This User Manual explains all the aspects of the Purchasing Expenses Dashboard. Overview The  Purchasing Expenses Dashboard  allows you to  find ,  create  and  view   all outstanding expense purchase orders. Only Expense Purchase Orders with the status of  New ,  Printed , and  Received  will be displayed on the dashboard. Once the Expense PO has been Invoiced/Posted these can be found in the  Supplier Dashboard  under  Orders and Receipts   . Accessing the Purchasing Expenses Dashboard To access the Purchasing Expenses Dashboard, perform the following: Click   then navigate to  Purchasing & Receipting > Transaction Processing > Purchasing Expenses  from the navigation tree.  Click  to view all of the current Purchasing Expense in Frameworks for your default  Branch . You can refine your search by using the  Supplier, Branch  and  Order  fields. Navigating the Purchasing Expenses Dashboard Once you have opened the  Purchasing Expenses Dashboard  you will be able to  view ,  create  and  access  your Purchasing Expenses. There are 3 main sections to the  Purchasing Expenses  Dashboard  screen: At the top is displayed the  Search Options. Below is displayed the  Results Grid . In the bottom right of the screen is the  Total The Purchasing Expenses Dashboard has 3 sections, these sections are: The Search Options In the Search section you are able to perform the following: Search for any outstanding expense purchase orders You are able to search by: Supplier:  Entering the suppliers name or Id, into the field, and selecting the supplier you require or by using the  button to open the  Supplier Finder  window. Leave blank to search for all suppliers.  Branch:  Using the dropdown menu and selecting the branch you want. It will default to the logged in users default branch defined in  User Maintenance . Order#  number: If you know the order number you are looking for. By ticking the  Include Recurring  checkbox you can also view the recurring expense purchase orders which have been automatically created.  Create new  expense purchase order Click on the  button to add a expense purchase order. Refer to  Create an Expense Purchase Order  for more information. The Results Grid The results grid displays the information related to your search. From here you can: Open an expense purchase order Click on the relevant  Order  hyperlink to open the orders  Purchasing Expenses Maintenance    screen. View the current status of your expense purchase orders From the grid you can quickly view information related to your expense purchase orders. Right clicking on the grid headings will allow you choose which columns you want to be visible. The information available form the results grid is: the  Order  number for the expense purchase order. the  Branch  the expense purchase order is linked to. the  Supplier  of the expense purchase order. the  Required Date  of the expense purchase order. the  Transaction Description  of the expense purchase order the  Status  of the expense purchase order. This will be  New  for any newly created or recurring orders;  Printed  if an expense purchase order has been printed;  Received  once the details of the invoice have been added to the expense purchase order, a GL Account assigned and receive is selected from the actions menu the  Assignee  defaults to the user who entered in the expense purchase order or who had been defined on the  Header  tab in the maintenance screen. the  Total Value  (Inc GST) for the expense purchase order.  Totals At the bottom of the results grid you can see the  total $ value  (Inc GST) for the current search results.  Additional Information Refer to the  Purchasing Expenses Maintenance    User Manual for more information.
