The **Time Sheet Entry** screen allows you to create, maintain, and adjust time sheet entries assigned to existing work orders. Time sheet entries track the hours worked by users against specific work order lines and are used to calculate labour costs for work orders.

Time sheet entries can be created individually, in bulk using **Mass Entry**, or as adjustments using **Enter Adjustments**. Time sheet entries can also be bulk-imported from a CSV file using the **Time Sheet Export / Import** utility.

## Screen Access

From the **Frameworks Menu**, navigate to **WorkOrders > Time Sheet Entry**.

## Screen Structure

The **Time Sheet Entry** screen is organised into four main sections:

1. **Search Options** - Filter time sheet entries by user and date range, and access bulk entry and adjustment functions.
2. **Results Grid** - Displays time sheet entries matching the search criteria.
3. **Time Sheet Entry Details** - Create or edit a single time sheet entry.
4. **Command Buttons** - Save, cancel, delete, or close the screen.

Two additional windows are accessed from the **Search Options** section:

- **Time Sheet Mass Entry** window - Log time for multiple users across multiple work orders in a single batch.
- **Time Adjustment** window - Make adjustments to a user's logged hours on a specific work order.

## Search Options

The **Search Options** section provides search filters to locate existing time sheet entries and buttons to access the bulk entry and adjustment windows.

### User

The **User** field filters the results grid to time sheet entries assigned to a specific user. Enter the user code directly or click the **Search** icon to open the **User Finder** window. Leave the **User** field blank to return time sheet entries for all users within the specified date range.

**Action:** Click the **Search** icon to open the **User Finder** window.

**Format:** Text (alphanumeric search) | **Required:** No | **Default:** Blank | **Editable:** Yes

### Date From

The **Date From** field sets the start date of the search range. Time sheet entries dated on or after the **Date From** value are included in the results.

**Action:** Click the **Date Picker** icon to select a date from a calendar.

**Format:** Date (DD/MM/YYYY) | **Required:** Yes | **Default:** The first day of the current month | **Editable:** Yes | **Related fields:** The **Date To** field sets the end of the search range.

### Date To

The **Date To** field sets the end date of the search range. Time sheet entries dated on or before the **Date To** value are included in the results.

**Action:** Click the **Date Picker** icon to select a date from a calendar.

**Format:** Date (DD/MM/YYYY) | **Required:** Yes | **Default:** The last day of the current month | **Editable:** Yes | **Related fields:** The **Date From** field sets the start of the search range.

### Mass Entry

The **Mass Entry** button opens the **Time Sheet Mass Entry** window. Use **Mass Entry** to log time for multiple users across multiple work orders in a single batch rather than entering individual time sheets one at a time.

**Action:** Click **Mass Entry** to open the **Time Sheet Mass Entry** window.

### Enter Adjustments

The **Enter Adjustments** button opens the **Time Adjustment** window. Use **Enter Adjustments** to record an adjustment to a user's logged hours against a specific work order, such as correcting an incorrect entry or adding hours that were missed.

**Action:** Click **Enter Adjustments** to open the **Time Adjustment** window.

### Find

The **Find** button executes the search using the values in the **User**, **Date From**, and **Date To** fields and populates the **Results Grid** with matching time sheet entries.

**Action:** Click **Find** to update the search results.

## Results Grid

The **Results Grid** displays the time sheet entries that match the search criteria entered in the **Search Options** section. Each row represents a single time sheet entry against a work order line. The total hours logged across all returned entries is displayed at the bottom of the grid.

To open a time sheet entry for editing, click the **User** hyperlink on the row. The selected entry's details populate the **Time Sheet Entry Details** section at the bottom of the screen, where the entry can be edited if it has not been marked as complete.

### User (Results Grid)

The **User** column displays the user assigned to the time sheet entry. The **User** value functions as a hyperlink that loads the time sheet entry into the **Time Sheet Entry Details** section for editing or review.

**Action:** Click the **User** hyperlink to load the time sheet entry into the **Time Sheet Entry Details** section.

**Format:** Text (hyperlink) | **Editable:** No (display only)

### Date (Results Grid)

The **Date** column displays the date the work was completed for the time sheet entry.

**Format:** Date (DD/MM/YYYY) | **Editable:** No (display only)

### Customer

The **Customer** column displays the customer the work order is assigned to. The **Customer** value combines the customer code and customer name.

**Format:** Text (display only) | **Editable:** No (display only)

### Work Order

The **Work Order** column displays the work order number the time sheet entry is assigned to.

