# Overview

**Transport Order** **Entry** is a sales interface used to record incoming Central Allocation orders. Essentially, a customer calls to make an order, and you use Transport Order Entry to record details of that order.

# <span style="color: #003366">Creating a new Transport Order</span>

To create a new Central Allocations Transport Order, perform the following:

1. Click Frameworks then type **Transport Order Entry **(or select **Central Allocations - Transport Order Entry **from the Frameworks navigation tree).

2. If applicable, *select the site *via the drop-down arrow in the **Site** field. This defaults to the currently logged in user's branch.

Type (or partially type) the customer's name or id who is making the order into the </span><span style="color: #444444">**Customer**</span><span style="color: #444444"> field or look for the customer via the lookup</span><span style="color: #444444">** **</span>**Search**<span style="color: #444444">**. **</span>If a new customer, click **New**.

> ℹ️ The credit checking for the Customer is automatically completed once the customer has been added to the *Customer* field.  An error message is displayed "*The customer nnnnn failed the credit check*" beside the *Customer* field if the customer fails the credit check.

<span style="color: #444444">4. </span>The **Deliver To, Address / Suburb/City & State/Postcode **are auto populated if the customer has one delivery address only. If not, click **Find **in the **Deliver To** field to select the correct delivery details for the customer or manually add this information.

5. *If applicable*, add or update* the Contact Name & Phone* in the **Contact Name **&** Contact Phone** fields.

6. Type the *order reference* in the **Customer Order Ref** field.

7. Type or click **Show Date Chooser** to *select the date the delivery is required* in the **Date Required** field.

8. Type the *time the delivery is required* in the **Delivery Time** field.

> ℹ️ Delivery Time is mandatory unless the *Own Vehicle?* option has been selected.

9. Enable the **Own Vehicle?** checkbox *if the customer has their own vehicle and will use it for pickup*.

10. Click **Get Distance **to have the distance from the Branch (defined in [Branch Maintenance](https://kb.myframeworks.com.au/space/FRAM/542484345/Branch+Maintenance)) to the delivery address auto-calculated in the **Distance (KM)*** field. Distance is mandatory unless the *Own Vehicle?* option has been selected.

> ℹ️ This can be overridden if needed. The **Get Distance** button uses Google Maps technology to calculate the distance in kms from the site to the Customer's delivery address.

11.* If applicable*, type the *delivery comments* into the **Delivery Comments** field and the *shipping instructions* into the **Shipping Instructions** field.

> ℹ️ These can be manually entered **or **if an existing delivery address (with delivery comments and shipping instructions already defined) is selected in the **Deliver To** field, both fields are automatically populated.
> ℹ️ 
> ℹ️ After selecting a delivery address, if the delivery address is linked to a contract, the contract field is locked so it cannot be edited unless the Deliver To is changed or removed.

12.Type* the driver’s name *<span style="color: #444444">into the </span><span style="color: #444444">**Reference **</span><span style="color: #444444">field.</span>

<span style="color: #444444">13. Select</span>* the type of truck *<span style="color: #444444">via the drop-down list of options in the </span><span style="color: #444444">**Truck Config **</span><span style="color: #444444">field.</span>

<span style="color: #444444">14. </span><span style="color: #444444">*If applicable,*</span><span style="color: #444444"> </span><span style="color: #444444">**enter **</span><span style="color: #444444">or </span><span style="color: #444444">**search **</span><span style="color: #444444">for </span><span style="color: #444444">*the contract applicable to this customer*</span><span style="color: #444444"> in the </span><span style="color: #444444">**Contract**</span><span style="color: #444444"> field.</span>

> ℹ️ <span style="color: #444444">If the contract on the transport order is set as "Cartage = Not Required", the value of the 'Own Vehicle' tickbox is set to yes automatically.</span>

<span style="color: #444444">15. S</span>elect the *product to add to the transport order* from the drop-down arrow in the **Product** field. Only one product is available per Transport Order.

> ℹ️ The list of products displayed are from the same Site when a Contract (refer to step 14 above) is not specified. If a Contract is specified, the list of products displayed are only those products that have been added to the [Central Allocations - Contracts](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30509656)specified.

16. The **UOM** is auto populated based on the product entered (tonnes).

<span style="color: #444444">17. Type the </span><span style="color: #444444">*product quantity required*</span><span style="color: #444444"> into the </span><span style="color: #444444">**Quantity**</span><span style="color: #444444"> field.</span>

> ℹ️ <span style="color: #444444">**Unit Sell Price**</span><span style="color: #444444"> is auto populated based on the </span><span style="color: #444444">[product](https://kb.myframeworks.com.au/space/FRAM/117637184)</span><span style="color: #444444"> record.</span>

<span style="color: #444444">18. Select</span><span style="color: #444444">* either Once-Off, Daily or Weekly*</span><span style="color: #444444"> in the </span><span style="color: #444444">**Frequency***</span><span style="color: #444444"> field to setup the level of frequency for this transport order to be delivered.</span>

<span style="color: #444444">i. If </span><span style="color: #444444">*Once-Off, *</span><span style="color: #444444">enable the day the delivery will be as per the </span><span style="color: #444444">**Date Required**</span><span style="color: #444444"> field.</span>

<span style="color: #444444">ii. If </span><span style="color: #444444">*Daily*</span><span style="color: #444444">, enable each day (Mon - Sun), then type the date this should end in the </span><span style="color: #444444">**End Date**</span><span style="color: #444444"> field.</span>

<span style="color: #444444">iii.  If </span><span style="color: #444444">*Weekly*</span><span style="color: #444444">, enable the days the weekly delivery is required, then type the date this delivery runs should end in the </span><span style="color: #444444">**End Date**</span><span style="color: #444444"> field or enter the number of weeks that the runs should repeat into the </span><span style="color: #444444">**Repeats**</span><span style="color: #444444"> field. </span>

<span style="color: #333333">19. Confirm your order details, then click </span>**Finish**<span style="color: #333333">. </span>

<span style="color: #333333">20. A message will be displayed detailing your order. Click </span>**Yes-Perform Save** or **No-Don’t save**<span style="color: #333333"> as appropriate.</span>
