# Overview

The **Projects** module allows you to create and maintain Projects and Jobs, and to assign one or more Jobs to a Project.

> **For example**:
> 
> Your client's Project could be to:
> 
> 1. Develop and build a suburban complex (the Project) with a number of units (the Jobs)
> 2. Build a multi-storey office block (the Project) where each floor is a Job.

# Accessing Projects

To access Projects:

1. Click the **Frameworks Menu** then navigate to **Sales > Transaction Processing >** **Projects **from the navigation tree.
2. Click **Find** to search for active projects in Frameworks.  
To refine search results, enter criteria in the **Project No**, **Customer** or **Description** fields, then click **Find**.

> ℹ️ To view completed jobs, enable the **Show Complete **checkbox, then click **Find**.

3. In the **Results Grid**, click the relevant **Project ID** to open the project.

> ℹ️ The **Results Grid** displays the number of **Jobs**, **Orders**, **Quotes** and **Invoices** for each project, and the progress of attached tasks.

# Navigating the Project Dashboard

Once you have opened up the project you will be able to view information for your chosen project, update the **Project** and **Job Details**, **Import** and add **New Jobs**, add **New Tasks**, Add **Attachments** relevant to the project, add **Diary Notes** add **Delivery Dates** and **Print Quote**

> ℹ️ In the **Project Details** section, click the Job **No** hyperlink to view the details and **Job Progress** for each job.

## Project Details

From the **Project Details** section, you can:

### 1. Edit

View and **Edit** the project header information. Click on the **Edit** button to update the Project details.

### 2. Attachments

View and add attachments to the project, for example, building plans. Click the **Attachments** icons to add attachments. Attachments that have been added display a hyperlink in the **Description** column allowing you to view them.

> ⚠️ System code **SysAttPth** in the *System Attachments Directory* specifies the default directory where all attachments are saved. This is automatically populated in the **Attachment Path** field when creating the project.

### 3. New Job

To create a new job, click the **New Job **button.

### 4. Copy Job

The **Copy Job** button allows you to copy a job from another project (up to 25 jobs at a time) that may be similar to another project.

> ℹ️ Before creating the jobs you can update delivery details and remove lines as required.

The following options are available when copying a project job:

- **Create Quote:** When enabled, **Quotes** will be created rather than **Orders**.
- **Copy Products:** When enabled, all products from the job being copied will be added to the newly created jobs. This is enabled by default.
- **Retain Pricing:** When enabled, the pricing from the job being copied will be applied to the products in the newly created jobs.
- **Copy Comments:** When enabled, any comments will be added to the newly created jobs.
- **Copies:** Enter the number of times (maximum 25) you want to copy the selected job into the project, then click **Create Copies**.

The following header information can be edited on the copied jobs:

- The delivery **Instructions**
- The **Delivery Date**
- The **Order Number**
- The **Map Reference** and **Xref**
- The **Delivery Area**
- The **Contact Name** and **Number**

### 5. Project Jobs List

In the **Project Jobs List** section, you can click the **Job Number** to display the **Job Details** to the right.

You will also see information relating to:

- Who the job is assigned to
- The status of the job
- The value of each Job, excluding GST (**Value Ex**) and including GST (**Value Inc**)
- Totals of number of jobs and values.

## Job Details

Once a job has been selected from the project details you will be able to view the **Job Details. **From here you will be able to:

### 1. Job Progress

View the job progress and job details. The job progress bar displays how many **Quotes** (Red), **Orders** (Orange) and **Invoices** (Green) you currently have for the job.

### 2. Import Job

The **Import Job** button allows you to import an estimator file into a job to create quotes and orders. Once the file has been imported, you will need to use **Resolve Job Import Line** to ensure that the information provided from the estimator works within Frameworks.

> > ℹ️ Select this format if you want to import all products into a single quote, ignore lines with zero quantity, ignore prices, and do not need section handling.

> ⚠️ The need for usage information can be enforced using the system flag **FWJobUsage**.

### 3. Edit Job

The **Edit Job** button opens the **Job Maintenance** window, allowing you to make changes to the:

- Job name and description
- Delivery details or site address
- Customer order number
- Contact details
- Additional delivery information, dispatch method and comments
- Status from new, in progress and complete
- Assignee for the job

### 4. New Order

The **New Order** button opens the **New Sales Order** window allowing you to create a new quote or order for the selected job.

