> A Product Group is a way of grouping products together for the purpose of summary type sales analysis. Product Groups allow you to create logical groupings of products from your Product Master file to enable enquiry and reporting on sales by these groupings. Each product within a product group may be categorised into up to three previously defined sub-groups to categorise products more accurately.

> Product Groups serve multiple business functions within Frameworks: 
> 
> - Price discounts can be applied to Product Groups through Discount Modules, enabling you to apply percentage discounts to all products in a specific Product Group for a given Customer Discount Group.
> - Product Groups also link to the required General Ledger accounts, automatically updating the appropriate GL accounts when you process transactions for products within the group.
> - The Product Group Maintenance function allows you to allocate GL accounts to Product Groups at a Branch level, enabling financial analysis of each Branch's performance at a Product Group level.

# Accessing the Product Group Maintenance Dashboard

To access the **Product Group Maintenance Dashboard**, perform the following:

1. Click **Frameworks** and navigate to **System Administration > System Setup > Inventory > Product Group Maintenance** from the navigation tree.
2. Click **Find** to view all currently available product groups.

# Navigating the Product Group Maintenance Dashboard

The **Product Group Maintenance Dashboard** allows you to view, create, copy, and delete product groups. The screen is made up of two main sections:

## 1. The Search Options

The Search Options section allows you to search for existing product groups or create new ones.

### a. Search for existing product groups

1. **Basic Search: **Using the basic search functions, you can refine your search results by the **Group ID **and/or **Description.**
2. **Advanced Search Criteria: **Clicking on the **Advanced Search Criteria** heading to display additional search options to help you further refine your search results. The additional search fields available are **From Product Group **and **To **range and/or **From Description **and **To **range.

Click **Find **once you have entered your search criteria to update the search results.

### b. Create a new product group

Click **New** to create a new product group.

## 2. The Results Grid

The Results Grid displays product groups matching your search criteria. From the grid, you can open a product group for editing, view key details, copy an existing product group, or delete a product group.

**Group ID**

Displays the unique identifier for each product group. Click the hyperlink to open the [Product Group Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28405034) screen for the selected group.

**Description**

Displays the descriptive name assigned to the product group. This description helps identify the purpose and contents of the product group.

**Major Group**

Displays the Major Group Code for the product group. The Major Group provides a higher-level grouping mechanism, allowing product groups to be organised into broader categories for reporting and analysis purposes.

**Minimum GP%**

Displays the minimum gross profit percentage assigned to the product group. This percentage is used as a validation check when users override selling prices. If a user attempts to set a price that results in a gross profit below this minimum percentage, the system warns the user that the price override does not meet the minimum GP% requirement.

---

**Maximum GP%**

Displays the maximum gross profit percentage assigned to the product group. This percentage is used as a validation check when users override selling prices. If a user attempts to set a price that results in a gross profit exceeding this maximum percentage, the system warns the user that the gross profit is higher than expected.

---

**Expected GP%**

Displays the expected gross profit percentage for the product group. This percentage assists in the calculation of the cost price for products within this group that have not yet been fully defined. The Expected GP% provides a default margin for new or incomplete product records.

**Special Item GP%**

Displays the gross profit percentage applied to special items created within this product group. When this field contains a non-zero value, creating a special item belonging to the product group automatically applies this GP% to calculate the selling price.

**Exclude from Search**

Enable this checkbox to prevent users from seeing this product group when creating special items or mass updating products. This exclusion is typically used for product groups reserved for expense-type items only, ensuring no stock-type items are inadvertently added to these groups.

**Exclude from Sales Calendar**

Enable this checkbox to exclude the product group's totals from the [Sales Calendar](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28398132). This exclusion is generally applied to miscellaneous charge-type product groups where including their sales totals would distort meaningful sales analysis.

**Copy Icon**

Click the **Copy** icon at the end of a product group line to create a new product group based on the selected group's configuration. The Copy function streamlines the creation of new product groups by duplicating the branch settings and GL account mappings from an existing group.

> 📝 - Branch GP% settings at the sub-group level

**Delete Icon**

Click the **Delete** icon to remove a product group from the system. You can only delete product groups that are not assigned to any products. If products are assigned to the group, you must first reassign those products to a different product group before deletion is permitted.
