The contract maintenance programs cater for future contract pricing.
As with all the other future pricing features, future contract pricing is only available where a valid FeatureFUT code **('System Administration'** then **'Configuration'** then **'Tailoring Options'** then **'Codes (Characters))'** is present. The changes have been made for both the customer contract and national contract options.
There is a field in the Contract Header labeled 'Review Freq'. It is a 2-digit field and its purpose is to indicate the number of months between contract review dates. Once entered, a list of review dates in the monthly intervals entered is displayed on the screen.

## Maintaining Future Contract Prices

Future contract pricing can be maintained for products and product groups within a contract by selecting the 'Contract Details' option and pressing the <F7> key. This then presents you with the usual current contract price screen and a contract review screen which can be accessed via the <F9> key.
When in add mode, the review date automatically populates with the next available review date (as per the review frequency months) but may be over-ridden if required. Type the future contract price details for the selected product. As for other maintenance programs, use <F7> to change a record and <F5> to delete.

## Product Pricing Information Screen

When you select a product to maintain, a pricing information screen appears in the top right corner of the screen. This information screen includes future pricing information. For Customer contracts this includes branch and group discount pricing. For National contracts it only includes future standard pricing.

For Customer Contracts the screen has the following information:

| Field | Description |
| --- | --- |
| **FutureDate** | This is the future price date defined for the product as found in the product master **('Inventory Management'** then **'Product Maintenance'** then **'Future Pricing').** |
| **FutureCustSell** | This is what the system has calculated as the future sell for the customer after applying any branch pricing (future or current) and any group discount (future or current). |
| **FutureCustGP%** | This is what the new customer GP% is once the future prices have been applied. |

For National Contracts the screen has the following information:

| Field | Description |
| --- | --- |
| **FutureDate** | This is the future price date defined for the product as found in the product master **('Inventory Management'** then **'Product Maintenance'** then **'Future Pricing').** |
| **FutureSell** | This is the future standard sell as defined in **'Inventory Management'** then **'Product Maintenance'** then **'Future Pricing'** for the selected product. |
| **Future GP%:** | This is what the new GP% is once the future prices have been applied. |

## Future Customer Review

There is an option within contract maintenance that allows you to enquire on what future price would be possible based upon different discount scenarios.
On selecting the option a screen with the following information appears:

| Field | Description |
| --- | --- |
| **Date*****:*** | For which date do you wish to enquire on future prices? The date defaults to the first review date for the selected contract but may be overridden if required. Once entered, the program searches for any future prices that have been defined in **'Inventory Management'** then **'Product Maintenance'** then **'Future Pricing',** which are to occur on or before the specified date. |

> ℹ️ The next 3 fields determine the future price enquiry scenario.You can only select 1 enquiry option at a time.

| Field | Description |
| --- | --- |
| **DiscountGroup** | Enter a discount group code, to enquire on what future prices for products within the contract may be, after applying that particular discount group. <u>OR</u> |
| **DiscountoffRetail** | Enter a discount percentage, to enquire on what future prices for products within the contract may be, after applying that discount to the standard sell. <u>OR</u> |
| **HoldContractGP** | Enter **'yes',** to enquire on what future prices for products within the contract may be, if the current contract GP margin is held and applied to the product's future cost. If you answer **'no'** to this field then you must respond to one of the other 2 fields above. |

After completing the above fields, the enquiry screen appears. Each product on the contract is displayed, and for each of those products where a future price exists **('Inventory Management'** then **'Product Maintenance'** then **'Future Pricing')** a hypothetical future contract price is displayed below it.
From within this screen you can maintain the future contract prices. For more information see the section under, 'Maintaining Future Contract Prices via Future Customer Review'.

*Note*: A future price line is not displayed for product groups, or for any product that does not have a future price record defined in **'Inventory Management'** then **'Product Maintenance'** then **'Future Pricing'.**

## Maintaining Future Contract Prices via Future Customer Review

Once the future customer review enquiry screen has been displayed (see option **'Future Customer Review'** above) the user may drill down on any product that has a future price line displayed and maintain the future contract pricing for that product. To maintain future pricing this way, press either <Enter> or select <F7> on the required product.
The only part of the screen which can be maintained through this option is the future contract pricing screen which is in the bottom left corner (for more information on future contract pricing please see the section under 'Maintaining Future Contract Prices').

