The **Invoice Maintenance** screen allows you to view and maintain supplier stock or expense invoices that have already been processed via **Expense Invoice Entry** (expense invoices) or **Stock Invoice Approval** (stock invoices). From the **Invoice Maintenance** screen, you can change the status, payment amount, payment date, discount overrides, branch code, supplier assignment and narration of existing supplier invoices. The **Invoice Maintenance** screen also provides a diary notes history for tracking changes made to invoices.

## Screen Access

From the **Frameworks Menu**, navigate to **Payables** > **Transaction Processing** > **Invoice Maintenance**.

## Screen Structure

The **Invoice Maintenance** screen is organised into three main sections:

1. **Search Options and Results** - Search for and select supplier invoices to maintain.
2. **Invoice Maintenance Tabs** - View and edit invoice details across the Header, Rebates, Change Supplier and Diary Notes tabs.
3. **Command Buttons** - Save or cancel changes to the selected invoice.

## Search Options

The Search Options section allows you to find supplier invoices by filtering on supplier and invoice number. Enter search criteria and click **Find** to populate the Results Grid with matching invoices.

### Company

The **Company** field filters the invoice search to a specific company. Select the company from the **Company** drop-down menu to search for invoices within that company.

**Format:** Drop-down menu (company code and name) | **Required:** Yes | **Default:** The logged-in user's default company | **Editable:** Yes

### Supplier ID

The **Supplier ID** field filters the search results to invoices for a specific supplier. Enter the supplier ID directly or click the **Search** icon to open the **Supplier Finder** window. Leave the **Supplier ID** field blank to return invoices for all suppliers.

**Action:** Click the **Search** icon to open the **Supplier Finder** window.

**Format:** Text (alphanumeric search) | **Required:** No | **Editable:** Yes

### Invoice No.

The **Invoice No.** field filters the search results to a specific invoice number. Enter the invoice number to locate a particular invoice. Leave the **Invoice No.** field blank to return all invoices matching the other search criteria.

**Format:** Text (alphanumeric) | **Required:** No | **Editable:** Yes

### Find

The **Find** button executes the search using the criteria entered in the **Company**, **Supplier ID** and **Invoice No.** fields. Click **Find** to populate the Results Grid with matching invoices.

**Action:** Click **Find** to search for invoices matching the entered criteria.

## Results Grid

The Results Grid displays all invoices matching the search criteria. Click an **Invoice** hyperlink in the grid to load the invoice details into the Invoice Maintenance Tabs on the right-hand side of the screen.

### Supplier

The **Supplier** column in the Results Grid displays the supplier code associated with each invoice. The **Supplier** value identifies which supplier issued the invoice.

**Format:** Text (supplier code) | **Editable:** No (display only)

### Invoice

The **Invoice** column in the Results Grid displays the invoice number as a hyperlink. Click the **Invoice** hyperlink to load the selected invoice into the Invoice Maintenance Tabs for viewing and editing.

**Action:** Click the **Invoice** hyperlink to load the invoice details into the maintenance tabs.

**Format:** Text (hyperlink) | **Editable:** No (display only)

### Date

The **Date** column in the Results Grid displays the date the invoice was issued. The **Date** value is the invoice date as entered when the invoice was originally processed.

**Format:** Date (DD/MM/YYYY) | **Editable:** No (display only)

### Brn

The **Brn** column in the Results Grid displays the branch number the invoice is associated with. The **Brn** value identifies which branch the invoice relates to and which branch will process the payment.

**Format:** Numeric (branch code) | **Editable:** No (display only)

### Amount

The **Amount** column in the Results Grid displays the total invoice amount including tax. Negative amounts indicate credit notes from the supplier.

**Format:** Currency (two decimal places) | **Editable:** No (display only)

### Paid

The **Paid** column in the Results Grid displays any amount that has previously been paid against the invoice.

**Format:** Currency (two decimal places) | **Editable:** No (display only)

### Status

The **Status** column in the Results Grid displays the current payment status of the invoice. Available status values include:

- **To Pay**: The invoice is approved for payment and will be included in the next payment selection batch.
- **Held**: The invoice payment has been suspended and will be bypassed by the **Payment Selection Batches** process.

