# Overview

The **Stock Receipting Maintenance** screen allows you to receipt goods against purchase orders, recording the physical receipt of inventory items and updating stock levels accordingly. This screen enables you to process partial or complete receipts, manage delivery details, and handle invoice matching for purchased goods.

# Accessing the Stock Receipting Maintenance Screen

To access the <span style="color: #333333">**Stock Receipting**</span><span style="color: #333333"> maintenance</span>, perform the following:

1. <span style="color: #333333">Click on</span><span style="color: #333333">** Frameworks **</span><span style="color: #333333">and navigate to </span>**Purchasing & Receipting > Transaction Processing >**<span style="color: #333333"> </span>**Stock Receipting**<span style="color: #333333"> from the navigation tree.</span>
2. <span style="color: #333333">Click </span><span style="color: #333333">**Find**</span><span style="color: #333333"> to view all the unprocessed purchase orders and stock returns.</span>

> ℹ️ The Branch field defaults to the current session branch.

3. <span style="color: #333333">Click on the relevant </span><span style="color: #333333">**Order **</span><span style="color: #333333">hyperlink to receipt or process the order</span>

Alternatively you can access the stock receipting maintenance screen via a **Purchase Order**, using the **Actions **menu and selecting **Receipting**

# Navigating Stock Receipting Maintenance

The **Stock Receipting Maintenance** screen is made up of 4 main sections:

> Macro (toc)

## 1. The Supplier Information Panel

The Supplier Information Panel (the header) section displays basic information related to the order; this includes the:

- The **Suppliers Number **and **Name**
- The **Currency Code** for the order
- Any shipping **Instructions** and **Comments**

> ℹ️ The **Order** **Number** is displayed in the Tab for the screen.

## 2. The Receipt Processing Panel 

The goods receipting options** **section allows you enter the **Docket Number** and** Receipt Date** for goods received and to receipt all the stock, once it has been checked.

**Docket Number**

Enter the docket number to assign to this receipt. This field is mandatory.

**Receipt Date**

Enter the receipting date. This field will default to today's date. Click **Show Date Chooser** to select the correct date. This field is mandatory.

**Receipt Location	**

Enter the **Product Location **where all the stock, on the transaction, will be receipted into. Click **Search **to open the **Location Finder** window. This field will be empty by default.

> ⚠️ Requires the [LOC Feature Code](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28410128) and **Stock by Location,** in [Branch Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28390994), to be enabled.

> ✅ Refer to [Sales Location Transfer](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28408102) if you want to transfer a quantity of a product to a different receipting location.

**Accept Backorders**

Enable or disable depending if you wish to have any un-receipted items go to a backorder for later receipting.

---

**Raise Return**

Enable to raise a **Credit Claim** against a Purchase Order. When the receipt is posted, there will be a popup with the credit claim details that contains the lines on the receipt. You can't claim more than what was receipted in total for each line. This will automatically create a new stock return purchase order that will be pre-populated with the selected lines and quantities.

**Receipt Goods**

Click the **Receipt Goods **button to confirm you have received the stock and to post movements to the correct account, defined by the product group gains/losses account.

**Receive All**

Click the **Receive All **button if all the product lines are to be fully receipted and the remaining **QTY Ordered** not already received will populate in the **Received This Delivery** column.

> ℹ️ Tally and Pack product are **not **able to be received in this way. See below.

**Rapid Entry**

Click the **Rapid Entry** button to open the **PO Receipting Rapid Entry **window. This allows you to quickly scan and enter products into the order being receipted.

> ⚠️ You can receive stock from a branch transfer only if the supplying branch has not yet released the order and created an invoice.
> ⚠️ 
> ⚠️ If the order has not been invoiced, you will see a warning message such as:
> ⚠️ 
> ⚠️ - <span style="color: #ff5630">**Linked branch transfer SO 20036057 has not yet been invoiced by the supplying branch**</span>
> ⚠️ - <span style="color: #ff5630">**Backorder for linked branch transfer SO 20036070 has not yet been invoiced by the supplying branch**</span>

## 3. The Print Options Section

The **Print Options **section allows you to select what is required to be printed at the completion of receipting goods (clicking **Receipt Goods**).

- <span style="color: #333333">Enable </span>**Unknown** **Attachment**<span style="color: #333333">** Receipt Labels **</span><span style="color: #333333">to print receipt labels</span>** **<span style="color: #333333">at completion of stock receipting. Click </span>**Search**<span style="color: #333333">** **</span><span style="color: #333333">to Use the </span><span style="color: #333333">**Print Finder**</span><span style="color: #333333"> to select a different printer other than the default printer.</span>
- Enable<span style="color: #333333"> </span><span style="color: #333333">**Product Labels **</span><span style="color: #333333">to print product labels at completion of stock receipting. Click </span>**Search**<span style="color: #333333"> to Use the </span><span style="color: #333333">**Print Finder**</span><span style="color: #333333"> to select a different printer other than the default printer.</span>
- Enable<span style="color: #333333"> </span><span style="color: #333333">**Print**</span>** Report **to print the stock receipt report (unpriced) at completion of stock receipting. Click **Search ** to Use the **Print Finder** to select a different printer other than the default printer.
- <span style="color: #333333">Enable </span><span style="color: #333333">**Print Pack Labels **</span><span style="color: #333333">to print pack labels at the completion of stock receipting. Click </span>**Search **<span style="color: #333333"> to Use the </span><span style="color: #333333">**Print Finder**</span><span style="color: #333333"> to select a different printer other than the default printer.</span>
- <span style="color: #333333">Enable </span><span style="color: #333333">**Put Away**</span><span style="color: #333333"> to print a put away docket at the completion of stock receipting. Click </span>**Search **<span style="color: #333333">to Use the </span><span style="color: #333333">**Print Finder**</span><span style="color: #333333"> to select a different printer other than the default printer.</span>

> ℹ️ - If the **FWNumLabel **system setting flag has been enabled, customer labels can be printed for products with linked Sales Orders, when the Purchase Order is receipted in Frameworks.
> ℹ️ - The **Receipt Labels** print option is only available [for receipting lines with linked sales orders](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30523144).
> ℹ️ - The **Print Pack Labels** option is only available if the stock receipt has a timber pack available.
> ℹ️ - If the **FWPutAwayDktDef **system setting flag is enabled, **Put Away** will be enabled by default. A put away docket can be used to keep track of products that have been put away and their locations.