### 5. Delivery Dates

The **Delivery Dates** button opens the **Review Delivery Dates** window displaying information for the orders added to the selected job.

In this window, you can:

- **Find** and review the delivery dates for other **Customers**, **Projects** or **Jobs** by using the search filters and clicking **Find**.
- Add a new delivery date for the orders by clicking in the **New Dates** field and entering the date, or by clicking the **Calendar** icon.

### 6. Print Quotes

The **Print Quotes** button opens the **Project Print View** screen where you can print quotes for the project.

> ⚠️ Project quotes can be printed with RPT or XML stationery formats using the system setting flag **FWProjectXML** to define which is being used. Contact [Support](https://360.dmsi.com/prod1/portal/portal.jsp?c=5899&p=109533894&g=109534929) for assistance in creating quote templates.

#### Project Quote Output Structure

When you print a project quote, the system generates several pages:

- **Cover Page** - Shows the overall project summary with all jobs, sections, and totals
- **Acceptance Page** - Formatted for customer sign-off. If your jobs use usage codes (like "Framing", "Roofing"), items are automatically grouped by usage within each section
- **Summary Page** - Displays consolidated totals grouped by usage codes
- **Individual Quote Details** - Shows the detailed line items for each quote

> ℹ️ - The sorting and presentation can be customiZed using system flags including **SOPUsageBR** (sort/break by usage), **SOPUsageSBR** (sort by usage sequence), **PRJSectSort** (section sort order), and **CoverBlank** (suppress blank section headers). Refer to the system flags in [Additional Information ](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28383544/Projects#Additional-Information)below for complete descriptions.
> ℹ️ - This functionality is available in Frameworks 6.2.2510.1 or later.

### 7. Delete Job

The **Delete Job** button allows you to delete a job from your project.

> ⚠️ You will be unable to delete a job if there are quotes or orders added to the Job. To resolve this you can:
> ⚠️ 
> ⚠️ 1. Void any of the Sales Orders if they are not required.  
> ⚠️ OR
> ⚠️ 2. From the **Sales Orders** **Header** tab, remove the sales order from the **Job** field, leaving it in the system to be added to another job if required.

### 8. New Credit

The **New Credit** button opens the **New Credit Note** window displaying all the **Invoices** for the job. In this window, you can view and select:

- The **Job Id**
- The Job **Description **
- The **Credit Section **selector is where you can enter or select the required job section for the credit note.
- Any **Invoices **for the job.

> ⚠️ If an invoice has previously been credited you will be prompted with a warning message. It is advised that the **Credit Section** be a job section created specifically for credit notes. Job sections can be created and maintained within [Job Section Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28402116).

Once the Credit has been processed the **Job **will display an additional line with the **Type:** **Credit Note **and **Values** of the credit note.

> ℹ️ The Credit Note transaction number will be inherited from the number range of the **Job** and the **Job Section** number selected. See **FWJobNumber** under [Additional Information](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28383544/Projects#Additional-Information).

> ℹ️ When you make a credit note from a job, all the important job details are copied into the credit note.

### 9. Accept/Reject Quotes

The **Accept/Reject Quotes** button opens the **Accept/Reject Quotes** window, allowing you to select quotes for a job and either accept or reject the selected quotes.

### 10. Further Management of Quote, Orders and Invoices

Below the job maintenance buttons, all quotes, orders and invoices will be displayed. Click the **Number** hyperlink to quickly access the **Sales Order** screen or **Invoice** screen to manage them.

> ℹ️ For any invoices, the **Type** column will be highlighted **Green. **

## Project Tasks

Project tasks are typically tasks or jobs for employees to perform outside the normal transactional process flow of Frameworks, for example, contacting the customer to get a copy of the project plans. Individual tasks can be added including a due date, estimated hours, assignee, and any additional notes relevant to the task. Tasks can be set to a status of either **New**, **In Progress**, or **Completed**

1. To access the project tasks, click the **Project Tasks** heading.

2. Click on **New Task** to create a new task.

## Project Diary Notes

The **Project Diary Notes** section allows you to view and add any diary notes related to the project.

1. To access the diary notes, click the **Project Diary Notes** heading.
2. Click **Add Diary Note** to add a Diary note.
