# Overview

The **Journal Entry** Dashboard, by default, allows you to view a list of all your draft General Ledger and Accrual journals. Additional search options allow you to view all journal entries for a selected period.

# <span style="color: #172b4d">Accessing the Journal Entry Dashboard</span>

<span style="color: #333333">To access the </span>**Journal Entry Dashboard**, perform the following:

1. Click the **Frameworks Menu** and navigate to **General Ledger > Transaction Processing > Journal Entry** from the navigation tree.
2. Click **Find** to view all the current **Journal Entries** in draft.

# <span style="color: #172b4d">Navigating the Screen</span>

Once you have opened up the** Journal Entry** screen, you will be able to view entries made, and then you can edit them.

<span style="color: #333333">There are 2 sections to the Journal Entry screen:</span>

1. The **Search **options
2. The **Results **Grid

## 1. The Search Options

### 1. Refine your search

You can refine your search using the following search criteria:

- The number the **Journal** was Given
- The **Owner **of the journal entry. This will be the user ID for who created the journal.
- The **Date From **and **To **for the General Ledger period that the journal will be posted to.
- The **Narration **applied to the journal entry.
- **Show Posted **or **Standing **journal entries by enabling the checkboxes.

Click **Find** once your search criteria has been entered to update the results grid.

### 2. Create a journal entry

Click **New** to open the **Journal Entry Header Maintenance **window and create a new journal entry.

| **Field** | **Description** |
| --- | --- |
| **Narration** | In the **Narration** field, enter a description to help identify the purpose of this journal when enquiring on the accounts in the future. |
| **Date** | Displays the **Date** that will determines the General Ledger period which the journal will be posted to.<br>> ℹ️ This defaults to todays date when creating a new journal entry. |
| **Accrual** | Enable the **Accrual** checkbox if you want Frameworks to automatically reverse the entry in the following month. For those with Multiple Company access, inter-company accruals are not allowed. |
| **Standing Journal** | Enable the **Standing Journal** checkbox if you wish to make this journal a **standing** or **template** journal.<br>> ℹ️ It cannot be posted, but can be re-used via the **Copy** button for recurring journals. it does not need to have a journal date entered. |

## 2. Results Grid

The **Results** grid displays information related to your search results. From here you can:

### 1. Open a Journal Entry

Click the **Journal **number hyperlink to display the journal's details.

### 2. View Basic Information about the Journal Entries

From the results grid you will be able to quickly view information related to the journal entries.

| **Field** | **Description** |
| --- | --- |
| **Journal** | Displays the Journal Entry number. Click the **Journal **hyperlink to open the [Journal Entry Maintenance ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28401446) screen. |
| **Narration** | Displays the Narration given to the journal entry to help identify the purpose of the journal, helping the future enquiry of the accounts. |
| **Status** | Show the status of the journal entry (**Draft** or **Posted**). |
| **Owner** | Displays the User ID who was logged in upon saving the Journal Entry. |
| **Journal Date** | Displays the date the journal will be posted to. |
| **Debits** | Displayed the total of the amount debited to the journal. |
| **Credits** | Displayed the total of the amount credited to the journal. |
| **Accrual** | If the journal entry is an accrual entry the checkbox will be enabled > Macro (inline-media-image) |
| **Standing** | If the journal entry is a standing entry the checkbox will be enabled > Macro (inline-media-image) |
| **Date** and** Time Updated** | Displays the date and time the journal entry was last updated. |
| **Period** | Displays the general ledger period the journal entry will be posted to.<br>> ℹ️ The Period number is made up of month and year, for example March 2022 would be 322. |

### 3. Copy a Journal Entry

Click the **Copy** icon on the far right of your desired journal entry to copy its contents into a new journal entry.