**Format:** Text (status value) | **Editable:** No (display only)

### Reason

The **Reason** column in the Results Grid displays the reason code for why the invoice payment is being held. The **Reason** column is blank for invoices with a **Status** of **To Pay**.

## Header Tab

The **Header** tab contains the core details of the selected supplier invoice and provides fields for managing payment status, amounts, dates and discounts. The **Header** tab is the default tab displayed when an invoice is selected from the Results Grid.

### Company

The **Company** field on the **Header** tab displays the company code and name for the selected invoice. The **Company** value identifies which company the invoice belongs to.

**Format:** Text (company code and name) | **Editable:** No (display only)

### Supplier

The **Supplier** field on the **Header** tab displays the supplier code currently linked to the invoice. The **Supplier** value is automatically populated based on the selected invoice. If the supplier linked to the invoice has been changed via the **Change Supplier** tab, the **Supplier** field displays the new supplier code.

**Format:** Text (supplier code) | **Editable:** No (change via the **Change Supplier** tab) | **Related fields:** The **Original Supplier** field retains the original supplier if the supplier is changed.

### Original Supplier

The **Original Supplier** field displays the supplier code that was originally linked to the invoice when it was first processed. If the supplier has been changed via the **Change Supplier** tab, the **Original Supplier** field retains the original value while the **Supplier** field shows the updated supplier.

**Format:** Text (supplier code) | **Editable:** No (display only) | **Related fields:** The **Supplier** field shows the current supplier linked to the invoice.

### Invoice No.

The **Invoice No.** field displays the invoice number for the selected invoice. The **Invoice No.** value is the supplier's invoice reference as entered during original processing.

**Format:** Text (alphanumeric) | **Editable:** No (display only)

### Invoice Amount

The **Invoice Amount** field displays the total amount owed to the supplier on the selected invoice, including tax.

**Format:** Currency (two decimal places) | **Editable:** No (display only)

### Previously Paid

The **Previously Paid** field displays the total amount that has already been paid to the supplier against the selected invoice. A value of $0.00 indicates no payments have been made.

**Format:** Currency (two decimal places) | **Editable:** No (display only)

### Rebate %

The **Rebate %** field displays the total rebate percentage applied to the invoice. The rebate percentage represents the portion of the invoice value to be earned back. Rebates are allocated and managed via the **Rebates** tab on the **Invoice Maintenance** screen.

**Format:** Numeric (percentage, two decimal places) | **Editable:** No (display only, managed via the **Rebates** tab) | **Related fields:** The **Rebates** tab controls the rebate codes and percentages applied to the invoice.

### Status Code

The **Status Code** field controls the payment status of the selected invoice. Select a value from the **Status Code** drop-down menu to change the invoice's payment eligibility.

Available values:

- **To Pay**: The invoice is approved for payment. The **Payment Selection Batches** process only selects invoices with a **Status Code** of **To Pay** when generating supplier payments.
- **Held**: The invoice payment is suspended. The **Payment Selection Batches** process bypasses invoices with a **Status Code** of **Held**. The invoice remains held and not payable until the **Status Code** is manually changed back to **To Pay**.

**Format:** Drop-down menu | **Required:** Yes | **Editable:** Yes | **Related fields:** When the **Status Code** is set to **Held**, the **Reason for hold** field becomes active. Changing the **Status Code** generates an automatic diary note on the **Diary Notes** tab.

### Reason for Hold

The **Reason for hold** field records why the invoice payment has been put on hold. The **Reason for hold** field is only active when the **Status Code** is set to **Held**. Click the **Search** icon to open the **Code Lookup** window and select the appropriate hold reason code.

**Action:** Click the **Search** icon to open the **Code Lookup** window.

**Format:** Text (code lookup) | **Required:** No (recommended when status is **Held**) | **Editable:** Yes (only when **Status Code** is **Held**) | **Related fields:** The **Status Code** field must be set to **Held** for the **Reason for hold** field to be active.