**Format:** Numeric | **Editable:** No (display only)

### Line

The **Line** column displays the line number within the work order the time sheet entry is assigned to. Work orders can contain multiple labour lines, and the **Line** value identifies which specific line on the work order the hours have been logged against.

**Format:** Numeric | **Editable:** No (display only)

### Start Time

The **Start Time** column displays the time work commenced for the time sheet entry. The **Start Time** value is shown in 24 hour format (for example, 14:30 represents 2:30 PM).

**Format:** Time (HH:MM, 24 hour) | **Editable:** No (display only) | **Related fields:** The **End Time** column displays when work finished. The **Hrs. Logged** column is calculated from the **Start Time** and **End Time** values.

### End Time

The **End Time** column displays the time work finished for the time sheet entry. The **End Time** value is shown in 24 hour format.

**Format:** Time (HH:MM, 24 hour) | **Editable:** No (display only) | **Related fields:** The **Start Time** column displays when work commenced. The **Hrs. Logged** column is calculated from the **Start Time** and **End Time** values.

### Hrs. Logged

The **Hrs. Logged** column displays the total hours worked for the time sheet entry. The **Hrs. Logged** value is automatically calculated from the **Start Time** and **End Time** values.

For adjustment entries created through the **Time Adjustment** window, the **Hrs. Logged** value is entered directly rather than calculated, and may be negative if the adjustment reduces previously logged hours.

**Format:** Numeric (decimal hours) | **Editable:** No (calculated)

### Role

The **Role** column displays the role of the user for the time sheet entry, such as **Licensed Plumber**. The **Role** value is configured against the user under **Labour Setup** and determines which pay rates are available for the entry.

**Format:** Text (display only) | **Editable:** No (display only)

### Rate

The **Rate** column displays the pay rate applied to the time sheet entry, such as **Standard Hours** or **Time and a Half**. The **Rate** value determines the cost charged to the work order for the logged hours and is configured under **Labour Setup**.

**Format:** Text (display only) | **Editable:** No (display only)

### Completed

The **Completed** column indicates whether the time sheet entry has been marked as complete and verified. A tick in the **Completed** column means the entry is finalised.

Completed time sheet entries cannot be edited or deleted. This restriction also applies to entries imported with the **Complete** field set to **Y** through the **Time Sheet Export / Import** utility.

**Format:** Checkbox (display only) | **Editable:** No (display only) | **Related fields:** The **Complete** checkbox in the **Time Sheet Entry Details** section sets this value.

### Notes (Results Grid)

The **Notes** column displays any additional notes recorded against the time sheet entry, such as descriptions of the work performed or context for an adjustment.

**Format:** Text (display only) | **Editable:** No (display only)

## Time Sheet Entry Details

The **Time Sheet Entry Details** section is used to create a new time sheet entry or edit an existing one. To create a new entry, click **New**. To edit an existing entry, click the **User** hyperlink in the **Results Grid** for the entry to be edited.

> ℹ️ **Note: **A time sheet entry can only be edited if the **Complete** checkbox is disabled. Once an entry is marked as complete and saved, the entry becomes read-only and cannot be modified or deleted.

### User (Time Sheet Entry Details)

The **User** field identifies the user the hours are being logged against. Enter the user code directly or click the **Search** icon to open the **User Finder** window.

**Action:** Click the **Search** icon to open the **User Finder** window.

**Format:** Text (alphanumeric search) | **Required:** Yes | **Editable:** Yes (when **Complete** is disabled)

### Work Order (Time Sheet Entry Details)

The **Work Order** field identifies which work order the hours are being logged against. Enter the work order number directly or click the **Search** icon to open the **Work Order Finder** window. 

**Action:** Click the **Search** icon to open the **Work Order Finder** window.

**Format:** Numeric | **Required:** Yes | **Default:** 0 | **Editable:** Yes (when **Complete** is disabled)

### Date (Time Sheet Entry Details)

The **Date** field sets the date the work was performed.

**Action:** Click the **Date Picker** icon to select a date from a calendar.

**Format:** Date (DD/MM/YYYY) | **Required:** Yes | **Default:** Today's date | **Editable:** Yes (when **Complete** is disabled)

### Start Time (Time Sheet Entry Details)

The **Start Time** field sets the time work commenced. Enter the time in 24 hour format (HH:MM).

**Format:** Time (HH:MM, 24 hour) | **Required:** Yes | **Editable:** Yes (when **Complete** is disabled) | **Related fields:** The **End Time** field sets when work finished. The **Hrs.** field is calculated from **Start Time** and **End Time**.

