# <span style="color: #172b4d">Overview</span>

The **Audit Enquiry** function for customers within Frameworks, via a dashboard dedicated to showing the audit history for a given transaction type

> ✅ To enable the Audit Enquiry function, log a request via the [Support Portal](https://kb.myframeworks.com.au/page/support).

## <span style="color: #172b4d">Current Tables being Audited</span>

The **Entity/Tables** currently being audited with their key record identifiers are:

- **Customer**: Company Code** |** Customer Code
- **Sales Order**: Company Code **|** Customer Code **|** Transaction Number **|** Tran Suffix  **|**  Line
- **Purchase Order**: Company Code **|** '999999' **|** Transaction Number **|** Tran Suffix  **|**  Line
- **Supplier**: Company Code **|** Supplier Code
- **Product**: Key/Product ID
- **Branch**: Key/Branch ID
- **Company**: Key/Company ID
- **System** **Control**: Date **|** millisecondsfrommidnight
- **System** **Misc Table**: CompanyNo **|** TableType **|** Flag/ValueName
- **System** **User**: User ID
- **Contracts**: Company Code **|** CustomerNo **|** ContractId **|** ProductId
- **Supplier Contract:** Company ID **|** Supplier Code **|** Contract Number
  - **Tables audited**: supp_contract, supp_contract_line, supp_contract_branch, supp_contract_cust

- **Attribute Value**: CompanyNo** |** Branch No** |** RelatedTable** |** AttributeCategory **|** AttributeId** |** DBObjectId
- **Pack: **Pack Number
- **Customer Order: **Central Order No** |** Line

> ℹ️ 999999 in the Purchase Order key is fixed.

# Accessing the Audit Enquiry function

1. Click the **Frameworks Menu** then navigate to **System Administration > Users & Security > Auditing > Audit Enquiry **from the navigation tree.

# Navigating the Audit Entry Screen

Once you have opened the **Audit Entry screen,** you will be able to **search **the audit histories of various entities and tables and **schedule **audit reports.

The Audit Enquiry screen is made up of 2 main sections; these are:

## 1. The Search Criteria

### 1. Searching for an event

Use the following options/fields in order to search for the required audit entries. Once all search parameters have been entered, click **Find Audit**.

**Entity/Table**

Select from the drop-down list either **Customer, Sales Order, Purchase Order, Supplier, Product, Branch, Company, System Control, System Misc Table, System User, Contracts,** **Supplier Contract**, **Attribute Value, Pack **or **Customer Orders.**

> ✅ **Tip:** You can also manually type in 'attribute_value' into the Entity/Table field.

**Event**

Options are **Create**, **Update**, **Delete**, or select **All** to search all event types.

**User**

Enter a user ID or name, then press the "Find" button to display results.

You can also include a search on inactive logins

**From**

Enter a from date or search using the **Date Picker** icon By default the initial **From** date is set via one of 2 system settings.

**To**

Enter a To date or search using the **Date Picker** icon. By default, the initial **TO **date is typical of the current day's (today's) date.

> ✅ Refer to the systemSettings below for more information about the FWAuditEnqDays and FWAuditPolicyDate settings.

**Key**

The Audit Enquiry screen dynamically changes the Key options according to the selected Table. Audit record gets created with fields from the list above as the Key identifier. Providing the appropriate keys on the Audit Enquiry makes the search faster as these keys are indexed in Audit database.

**Field List**

Click the search icon for the **Field List** to open the **Field Multi Select Finder.** Once opened the **Field Multi Select Finder **displays all the fields available for auditing within the Audit Record depending on the Entity/Table value selected.

For example:

- For Customer and Supplier table the lookup will show its corresponding Table fields.
- For Purchase Orders and Sales order table the lookup will show all relevant Transaction Tables that comprises that order.

> ℹ️ Use the **+** symbol to expand the Field description to list the labels within that field label header.

### Additional Notes about the Date Range if FWAuditPolicyDate is defined

#### Initial dates From and To

The initial dates From and To are based on system setting. But only used by Customers who had two Audit Policies implemented.  
This setting is the switchover date to the new Audit Policy, with the default values based on:

### Note Field

- This will have messages relating to the enquiry output.
- This will have a warning message if the limit of 1000 records is reached.

### 2. Scheduling an Audit

From the **Audit Enquiry screen,** you are able to schedule an audit. 

1. Click **Schedule Audit,** and the **Audit Report Scheduler **screen will open with the search criteria already entered in the **Audit Enquiry** screen.

## 2. The Results Grid

The **Results** grid displays the audit history based on the search criteria above.

**Date Time**

Displays the date and time the event occurred in the format DD/MM/YYYY hh:mm:ss (example 29/03/2021 15:58:31) .

**User**

Displays the User Id for the account performed the event.

**Event**

Displays what the event type was.

- **C**: Create
- **U**: Update
- **D**: Delete

---

**Table**

Displays the table name where the event occurred. 

---

**Field**

Displays the field name where the event occurred. 

---

**Old Value**

Displays the value prior to the event occurred.

---

**New Value**

Displays the value after the event occurred.

---

**Key**

Displays the key record identifiers for the Entity/Tables of the event being audited.

**DB Table.Field**

Displays the actual database table.field information.

---

**Activity**

Displays the executed activity, the device it ran on, and if it was scheduled by someone else using the task scheduler. It helps identify the origin of changes made by scheduled tasks.

> ℹ️ This **Column **is hidden by default.

To access the system settings, navigate to **System Administration > System Setup > Configuration **> **System Settings - Integers **and find the following setting.

| **System Setting - Numeric** | **Setting Purpose** |
| --- | --- |
| **FWAuditEnqDays** | The value entered is the default number of days for system audit enquiry. This integer will default the **From** date to be (@today - FWAuditEnqDays) when performing audit enquiries.<br>> **For example:** 
> 
> If **FWAuditEnqDays** is set as 30 and today is the 23/03/2021 then the **From **date would be 21/02/2021. |

To access the system settings, navigate to **System Administration > System Setup > Configuration **> **System Settings - General **and find the following setting.

| **System Setting - General** | **Setting Purpose ** |
| --- | --- |
| **FWAuditPolicyDate** | The value entered is the Audit Policy switch date.<br>When a value is defined the initial dates From and To will be based on this system setting, however, this only used by Customers who had two Audit Policies implemented. The default values will be based on:<br>1. If the Customer had previous Audit Policy and switchover is less than 120 days from today
  - From Date = Today - 120 days  or Switchover Date (whichever is later)
  - To Date    = Today's Date
2. If the Customer had previous Audit Policy and switchover is more than 120 days already
  - From Date = Switchover Date - 120 days
  - To Date    = Switchover Date
3. If the Customer did have previous Audit Policy
  - From Date = Today - 120 days  or Switchover Date (whichever is later)
  - To Date    = Today's Date |