### Payment Amount

The **Payment Amount** field allows you to enter a partial payment amount for the selected invoice. Enter a value in the **Payment Amount** field when only a portion of the invoice should be paid in the next payment run.

> ⚠️ You can enter a value in either the **Payment Amount** field or the **Held Amount** field, but not both. If you enter a value in the **Payment Amount** field, do not enter a value in the **Held Amount** field.

**Format:** Currency (two decimal places) | **Required:** No | **Default:** 0.00 | **Editable:** Yes | **Related fields:** The **Held Amount** field is mutually exclusive with the **Payment Amount** field.

### Held Amount

The **Held Amount** field allows you to specify a dollar amount of the invoice to be withheld from payment. Enter a value in the **Held Amount** field when a portion of the invoice amount should be held back.

> ⚠️ You can enter a value in either the **Held Amount** field or the **Payment Amount** field, but not both. If you enter a value in the **Held Amount** field, do not enter a value in the **Payment Amount** field.

**Format:** Currency (two decimal places) | **Required:** No | **Default:** 0.00 | **Editable:** Yes | **Related fields:** The **Payment Amount** field is mutually exclusive with the **Held Amount** field.

### Payment Date

The **Payment Date** field specifies the due date for paying the invoice. Enter the date directly or click the calendar icon to select a date. The **Payment Date** value determines when the invoice becomes eligible for inclusion in a payment selection batch.

**Format:** Date (DD/MM/YYYY) | **Required:** No | **Editable:** Yes

### Discount Override %

The **Discount Override %** field allows you to enter a discount percentage to be applied to the invoice. The **Discount Override %** field assumes two decimal places (for example, entering "2" applies a 2.00% discount).

> ⚠️ You can enter a value in either the **Discount Override %** field or the **Discount Override $** field, but not both.

**Format:** Numeric (percentage, two decimal places) | **Required:** No | **Default:** 0.00 | **Editable:** Yes | **Related fields:** The **Discount Override $** field is mutually exclusive with the **Discount Override %** field. The **Take Discount** checkbox controls whether the discount is applied regardless of late payment.

### Discount Override $

The **Discount Override $** field allows you to enter a specific dollar discount amount to be applied to the invoice. The **Discount Override $** field assumes two decimal places.

> ⚠️ You can enter a value in either the **Discount Override $** field or the **Discount Override %** field, but not both.

**Format:** Currency (two decimal places) | **Required:** No | **Default:** 0.00 | **Editable:** Yes | **Related fields:** The **Discount Override %** field is mutually exclusive with the **Discount Override $** field. The **Take Discount** checkbox controls whether the discount is applied regardless of late payment.

### Take Discount

The **Take Discount** checkbox controls whether the discount is applied to the invoice regardless of late payment or being outside the agreed trading terms. When the **Take Discount** checkbox is enabled, any discount entered in the **Discount Override %** or **Discount Override $** fields (or any discount added automatically via the supplier's trading terms) is applied even if the payment is late.

**Format:** Checkbox | **Default:** Enabled | **Editable:** Yes | **Related fields:** The **Discount Override %** and **Discount Override $** fields control the discount values applied when the **Take Discount** checkbox is enabled.

### Branch Code

The **Branch Code** field specifies the branch that the goods were delivered to or the branch responsible for the invoice. Select a different branch from the **Branch Code** drop-down menu to reassign the invoice to another branch.

**Format:** Drop-down menu (branch code and name) | **Required:** Yes | **Editable:** Yes

### Invoice Date

The **Invoice Date** field records the date printed on the supplier's invoice. Enter the date directly or click the calendar icon to select a date. The **Invoice Date** value may differ from the date the invoice was entered into Frameworks.

**Format:** Date (DD/MM/YYYY) | **Required:** Yes | **Editable:** Yes

### Trading Terms

The **Trading Terms** field displays the payment terms applicable to the selected invoice. The **Trading Terms** value is automatically populated based on the supplier's configured trading terms (for example, "2% 31 days from month end" indicates a 2% discount is available if paid within 31 days from the end of the month).