### End Time (Time Sheet Entry Details)

The **End Time** field sets the time work finished. Enter the time in 24 hour format (HH:MM).

**Format:** Time (HH:MM, 24 hour) | **Required:** Yes | **Editable:** Yes (when **Complete** is disabled) | **Related fields:** The **Start Time** field sets when work commenced. The **Hrs.** field is calculated from **Start Time** and **End Time**.

### Hrs.

The **Hrs.** field displays the total hours worked, calculated from the **Start Time** and **End Time** values.

**Format:** Numeric (decimal hours) | **Default:** 0 | **Editable:** No (calculated)

### Role (Time Sheet Entry Details)

The **Role** drop-down menu selects the role the user is performing for this time sheet entry. The available roles are determined by the user's configuration under **Labour Setup**.

**Format:** Drop-down menu | **Required:** Yes | **Editable:** Yes (when **Complete** is disabled) | **Related fields:** The **Rate** drop-down menu options depend on the selected **Role**.

### Rate (Time Sheet Entry Details)

The **Rate** drop-down menu selects the pay rate applied to the logged hours, such as **STD - Standard Hours** or **Time and a Half**. The available rates are determined by the selected **Role** and configured under **Labour Setup**.

**Format:** Drop-down menu | **Required:** Yes | **Editable:** Yes (when **Complete** is disabled) | **Related fields:** The **Role** field determines which rates are available.

### Complete

The **Complete** checkbox marks the time sheet entry as finalised and verified. Once a time sheet entry is saved with the **Complete** checkbox enabled, the entry becomes read-only and can no longer be edited or deleted.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes (until the entry is saved as complete)

### Notes (Time Sheet Entry Details)

The **Notes** field allows free text notes to be recorded against the time sheet entry, such as descriptions of the work performed or context for an adjustment.

**Format:** Text (free text) | **Required:** No | **Editable:** Yes (when **Complete** is disabled)

## Command Buttons

The **Command Buttons** save or discard changes to the **Time Sheet Entry Details** section and close the screen.

### New

The **New** button clears the **Time Sheet Entry Details** section so a new time sheet entry can be created.

**Action:** Click **New** to clear the **Time Sheet Entry Details** section and begin a new entry.

### Save

The **Save** button commits the current values in the **Time Sheet Entry Details** section to create or update a time sheet entry.

**Action:** Click **Save** to save the time sheet entry.

### Cancel

The **Cancel** button discards any unsaved changes in the **Time Sheet Entry Details** section.

**Action:** Click **Cancel** to abandon any changes made.

### Delete

The **Delete** button removes the selected time sheet entry. Only time sheet entries that have not been marked as complete can be deleted.

**Action:** Select an existing time sheet entry and click **Delete** to remove the time sheet entry.

### Close

The **Close** button closes the **Time Sheet Entry** screen. Save or cancel any pending changes before closing the screen.

**Action:** Click **Close** to close the **Time Sheet Entry** screen.

## Time Sheet Mass Entry Window

The **Time Sheet Mass Entry** window is opened by clicking **Mass Entry** in the **Search Options** section. Use the **Time Sheet Mass Entry** window to log time for multiple users across multiple work orders in a single batch. Each row in the grid represents a separate time sheet entry that will be created when the batch is saved.

### Add

The **Add** button inserts a new blank row in the **Time Sheet Mass Entry** grid for an additional time sheet entry.

**Action:** Click **Add** to insert a new row.

### Remove

The **Remove** button deletes the selected row from the **Time Sheet Mass Entry** grid.

**Action:** Click **Remove** to delete the selected row.

### No.

The **No.** column displays the row number for the time sheet entry within the batch.

**Format:** Numeric (display only) | **Editable:** No (system-generated)

### User (Mass Entry)

The **User** column identifies the user the hours are being logged against for the row. Enter the user code directly or click the **Search** icon to open the **User Finder** window.

**Action:** Click the **Search** icon to open the **User Finder** window.

**Format:** Text (alphanumeric search) | **Required:** Yes | **Editable:** Yes

### Work Order (Mass Entry)

The **Work Order** column identifies the work order the hours are being logged against for the row. Enter the work order number directly or click the **Search** icon to open the **Work Order Finder** window.

**Action:** Click the **Search** icon to open the **Work Order Finder** window.

**Format:** Numeric | **Required:** Yes | **Default:** 0 | **Editable:** Yes

### Date Entry

The **Date Entry** column sets the date the work was performed for the row.

