confirmations** and download them.
3. To check (poll) the TradeNet server for invoices and download them.

> ℹ️ **NOTE:** It's important to schedule the download tasks (FTP Scheduled task for **Order Confirmations **and **Invoices**) before their corresponding import tasks (**Import P/O Confirmation** and **Import TradeNet Invoices**)

To do this, Perform the following:

1. Click the Frameworks Menu and navigate to **System Administration > Task Scheduler > Schedulable Tasks > FTP Scheduler **from the navigation tree.
2. Enter the required **Scheduled FTP Settings **for the required task
3. Define the scheduling for the required task.

Update the following information:

- **User Name: **This is to be provided by TradeNet.
- **Password: **This is to be provided by TradeNet.
- **Host Order Directory: **This is to be provided by TradeNet.
- **FTP Site: **This is to be provided by TradeNet.
- **FTP Port: **This is to be provided by TradeNet.
- **Scrip Path:** /<Your_Frameworks_Server_or_Tenant_Path>**/deploy/scripts/fw_sftp_upload.sh **
  - The **fw_sftp_upload.sh **script should already be installed into your **deploy/scripts/** folder.
- **File Path: **This is **order** the file path you defined when setting up the file management requirements above.
- **Send file Archive: **This is **Archive **the file path you defined when setting up the file management requirements above.

### The Scheduled FTP Settings for receiving Orders Confirmations

Update the following information:

- **User Name: **This is to be provided by TradeNet.
- **Password: **This is to be provided by TradeNet.
- **Host Order Directory: **This is to be provided by TradeNet.
- **FTP Site: **This is to be provided by TradeNet.
- **FTP Port: **This is to be provided by TradeNet.
- **Scrip Path:** /<Your_Frameworks_Server_or_Tenant_Path>**/deploy/scripts/fw_sftp_poll.sh **
  - The **fw_sftp_poll.sh **script should already be installed into your **deploy/scripts/** folder.
- **File Path: **This is **conf **the file path you defined when setting up the file management requirements above.

### The Scheduled FTP Settings for receiving Invoices

Update the following information:

- **Password: **This is to be provided by TradeNet.
- **Host Order Directory: **This is to be provided by TradeNet.
- **FTP Site: **This is to be provided by TradeNet.
- **FTP Port: **This is to be provided by TradeNet.
- **Scrip Path:** /<Your_Frameworks_Server_or_Tenant_Path>**/deploy/scripts/fw_sftp_poll.sh **
  - The **fw_sftp_poll.sh **script should already be installed into your **deploy/scripts/** folder.
- **File Path: **This is **inv **the file path you defined when setting up the file management requirements above.

### Defining the scheduling for the required task

For each of the above task we are recommending setting up a repeating schedule to run every 20 - 60mins during business hours to ensure you are receiving the require TradeNet details in a timely manner

Update the following information:

- **Task Description: **Update the task description to help when troubleshooting the task.
- **Schedule Type:** Select** Repeating** as the schedule type.
- **Reoccurrence Details:**
  - **Start:** Set the start date and time for the task to begin. Take care with the time as this will be when the 1st task runs each day of the repeating cycle. (Make the start time slightly different for each task you schedule).
  - **Recure every:** Enter how often (in minutes) you required the schedule task to run after the defined start time. This defaults to every 60 minutes and can be set no shorter than every 15 minutes.
  - **Between:** Enter a time range the scheduled task will run during the selected days of the week. For example, your business hours (add an hour to either side). The times must be entered in 24hr time.
  - **Days of the week: **Select the days of the week you want the task to run the task.
- Define how you want to be notified.
- Click **Submit **to schedule the task.

## 4. Import P/O Confirmation

Once the TradeNet purchase order confirmations have been downloaded from the TradeNet server using the **FTP Scheduled to receive Orders Confirmations **you can choose to import the order confirmation into Frameworks by:

- Use the **Import Confirmation **option from the Purchase Orders **Actions** menu to manually import the confirmation file as a once-off import.
- Use the [Import P/O Confirmation](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382428) scheduled task to automatically look for any downloaded order confirmation (Recommended).
  - When entering the **Directory To Scan **and **Archive Directory** use the **/dmp/tradenet/conf **and **/dmp/tradenet/archive **folders you created.
  - A task will need to be created for each company you require to check for order confirmations.

> ℹ️ Enable the **Notify Assignee** checkbox to let the assignee on the purchase order that there is a confirmation ready to be applied on the order.

> ⚠️ **Important:** When scheduling the [Import P/O Confirmation](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382428) task, ensure that it run AFTER you have scheduled the FTP Scheduled to receive Orders Confirmations task. For example, ensure that both tasks are Repeating tasks and if you configure the Orders Confirmations task to begin at 8:00 am then schedule the Import P/O Confirmation task to begin at 8:15 am.

## 5. Import TradeNet Invoices.

Once the TradeNet invoices have been downloaded from the TradeNet server using the **FTP Scheduled to receive invoices, **to import the invoices into Frameworks schedule the **Import TradeNet Invoices **task.

To do this. 

1. Click the **Frameworks Menu** and navigate to **Payables > Maintenance > Supplier Maintenance** from the navigation tree.
2. Select the TradeNet **Supplier **you want the invoices to be imported for.
  1. You will need to run a separate task for each TradeNet supplier.
3. When entering the **Directory To Scan** use the **/dmp/tradenet/inv **folder you created.

> ⚠️ **Important:** When scheduling the **Import TradeNet Invoices **task, ensure that it run AFTER you have scheduled the FTP Scheduled to receive invoices task. For example, ensure that both tasks are Repeating tasks and if you configure the download invoices task to begin at 8:05 am then schedule the Import TradeNet Invoices task to begin at 8:20 am.