**Format:** Text | **Editable:** No (display only, configured in **Supplier Maintenance**)

### Narration

The **Narration** field allows you to enter or update a descriptive note on the supplier invoice to improve tracking and identification. Narrations entered in the **Narration** field are visible within activities such as the **Supplier Dashboard** and the **Payment Selection Batches** screens where the narration field is displayed.

**Format:** Text (free text) | **Required:** No | **Editable:** Yes

### Comments

The **Comments** field allows you to enter additional notes or comments about the invoice. The **Comments** field provides a larger text area for recording detailed information about the invoice that may not fit in the **Narration** field.

**Format:** Text (free text, multi-line) | **Required:** No | **Editable:** Yes

### Creditor Reference

The **Creditor Reference** field displays the creditor's invoice reference number as imported from the supplier's e-invoice file. The **Creditor Reference** value is used by the **Supplier Statement Reconciliation** process as an additional matching criterion when reconciling supplier statements. The **Creditor Reference** is also output in the payment remittance XML file for supplier clarity.

The **Creditor Reference** field is only populated for invoices imported via the Mitre 10 e-invoice import process. For invoices entered manually or imported via other formats, the **Creditor Reference** field is blank.

**Format:** Text (alphanumeric) | **Editable:** No (populated from e-invoice import) | **Related fields:** The **Creditor Reference** is also visible (as a hidden-by-default column) in the **Supplier Dashboard** and **Payment Selection Batches** screens.

### Group Disc Amt(Ex)

The **Group Disc Amt(Ex)** field displays the group discount amount (GST exclusive) as imported from the supplier's e-invoice file. The **Group Disc Amt(Ex)** value represents the buying group discount applied to the invoice by the supplier. When the invoice is posted, the group discount amount is posted to the GL account configured for group discounts in the Branch Discount Accounts Maintenance screen.

The **Group Disc Amt(Ex)** field is only populated for invoices imported via the Mitre 10 e-invoice import process.

**Format:** Currency (two decimal places) | **Editable:** No (populated from e-invoice import) | **Related fields:** The **Applied Disc Amt(Ex)** field displays the separate applied (settlement) discount amount. GL account mapping for group discounts is configured per branch in **Branch Discount Accounts Maintenance**.

### Applied Disc Amt(Ex)

The **Applied Disc Amt(Ex)** field displays the applied (settlement) discount amount (GST exclusive) as imported from the supplier's e-invoice file. The **Applied Disc Amt(Ex)** value represents the settlement discount applied to the invoice by the supplier. When the invoice is posted, the applied discount amount is posted to the GL account configured for applied discounts in the Branch Discount Accounts Maintenance screen.

The **Applied Disc Amt(Ex)** field is only populated for invoices imported via the Mitre 10 e-invoice import process.

**Format:** Currency (two decimal places) | **Editable:** No (populated from e-invoice import) | **Related fields:** The **Group Disc Amt(Ex)** field displays the separate group discount amount. GL account mapping for applied discounts is configured per branch in **Branch Discount Accounts Maintenance**.

## Rebates Tab

The **Rebates** tab displays rebate codes and percentages applicable to the selected supplier invoice. Rebates represent a portion of the invoice value to be earned back and are deducted from the invoice amount when payment is processed. From the **Rebates** tab, you can add new rebate lines, edit existing rebate lines or remove rebate lines.

### Add

The **Add** button creates a new blank rebate line in the **Rebates** grid. Click **Add** to insert a new row where you can enter a rebate code, percentage and GL account.

**Action:** Click **Add** to create a new rebate line in the grid.

### Remove

The **Remove** button deletes the currently selected rebate line from the **Rebates** grid. Select a rebate line in the grid, then click **Remove** to delete the rebate.

**Action:** Select a rebate line in the grid, then click **Remove** to delete the selected line.

### Line

The **Line** column in the **Rebates** grid displays the sequential line number for each rebate entry. The **Line** value is automatically assigned when a new rebate line is added.

