# Overview

Before the **Scheduled Invoice Output** can be used, the following customer maintenance and system administration activities are recommended to be reviewed.

> ⚠️ This functionality is NOT feature-driven, however the feature code **INC **can be used.

> ❌ 1. Invoice stationery MUST been converted into XML format.
> ❌ 2. Invoice Prints Records prior to the "cutover" date has been purged, to stop old invoices being resent again.

> ⚠️ **Important:** As of version **6.1.230306** all **Miscellaneous Tables** and **System Tables** are separated into individual menu items located under **System Administration** **> System Setup **within the Frameworks menu. Each table has been grouped accordingly. For example, **Supplier Types** is under **Accounts Payables** and **System Settings - Flags** is under **Configuration.**

> ⚠️ ***Tip:**** Use the ****Frameworks Menu Search**** to quickly find an item that was once located in the miscellaneous table maintenance screen. For the ****System Settings**** tables, you might need to right-click and turn the grid filter on. Don't forget to save your configuration for next time.*

# Feature Code

The following feature code can be used if you use interim invoicing

- **INC **- <span style="color: #333333">Enable Interim Invoice Consolidation</span>

## <span style="color: #172b4d">Security Group Maintenance</span>

<span style="color: #333333">From the Frameworks menu navigate to </span>**System Administration > Users & Security > Users > Security Group Maintenance **<span style="color: #333333">and then ensure the </span>**Activities**<span style="color: #333333"> are added to your Users required Security Groups. Tick the access as required for the security groups.</span>

# Invoice Output File

## System Control File Maintenance

Your invoice output fill needs to be converted to **XML Output**. To do this perform the following:

1. From the Frameworks menu navigate to **System Administration > System Tables > System Control File Maintenance** <span style="color: #333333">from the navigation tree.</span>
2. <span style="color: #333333">On the </span><span style="color: #333333">**Station Formats **</span><span style="color: #333333">tab for the </span><span style="color: #333333">**Invoice **</span><span style="color: #333333">document, enable </span>> Macro (inline-media-image)

<span style="color: #333333"> the </span><span style="color: #333333">**Output XML **</span><span style="color: #333333">checkbox. Ensure that the </span><span style="color: #333333">**Use 20 for Nuvu**</span><span style="color: #333333"> checkbox is disabled.</span>

# File Purges

## Purge Invoice Print Records

Prior to running the [Scheduled Invoice Output](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382504) task for the first time (prior to cutover of the new process) you will need to purge all of the previously sent invoices. Failing to do this will resend your customers all of their old/previous invoices.

To do this perform the following:

1. From the Frameworks menu navigate to **System Administration > File Purges > Purge Invoice Print Records** <span style="color: #333333">from the navigation tree.</span>
2. <span style="color: #333333">Enter the number of days you want to retain, for example, If you sent invoices out last weeks you will only want to retain the the last 7 days.</span>
3. <span style="color: #333333">Click Submit</span>

# Systems Tables

> ❌ The following system tables are NOT just for the **Scheduled Invoice Output** functionality. Adjusting these tables may also also effect other invoice related functions. Please contact [Support](https://kb.myframeworks.com.au/page/support) if you have any questions.

<span style="color: #333333">The following system tables are not required, however depending on your business needs they may be beneficial. From the Frameworks menu navigate to </span>**System Administration > System Tables > Miscellaneous Table Maintenance **and then search for the following system tables. 

## System Settings - Flags

<span style="color: #333333">Search for </span>**System Settings - Flags **<span style="color: #333333">and setup the information for the below tables.</span>

| **InvAudit** | Write an audit when invoices are printed |
| **InvPriceLn** | Default print prices on All invoice including POS |

| **RecRetInc** | Retail line price to is to output as a GST Inc value |
| **CustExtRef** | Display Customer External Reference on Customer ID on various reports |

| **InvCODInv ** | COD Number of Days after Invoice Date |
| **InvComSiz ** | Field size of comments on Invoice |

## System Settings - Amount

<span style="color: #333333">Search for </span>**System Settings - Amount **<span style="color: #333333">and setup the information for the below tables.</span>

| **GstOldRate** | Previous GST percentage rate |

## Invoice Export Types - Formats

Search for **Invoice Export Types - Formats** and complete the following:

1. Click **Add **to add a new invoice export type and fill in the relevant information.
2. If you wish to remove an export type, select the relevant line and click **Remove**.
3. Enable and disable desired export types by enabling and disabling the **Enabled** checkbox as required.
4. Click **Save **to finalise changes.

## Messages

<span style="color: #333333">Search for </span>**Messages **<span style="color: #333333">and add the required messages for the below tables.</span>

- **Messages - Non-stock Invoice, Quote and Order Conf Messages:** Add or updated the code - **NonStkOrdMsg**
- **Messages - Run out Invoice, Quote and Order Conf Messages:**Add or updated the code - **RunOutOrdMsg**
- **Messages - Special Item Invoice Message:** Add or updated the code - **spec**

# Customer Maintenance Configuration 

The configuration of the following customer settings will help with the filtering of the **Customer Selection **within the **Report Criteria **tab of the [Scheduled Invoice Output](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382504) module. From the [Customer Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894) screen perform the following:

> From the **More Data **tab ensure that the following options have been configured.
> 
> - From the **Invoice Type **drop-down menu select one of the following:
>   - Full details
>   - Section summary
>   - Job Summary
> - From the **Invoice Freq** drop-down menu select one of the following:
>   - Daily
>   - Weekly
>   - Monthly
> - From the **NuVu Output Pref** drop-down menu select one of the following:
>   - Fax
>   - Email
>   - Print
> 
> > Macro (rw-step)
> 
> ### Stationary
> 
> From the **Stationary **tab ensure that the following options have been configured under the **Scheduled invoice Send **section.
> 
> > ℹ️ To send invoice via the below email settings ensure you have selected **Email **as the **NuVu Output Pref.**
> 
> - In the **Email address (PDF) **field enter the email address you required the PDF the Invoice Output to be sent to. Multiple email addresses can be added with an comma separating them, for example, email1@email.com,email2@email.com.
> - The **Individual Invoice Emails **checkbox allows you to:
>   - Enable and choose to send individual email for each invoice.
>   - Disable to send one email with all the invoices attached.
> - From the **Invoice Export Type** drop-down menu select one of the following export types
>   - None
>   - Xero Invoice
> - In the **Email address (Export) **field the email address you required the export file of the Invoice Output to be sent to.