The remaining information is for enquiry purposes only and consists of the current contract pricing (top left), the up-coming review dates as per the review frequency (bottom right) and the product pricing information screen (top right). The fields for which have been defined below:

| Field | Description |
| --- | --- |
| **StandardCost** | This is the current branch standard cost. |
| **RetailSell** | This is the current branch standard sell. |
| **RetailG.P.%** | This relates to the above std cost and retail sell values. |
| **Based on Date** | This is the review date that you ran the future customer review for. |
| **ApplicableCost** | This is the future branch cost based on the above date. |
| **ApplicableSell** | This is the future branch sell which in this case has been calculated using the current contract GP margin.<br>*Note*: Similarly, if a discount off retail or discount group was selected initially then the particular discount percentage would be applied to the future sell to arrive at the 'applicable sell'. |
| **HeldContractGP** | Basically this field label and value shows you what was selected initially to arrive at the resulting prices. If discount group had been selected then the group code would appear here and the field label would be 'Discount Group' instead of 'Held Contract GP'. Alternately, if a 'Discount % off Retail' had been selected then the discount percentage value would appear here and the field label would be 'Discount % Off'. |
| **ContractGP%** | This field shows the GP margin as a result of the 'Applicable Cost/Sell' above. |

## Contract Mass Add and Mass Update

The Contract Mass Add and Mass Update options also allow future contract prices to be updated in a similar way to current contact prices.

## Mass Add

There is an indicator on the mass add screen to show if you are maintaining current contract records or future contract records.

> ℹ️ If you are maintaining future contract pricing, the indicator shows the applicable date that you are maintaining as opposed to 'current', which indicates current contract pricing is maintained.

## MassAddingFutureContractRecords

1. For future contract records, you firstly need to enter the relevant contract name. After entering the contract name a function key appears at the bottom of the screen labelled <F9> Future.
2. If the contract you selected is valid for only one customer, then selecting <F9> brings up a list of future review dates for you to choose from. You would then select a date from the list which would in turn update the indicator to show the date you are about to maintain. Complete the remaining fields as normal.
3. If the contract you selected is valid for multiple customers, then selecting <F9> prompts the following message:

```
'Error - This contract exists for Multiple Customers. Cannot determine correct review dates. Enter a single customer number and try again.'
```

4. Type the relevant customer number in both the 'Customer No. From' and 'Customer No. To' fields. The system is then able to determine the list of future review dates to display. Select a date from the list to maintain. This updates the indicator to show the date you are about to maintain. Complete the remaining fields as normal.

### Things to Note:

- You are only able to mass add future contract records where the products you are adding already have a current contract record for the selected contract.
- If a future contract price already exists for a product for the review date selected, it is not maintained using the 'Mass Add' option. You need to use the 'Mass Update' option.

## Mass Update

There is an indicator on the mass update screen to show if you are maintaining current contract records or future contract records.

> ℹ️ If you are maintaining future contract pricing, the indicator shows the applicable date that you are maintaining as opposed to 'current', which indicates current contract pricing is maintained.

## Mass Update Future Contract Records

1. For future contract records, you firstly need to enter the relevant contract name. After entering the contract name a function key appears at the bottom of the screen labeled <F9> Future.

```
'Error - This contract exists for Multiple Customers. Cannot determine correct review dates. Enter a single customer number and try again.'
```

- You are only able to mass update future contract records where the products you are updating already have a current contract record for the selected contract.
- Where a future contract price already exists for a product for the review date selected, it updates it accordingly.
- Where a future contract price does not exist for a product for the review date selected, it adds that record as specified providing a current contract record exists for the product.

## ApplyFutureContractPrices

There is a flag in the 'Apply New Prices' program **('Inventory Management'** then **'Product Maintenance'** then **'Apply New Prices')** labeled 'Contract Prices'. This field defaults to the value set for System Tailoring Flag 'InvAFPDCon' but may be overridden if required. If set to **'yes',** when run any future contract prices for the date specified becomes the current contract prices, and the future contract price record for that date is removed from the future contract pricing screen.

> ℹ️ The flag 'InvAFPDCon' is also observed by the 'Day End Procedures' program if the 'Future Price Apply' is set to run as an overnight batch job.

## ContractReviewRepor**t**

This report shows a list of customer contracts or national contracts based on review frequency.

This report may be accessed via **'Inventory Management'** then **'Special Pricing'** then **'Pricing Reports'.**
The report selection screen is as follows:

| Field | Description |
| --- | --- |
| **From/ToReviewDate:** | Type the contract review date range to report on. |
| **From/ToBranch** | Type the range of branches to report on contracts |
| **All/Complete/Incomplete** | - To report on all contracts within the above ranges regardless of their completion status enter '**A**'.
- To report on all completed contracts within the above ranges enter '**C**'.
- To report on all incomplete contracts within the above ranges enter **'I'**. |

> ℹ️ If '**C'** is selected it only includes contracts within the range where <u>all</u> future contract prices have been defined for all products within the contract. Any contract that has had SOME future contract prices defined but not all are regarded as 'Incomplete'. Selecting **'I**' also reports on those contracts that have had NO future contract prices defined at all.