**Format:** Numeric (auto-assigned) | **Editable:** No (display only)

### Rebate Code

The **Rebate Code** field in the **Rebates** grid identifies the type of rebate being applied. Enter the rebate code directly or click the **Search** icon to open the **Code Lookup** window. The **Rebate Code** value determines the **Description** that is automatically populated.

Rebate codes are configured in **System Administration** > **System Setup** > **Payables** > **Supplier Rebate Codes**.

**Action:** Click the **Search** icon to open the **Code Lookup** window.

**Format:** Text (code lookup) | **Required:** Yes (if adding a rebate line) | **Editable:** Yes | **Related fields:** The **Description** field is automatically populated based on the selected **Rebate Code**.

### Description

The **Description** field in the **Rebates** grid displays the descriptive name of the rebate code. The **Description** value is automatically populated when a **Rebate Code** is selected and provides context about the type of rebate.

**Format:** Text | **Editable:** No (auto-populated from **Rebate Code**)

### Rebate %

The **Rebate %** field in the **Rebates** grid specifies the rebate percentage to be applied to the invoice amount. Enter or modify the percentage as required. The **Rebate %** value determines the rebate amount deducted from the invoice when payment is processed.

**Format:** Numeric (percentage, two decimal places) | **Required:** Yes (if adding a rebate line) | **Editable:** Yes

### GL Account

The **GL Account** field in the **Rebates** grid specifies the general ledger account where the rebate amount is posted. Enter the GL account code directly or click the **Search** icon to open the **GL Account Finder** window.

**Action:** Click the **Search** icon to open the **GL Account Finder** window.

**Format:** Text (alphanumeric, GL account code) | **Required:** Yes (if adding a rebate line) | **Editable:** Yes

## Change Supplier Tab

The **Change Supplier** tab allows you to change the supplier linked to the selected invoice. Use the **Change Supplier** tab when the supplier providing the goods differs from the supplier issuing the invoice, or when an invoice was originally assigned to the wrong supplier.

If an amount has already been paid against the invoice, the supplier can no longer be changed.

### Supplier

The **Supplier** field on the **Change Supplier** tab allows you to enter the new supplier to link to the invoice. Enter the supplier ID directly or click the **Search** icon to open the **Supplier Finder** window. Click **Save** after selecting the new supplier to apply the change.

When the supplier is changed, the **Supplier** field on the **Header** tab updates to reflect the new supplier, and the **Original Supplier** field on the **Header** tab retains the original supplier code.

**Action:** Click the **Search** icon to open the **Supplier Finder** window.

**Format:** Text (alphanumeric search) | **Required:** Yes (to change supplier) | **Editable:** Yes (only if no payments have been made against the invoice) | **Related fields:** The **Supplier** field and **Original Supplier** field on the **Header** tab update when the supplier is changed.

## Diary Notes Tab

The **Diary Notes** tab displays a chronological record of changes and notes for the selected invoice. The **Diary Notes** tab provides an audit trail by automatically recording diary notes when key invoice events occur, such as status changes, reason code updates and assignee changes. You can also add manual diary notes to record additional information.

Automatic diary notes are generated for the following events:

- Status code changes (for example, "Status Code has been changed from In-Progress to Matched").
- Reason code updates (for example, "Change Reason Code has been changed from FEES to").
- Assignee changes (for example, "Assignee has been changed from alee to benee").

### Type

The **Type** column in the **Diary Notes** grid identifies the diary note type. The **Type** value indicates the category of the diary note entry, such as "invoice" for invoice-related events.

**Format:** Text | **Editable:** No (system-generated)

### Date

The **Date** column in the **Diary Notes** grid displays the date the diary note was created. The **Date** value records when the event occurred or when the manual diary note was added.

**Format:** Date (DD/MM/YYYY) | **Editable:** No (system-generated)

### Time

The **Time** column in the **Diary Notes** grid displays the time the diary note was created. The **Time** value provides a precise timestamp for the diary note entry, allowing you to track the sequence of changes within a single day.