## 4. The Invoice Details Panel 

If provided at the time of stock receipting you are able to enter the Invoice Details of **Invoice Number, Invoice Date, Invoice Amount, GST/Tax amount** a**nd** the** Total** amount.

> ℹ️ The **GST Amount **will not be calculated for suppliers flagged as **Is GST exempt.**

## 5. The Receipt Tabs Section 

### Goods Received Tab

The **Stock Details **section displays a list of the stock details from the selected supplier's purchase order or stock return. Here you can enter the received quantities. 

- Click the **Add** button to add products to the stock receipt that were **not **on the original order. Be cautious of this as the product may have been supplied for another purchase order.

To Receipt **Tally **products or timber **Pack** you will need to click the **Tally** or **Packs **button to open their maintenance window.

**Line**

Displays the line number for the product from the order. This is automatically generated for newly added products.

**Product ID**

Displays the product Id from the order. When adding a products you can enter or search for the Product ID of the goods.

> ℹ️ You can also enter the barcode or alternate code and it will return the product ID

---

**Description**

Displays the product description for the entered goods.

> ℹ️ For tally products the quantity/length will be displayed below the description.

---

**Location**

Displays the Location the product will be receipted into.

- If the **Receipt Location **has been defined in the header the product lines will be defined this location as they are marked as received.
- If the **Receipt Location **has **not **been defined in the header the product will be receipted into the products primary location. Click **Search **to open the **Location Finder** window to change the receipt location as required.

**Catalog No**

 If applicable, the supplier catalogue number will display, once the product ID for the goods is entered.

---

**UOM**

If applicable, the supplier catalogue number will display, once the product ID for the goods is entered.

---

**QTY Ordered**

Displays the unit of measure of the ordered product, or you can enter the required unit of measure.

---

**Received To Date**

Displays the quantity of goods received to date. This will be updated as the received goods are entered.

---

**Received This Deliv.**

Enter the quantity of goods received on the delivery.

---

**Unit Cost**

Displays the cost per unit of the goods.

> ℹ️ The [System Setting - Flag](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28401318) **PurUOMCst **overrides the view levels settings for viewing the **Unit Cost.**

**Receipt Value**

Displays the total values of received goods to date.

---

**Qty Invoiced**

Displays the quantity invoiced from the related imported invoice.

**Cost Invoiced**

Displays the the cost per unit of the goods invoiced from the related imported invoice.

**Linked S/O**

Displays the sales order number (highlighted in **green** in the example above) linked to this purchase order. Click on the hyperlink to view the sales order.

**# Prod. Labels**

Displays the number of product labels to be printed once the goods have been receipted.

### Added Costs Tab

The **Added Costs** tab displays a grid showing all additional costs that have been or can be applied to the current purchase order receipt.

- Click **Add Cost** to add a new additional cost line to the current purchase order receipt. This opens the cost selection window where you can choose from available cost types.

**Description**

Displays the description of the additional cost type. This field shows the name or description of the cost category being applied to the receipt.

**Prod Grp**

Displays the product group associated with the additional cost. This field links the cost to a specific product group for reporting and analysis purposes.

**Prod Sub Grp**

Displays the product sub-group associated with the additional cost. This provides more detailed categorisation of where the cost should be allocated.

---

**Total Order $**

Displays the total value basis for calculating the additional cost. This shows the amount that percentage-based costs are calculated against.

---

**Method**

Displays the calculation method used for the additional cost. Methods can include:

- **total**: Fixed amount based on order total
- **percent**: Percentage of order value

---

**Factor**

Displays the factor or rate used to calculate the additional cost. For percentage methods, this shows the percentage rate. For fixed amounts, this shows the multiplier applied.

---

**Use Creditors**

Enable this checkbox to post the additional cost to the creditors ledger. When enabled, the cost will create a creditor entry for the supplier.

- When enabled, the cost appears in accounts payable
- When disabled, the cost is treated as a direct expense

---

**Per Delivery**

Enable this checkbox to apply the cost per delivery rather than per receipt line. When enabled, the cost is calculated once for the entire delivery regardless of how many product lines are received.

- When enabled, cost applies once per delivery
- When disabled, cost may apply to individual receipt lines

---

**Subcontractor**

Enable this checkbox to indicate that this cost relates to subcontractor services. This affects how the cost is processed and reported in the system.

---

**Max Charge Val**

Enter the maximum charge value that can be applied for this cost type. This field sets an upper limit on how much can be charged for this additional cost.

- Leave blank for no maximum limit
- Enter a value to cap the maximum charge
- System will not exceed this amount regardless of calculation method

---

**Total PO Added Cost**

Displays the calculated total of the additional cost based on the method and factor specified. This is the actual amount that will be added to the purchase order receipt.

**Added Cost To Date**

Displays the cumulative amount of this cost type that has been applied to date across all receipts for this purchase order.

---

**Added Cost This Delivery**

Displays the amount of this additional cost being applied specifically to the current delivery/receipt being processed.
