# Overview

<span style="color: #333333">Allows to search for an existing purchase requisition and make modifications to the batch prior to processing.</span>

# <span style="color: #003366">1. Accessing a purchase requisition batch</span>

To access a purchase requisition batch, from the **Home Dashboard**, perform the following:

1. Click **Frameworks **then navigate to **Purchasing & Receipting >Transaction Processing > Purchase Requisitions **from the navigation tree.
2. Click **Find **to view all in completed (Open or Locked) purchase requisitions.

> ⚠️ The **Branch **field defaults to the users logged in branch.

3. Click on the **Batch** number hyperlink to open the **Requisition Batch Maintenance **Screen.

# <span style="color: #003366">Maintaining a purchase requisition batch</span>

To maintain a purchase requisition batch, from within the **requisition's maintenance screen**, perform the following:

1. Click on the **Actions **button for maintenance options available in the requisition's maintenance screen.

| **Prod** | The product ID. |
| **Description** | The product description. |
| **Qty To Order** | Quantity planned to be ordered. |
| **UOM** | The chosen unit of measure. |
| **Supp.** | The chosen supplier. |
| **Product Group** | The product group. |
| **Lead Time** | The current lead time. |
| **Min Stock** | The minimum amount of the given stock that the business should have accounted for at any time. |
| **Max Stock** | The maximum amount of the given stock that the business should have accounted for at any time. |
| **Supp. Pk Qty** | The supplier's pack quantity. |
| **Supp. Min Qty** | The supplier's minimum quantity. |
| **CDF Src** | <span style="color: #333333">Displays whether the product is </span>CDF<span style="color: #333333"> (Central Distribution Facility) sourced.</span><br>- For items that are CDF sourced, the **Line No** field is coloured <span style="color: #cc99ff">**purple**</span>. |
| **Primary Location** | The primary location of this product. |
| **On Hand (All Brn)** | The quantity on hand for all branches collectively. |
| **On Hand (This Brn)** | The quantity on hand for the branch of the current session. |
| **Qty on C/O (This Brn)** | The quantity of this product currently on customer order(s) for the branch of the current session. |
| **Qty on P/O (This Brn)** | The quantity of this product currently on purchase order(s) for the branch of the current session. |
| **On Hand (All Oth Brn)** | The quantity on hand for all branches, excluding the branch of the current session. |
| **Qty on C/O (All Oth Brn)** | The quantity of this product currently on customer order(s) for all other branches. |
| **Qty on P/O (All Oth Brn)** | The quantity of this product currently on purchase order(s) for all other branches. |
| **Sales Jun '22 - Sales Jan '22 (Current Month - 5 Months Ago)** | Quantity of each given product sold within each respective month, starting from the current month back to 5 months before. |
| **Linked PO** | If a linked purchase order exists, the transaction number appears here. |
| **Linked SO** | If a linked sales order exists, the transaction number appears here. |
| **Source** | How the product was added to this purchase requisition, whether it be manually, automatically, via a linked purchase order, etc. |
</details>

> ⚠️ To hide the **Qty on C/O** **(This Brn)**, **Qty on P/O (This Brn)**, **Qty on C/O (All Oth Brn)** and **Qty on P/O (All Oth Brn)** columns, enable the **FWPurIgSlo **flag within **Miscellaneous Table Maintenance**. Additionally, if you have an issue with load times within **Purchase Requisition Maintenance**, removing these columns can help improve this.

2. Make any **product adjustments** to the requisition batch such as adding or removing any products, updating the quantities to order or changing the supplier of the product.
3. Once all products within the batch have been reviewed there are a number of options available:
  1. **Select All**: Click to include all products from the batch onto the Purchase Order or tick each product line you wish to include.
  2. **Delete Selected**: Click to remove all ticked product lines from the batch.
  3. **Order Selected**: Click to review the order/s before sending them. This will open the **Multi Purchase Order Review **window allowing you to:
    - Make any adjustments as required such as updating the **Supply From** and/or **Shipping Basis** fields
    - You can print a select a purchase order by clicking on the order, making it highlighted, and then clicking **Print Selected. **
    - The **Print All **button is available where there is more than one purchase ordered being created.
    - Once reviewed, click **Save **to send the Purchase Order off to the Supplier.

> ⚠️ XML printing is required for **Purchase Orders** to be able to use print all.

> ℹ️ The** Date Required** applied to the Purchase Orders is calculated based on the current date (today's date) + the number of days specified by the **FWSTKPODays** numerical value.

### 4. Refresh Lines

Click to update the current lines with any changes made.

# <span style="color: #003366">Actions Options</span>

From the **Actions **button <span style="color: #333333">additional options are available to help you better manage the purchase requisitions. Refer below for an explanation of these functions.</span>

## 1. Edit Requisition Header

Select this option to allow editing on the Purchase requisition header details.