**Format:** Time (HH:MM AM/PM) | **Editable:** No (system-generated)

### User

The **User** column in the **Diary Notes** grid displays the user ID of the person who triggered the diary note. For automatic diary notes, the **User** value identifies who made the change that generated the note. For manual diary notes, the **User** value identifies who added the note.

**Format:** Text (user ID) | **Editable:** No (system-generated)

### Perm.

The **Perm.** (Permanent) checkbox in the **Diary Notes** grid indicates whether the diary note is permanent. When the **Perm.** checkbox is enabled, the diary note cannot be deleted during standard diary note purge operations. The **Perm.** value is set via the **Note Maintenance** window when manually adding a diary note. Automated diary notes do not have the **Perm.** checkbox enabled.

**Format:** Checkbox | **Editable:** No (display only in grid, set via the **Note Maintenance** window)

### Secure

The **Secure** checkbox in the **Diary Notes** grid indicates whether the diary note is restricted to users with security access. When the **Secure** checkbox is enabled, only users with appropriate security permissions can view the diary note content. The **Secure** value is set via the **Note Maintenance** window when manually adding a diary note. Automated diary notes do not have the **Secure** checkbox enabled.

**Format:** Checkbox | **Editable:** No (display only in grid, set via the **Note Maintenance** window)

### Follow Up

The **Follow Up** column in the **Diary Notes** grid displays the follow-up date assigned to a diary note. The **Follow Up** date is set via the **Note Maintenance** window when manually adding a diary note. Automated diary notes do not have a follow-up date assigned.

**Format:** Date (DD/MM/YYYY) | **Editable:** No (display only in grid, set via the **Note Maintenance** window)

### Diary Note

The **Diary Note** column in the **Diary Notes** grid displays the text content of the diary note. For automatic diary notes, the **Diary Note** text describes the change that occurred (for example, "Status Code has been changed from In-Progress to Matched"). For manual diary notes, the **Diary Note** text contains the note entered by the user.

**Format:** Text | **Editable:** No (display only in grid)

### Add Diary Note

The **Add Diary Note** button opens the **Note Maintenance** window, allowing you to create a manual diary note against the selected invoice. Use the **Add Diary Note** button to record additional information, observations or follow-up actions related to the invoice.

**Action:** Click **Add Diary Note** to open the **Note Maintenance** window.

The **Note Maintenance** window contains the following fields:

- **Note:** Enter the diary note text in the **Note** field. The note text is displayed in the **Diary Note** column of the **Diary Notes** grid after saving.
- **Follow Up:** Enter a follow-up date or click the calendar icon to select a date. The follow-up date is displayed in the **Follow Up** column of the **Diary Notes** grid.
- **Secure:** Enable the **Secure** checkbox to restrict visibility of the diary note to users with appropriate security permissions.
- **Permanent:** Enable the **Permanent** checkbox to prevent the diary note from being deleted during standard diary note purge operations.
- Click **Save** to create the diary note, or click **Close** to cancel without saving.

## Command Buttons

The command buttons at the bottom of the **Invoice Maintenance** screen allow you to manage changes made to the selected supplier invoice.

### Save

The **Save** button commits all changes made on the Invoice Maintenance Tabs to the database. Click **Save** after making changes to the **Header**, **Rebates** or **Change Supplier** tabs to apply the changes. The number in parentheses next to **Save** indicates the number of unsaved changes.

**Action:** Click **Save** to commit all pending changes.

### Cancel

The **Cancel** button discards all unsaved changes made on the Invoice Maintenance Tabs. Click **Cancel** to revert to the last saved state. The number in parentheses next to **Cancel** indicates the number of changes that will be discarded.

**Action:** Click **Cancel** to discard all pending changes.

### Close

The **Close** button closes the **Invoice Maintenance** screen. If unsaved changes exist, the system prompts you to save or discard the changes before closing. The number in parentheses next to **Close** indicates the number of records currently loaded.

**Action:** Click **Close** to exit the **Invoice Maintenance** screen.