**Action:** Click the **Date Picker** icon to select a date from a calendar.

**Format:** Date (DD/MM/YYYY) | **Required:** Yes | **Default:** Today's date | **Editable:** Yes

### Time Start

The **Time Start** column sets the time work commenced for the row. Enter the time in 24 hour format.

**Format:** Time (HH:MM, 24 hour) | **Required:** Yes | **Editable:** Yes | **Related fields:** The **Time End** column sets when work finished.

### Time End

The **Time End** column sets the time work finished for the row. Enter the time in 24 hour format.

**Format:** Time (HH:MM, 24 hour) | **Required:** Yes | **Editable:** Yes | **Related fields:** The **Time Start** column sets when work commenced.

### Role (Mass Entry)

The **Role** drop-down menu selects the role the user is performing for the row. The available roles are determined by the user's configuration under **Labour Setup**.

### Notes (Mass Entry)

### Save (Mass Entry)

## Time Adjustment Window

The **Time Adjustment** window is opened by clicking **Enter Adjustments** in the **Search Options** section. Use the **Time Adjustment** window to record an adjustment to a user's logged hours against a specific work order. Adjustments are typically used to correct errors in previously logged time or to add hours that were missed in the original entry.

### Work Order No.

The **Work Order No.** field identifies the work order the adjustment is being applied to. Enter the work order number directly or click the **Search** icon to open the **Work Order Finder** window.

**Action:** Click the **Search** icon to open the **Work Order Finder** window.

**Format:** Numeric | **Required:** Yes | **Editable:** Yes

### User (Time Adjustment)

The **User** field identifies the user the adjustment is being applied to. The **User** field defaults to the currently logged in user but can be changed. Enter the user code directly or click the **Search** icon to open the **User Finder** window.

**Action:** Click the **Search** icon to open the **User Finder** window.

**Format:** Text (alphanumeric search) | **Required:** Yes | **Default:** Currently logged in user | **Editable:** Yes

### Role (Time Adjustment)

The **Role** field identifies the role the user is performing for the adjustment. Enter the role code directly or click the **Search** icon to open the Code Lookup finder. 

**Action:** Click the **Search** icon to open the role finder.

**Format:** Text (alphanumeric search) | **Required:** Yes | **Editable:** Yes

### Start Date

The **Start Date** field sets the date the adjustment applies to.

**Action:** Click the **Date Picker** icon to select a date from a calendar.

**Format:** Date (DD/MM/YYYY) | **Required:** Yes | **Default:** Today's date | **Editable:** Yes

### Start Time (Time Adjustment)

The **Start Time** field displays the start time for the adjustment in 24 hour format. The **Start Time** field is always disabled in the **Time Adjustment** window and cannot be edited. Adjustments are recorded as a total number of hours in the **Hours Worked** field rather than a specific time range.

**Format:** Time (HH:MM, 24 hour) | **Default:** 00:00 | **Editable:** No (disabled)

#### End Time (Time Adjustment)

The **End Time** field displays the end time for the adjustment in 24 hour format. The **End Time** field is always disabled in the **Time Adjustment** window and cannot be edited. Adjustments are recorded as a total number of hours in the **Hours Worked** field rather than a specific time range.

**Format:** Time (HH:MM, 24 hour) | **Default:** 00:00 | **Editable:** No (disabled)

#### Hours Worked

The **Hours Worked** field sets the number of hours being adjusted against the user's logged time for the work order. Enter a positive value to add hours or a negative value to reduce previously logged hours. The **Hours Worked** value is applied to the total hours logged for the user against the specified work order.

**Format:** Numeric (decimal hours, positive or negative) | **Required:** Yes | **Default:** 0 | **Editable:** Yes

### Comment

The **Comment** field records the reason for the adjustment or any other relevant context as free text.

**Format:** Text (free text) | **Required:** No | **Editable:** Yes

### Completed (Time Adjustment)

The **Completed** checkbox marks the adjustment as finalised and verified when saved. Adjustments saved with the **Completed** checkbox enabled cannot be edited or deleted after saving.

**Format:** Checkbox | **Default:** Disabled | **Editable:** Yes

### Save (Time Adjustment)

The **Save** button commits the adjustment as a time sheet entry.

**Action:** Click **Save** to record the adjustment.

### Close (Time Adjustment)

The **Close** button closes the **Time Adjustment** window. Save or cancel any pending changes before closing the window.

**Action:** Click **Close** to close the **Time Adjustment** window.