1. Click on **Actions **and select **Edit Requisition Header**
2. From the **Purchase Requisition Header** pop up make any required adjustments.
3. Click on **Save** to update the header.

## 2. Show/Hide Product Entry 

Select this option to toggle the Product entry line to either display or be hidden depending on whether additional products need to be added.

1. Click on **Actions **and select **Show/Hide Product Entry.**
2. Add any products** **to the batch via the **Product*** field.

## 3. Rapid Entry

Select this option to allow quick entry and editing of products to the requisition via a **Purchase Order Rapid Entry line **popup screen.

1. Click on **Actions **and select **Rapid Entry.**
2. Use the filter option dropdowns to view only the products in a batch that are based on the products **Product Group**, **Source **and **Primary Location**. The filter options default or **All. **Click on **Find** to view the product list.
3. Once the products are displayed in the rapid entry window a user can edit a products **Quantity **or **Tally. **Use the <**Tab**> key to quickly navigate to the next product.** **
4. Users can also add and remove products lines form the requisition batch by using the **Add **and **Remove **buttons.
  
5. Click on **Save **to save any changes and close the rapid entry window

## 4. Stock Reorder

When selected, the batch requisition **Stock Reorder** scheduled task is opened, allowing users to create an automatic batch reorder.

## 5. Consolidate Branch Transfer

This option will remove any products that are to be supplied by a branch transfer supplier and add them to a new batch, one for each supplier. 

## 6. Close Requisition Batch

This option allows users with security permissions to delete a requisition batch.

> ⚠️ Users must be a Purchase Supervisor to delete Batches and if a Batch has an un-ordered line from a Linked Sales Order, it cannot be deleted.

## 7. Lock Requisition

Allows a Purchasing Supervisor to **lock** the purchase requisition batch, preventing the addition of any more products by anyone other than a "Purchasing Supervisor".

Only Users with **Purchase Supervisor** enabled, under user maintenance, can perform the following:

- Lock a Batch
- Unlock an already Locked batch
- If a batch is locked, the purchase supervisor can add, edit and remove products from the locked batch. This includes adding a product via PDA/Mobile scanner.
- If the batch is locked, the purchase supervisor can add a product to the batch using Stock Re-Ordering.

If a batch is locked and accessed by a user without "Purchase Supervisor" access, the user will see that the requisition is locked, however will be unable to unlock the batch, or make any edits to the batch as the "**Actions**" button will be removed from the screen:

# Modifying Product Information

## <span style="color: #003366">Modifying Product lines</span>

To make any changes to the product lines in a requisition batch perform the following:

> Click the pencil icon next to the **Product number **field to edit the requisition line.
>

> 
> From the **Edit Requisition Line** window, a user can adjust quantity required by updating the **Qty To Order **field.

> To change the supplier, select the **Change** button to edit the supplier. Using the **Alternate Supplier Finder** change the supplier

> Click on **Save **to close the **Edit Requisition Line** window
> 
> > ℹ️ To delete any products from the batch, click **Close** on the appropriate product line/s. (Scroll to the right to see the **Close** icon).

## <span style="color: #003366">Modifying Product Branch Stock</span>

To allow for quicker maintenance of a products branch stock data, from within the purchase requisition batch screen you are able to update a product:

- **Type**, if it is **Stocked **or **NOT Stocked**
- **Minimum **and **Maximum Stock** requirements
- **Threshold Days** and its **Performance Category**

To do this, perform the following:

> From the product line you want to adjust click on the **Prod **hyperlink to open the **Purchase Sales Information **window**.**

> Under the **Stock Levels by Branch** click on the **Edit **for the branch you want to edit.

> Once the changes have been done click **Save/Close**.

# <span style="color: #003366">Deleting Purchase Requisitions</span>

To delete a **Purchase Requisition**, perform the following:

> Click **Frameworks **then navigate to **Purchase & Receipting > Transaction Processing** > **Purchase Requisitions **from** **within the** **navigation tree.
>

> All Purchase Requisition batches already created for your assigned branch are displayed. <span style="color: #333333">Select the appropriate batch.</span>
> 
> > Macro (rw-step)
> 
> <span style="color: #333333">Click </span>**Delete**<span style="color: #333333">** **</span><span style="color: #333333">to delete the purchase requisition and </span><span style="color: #333333">**yes**</span><span style="color: #333333"> to confirm.</span>

# Troubleshooting

## Product is missing from the requisition batch

If a product is not visible in the requisition batch after an operator reports adding it via Mobile Inventory, the product was not saved due to a validation error.

Ask the operator to:

1. Open the requisition in Mobile Inventory and select the **Add to Requisition** tab.
2. Re-enter the product in the **Product** field.
3. Check for a validation error below the entry fields (for example, *"Invalid tally of [value] encountered."*) and correct the value.
4. Select **Submit** to add the product again.

Once submitted successfully, the product appears in the requisition batch on this screen.
