The **Bank Statement Reconciliation** screen allows you to reconcile general ledger transactions for an accounting period against a physical or electronic bank statement. This screen provides the core functionality for matching bank statement transactions with general ledger entries, creating adjustment journals when necessary, and finalising the reconciliation process.

## Screen Access

1. From the **Frameworks Menu, **navigate to **General Ledger**<span style="color: #333333"> > </span>**Transaction Processing**<span style="color: #333333"> > </span>**Bank Reconciliation**
2. <span style="color: #333333">Search for the bank statement you are looking to reconcile. </span>
3. Click on the **Statement Reference **hyperlink to open the **Bank Statement Reconciliation **screen.

## Screen Structure

The **Bank Statement Reconciliation** screen is organised into three main sections:

1. **Header Details** - Key information about the bank statement and reconciliation status
2. **Reconciliation Tabs** - Unreconciled and Reconciled transaction grids
3. **Command Buttons** - Actions for saving and managing the reconciliation

## Header Details

The **header details** section displays key information about the bank statement being reconciled and provides controls for managing the reconciliation process. This section shows the bank account details, statement balances, reconciliation status, and assignment information.

### Bank Account #

The **Bank Account #** field displays the bank account number for the account being reconciled. This is the unique identifier for the bank account as configured in Bank Account Maintenance.

### Name

The **Name** field displays the descriptive name assigned to the bank account in Bank Account Maintenance. This name provides additional context beyond the account number to help identify the specific account.

### Statement Date

The **Statement Date** field displays the ending date of the bank statement period being reconciled. This date represents the balance date for the statement balance amount.

- The date is displayed in DD/MM/YYYY format
- The date is entered when creating the reconciliation

### Reference

The **Reference** field displays the statement reference identifier for this bank reconciliation. This reference uniquely identifies the bank statement within Frameworks.

### Status

The **Status** field displays the current reconciliation status of the bank statement. This field indicates whether the reconciliation has been completed or still requires work.

Available status values include:

- **Unbalanced** The reconciliation is incomplete or the GL balance does not match the statement balance (difference is not zero)
- **Reconciled**: The reconciliation has been completed and approved by clicking the **Reconcile** button

### Statement Balance

The **Statement Balance** field displays the closing balance of the bank statement as reported by the bank. This is the ending balance shown on the physical or electronic bank statement for the statement date.

### GL Balance

The **GL Balance** field displays the general ledger balance for the bank account at the statement date. This balance represents the total of all general ledger transactions posted to this bank account up to and including the statement date.

- The balance is calculated automatically from general ledger transactions
- The balance is displayed as a monetary amount with two decimal places
- This balance represents what **Frameworks** has recorded for this bank account
- The GL balance includes all posted transactions regardless of whether they appear on the bank statement

> ⚠️ **Important**: The **GL Balance** represents the total general ledger balance for the accounting period, not just the GL movements for the month.

### Difference

The **Difference** field displays the calculated difference between the **Statement Balance** and the **GL Balance**. This value indicates how much the general ledger balance needs to be adjusted to match the bank statement.

- The difference is calculated automatically as: Statement Balance - GL Balance
- The difference must be $0.00 before the reconciliation can be marked as **Reconciled**
- As transactions are matched, the difference automatically updates

> ℹ️ **About The Balance Information**
> ℹ️ 
> ℹ️ Before completing the bank reconciliation process there are some things to keep in mind. The **Difference **between the **Statement Balance **and the **GL Balance **is typically **Zero **dollars unless the following occurs.
> ℹ️ 
> ℹ️ **Negative Difference Amount: **If the **Difference **is a **negative** amount, then you would expect to see a positive** **Unreconciled GL Transaction amount remaining. One reason for this might be, that a till payment is made on the last day of the month but the bank doesn't clear the amount until the following day (the next month).
> ℹ️ 
> ℹ️ **Positive Difference Amount: **If the **Difference **is a **positive** amount, then you would expect to see a negative** **Unreconciled GL Transaction amount remaining. One reason for this might be, that you've made a payment to a supplier but the bank doesn't clear the amount until the following month.

### Assignee

The **Assignee** field allows you to assign a user to complete this bank reconciliation. This field displays the user ID of the person responsible for completing the reconciliation process.

- Enter a user ID directly or click the **Search** icon to open the **User Finder** window
- The assignee field can be updated at any time during the reconciliation process

### Include Future GL

The **Include Future GL** checkbox controls whether future-dated general ledger transactions within the current accounting period are included in the unreconciled transactions grid.

- When disabled (default), only transactions dated on or before the statement date are displayed
- When enabled, transactions dated after the statement date but within the same accounting period are included

### Comment

The **Comment** field allows you to enter comments or notes about this bank reconciliation. Comments provide context, explain unusual transactions, or document follow-up actions required.

- Comments are displayed in the Bank Reconciliation Dashboard for all users to see
- Multiple users can update comments during the reconciliation process
- Comments are saved when you click **Save Header** or when the reconciliation is completed

### Reconcile

The **Reconcile** button marks the bank statement as reconciled and completes the reconciliation process. The **Reconcile** button is only enabled when all GL transaction have been reconciled and GL balance is exactly $0.00

- Clicking this button changes the status from **Unbalanced** to **Reconciled**

> ⚠️ **Important**: Marking a statement as **Reconciled** cannot be reversed. Ensure all transactions are correctly matched before clicking this button. Reconciled statements remain viewable but can no longer be modified

### Print Reconciliation

The **Print Reconciliation** button generates and prints a reconciliation report document showing all ledger items included in this reconciliation.

## Reconciliation Tabs

The reconciliation maintenance tabs provide two views of the bank reconciliation process: 

1. The **Unreconciled** tab shows transactions that still need to be matched.
2. The **Reconciled** tab shows transactions that have been successfully matched.

## Unreconciled Tab - General Ledger Transactions Details

The **General Ledger Transactions **details section displays the GL entries for the accounting period. Here you can select the GL Transaction/s to match with your bank statements transaction lines. 

### Sel

The **Sel** checkbox allows you to select general ledger transactions for matching. Multiple transactions can be selected simultaneously to match against a single bank statement entry or multiple statement entries that total the same amount.

- The **Selected** total displayed below the GL Transactions grid updates as transactions are selected
- Selected transactions can be marked as matched by clicking the **Match** button

### Date

The **Date** column displays the transaction date of the general ledger entry. This is the date the transaction was posted to the general ledger system.

- The date is displayed in DD/MM/YYYY format
- This date may differ from when the transaction cleared through the bank
- The date helps identify which transactions should appear on the bank statement

### Type 

The **Type** column displays the transaction type code indicating the source or nature of the general ledger transaction. This code identifies which module or process created the transaction.

- Common transaction type codes include: [Followup]
  - **Chq**: Cheque payment transaction
  - **A/R**: Accounts Receivable transaction (customer payment or invoice)
  - **A/P**: Accounts Payable transaction (supplier payment or invoice)
  - **G/J**: Journal Entry transaction
- The transaction type helps identify the source of the GL entry
- Different transaction types may have different reference number formats

### Reference

The **Reference** column displays the transaction reference number for the general ledger entry. This reference uniquely identifies the transaction within its transaction type.

- Click the **hyperlink **to drill down into the originating transaction details
- The reference number helps trace the transaction back to its source document

### Narration

The **Narration** column displays the narrative description of the general ledger transaction. This text provides context about the nature and purpose of the transaction.

- The narration typically includes information such as:
  - Payment method (e.g., "Direct Credit", "Direct Deposit", "Cheque")
  - Batch numbers (e.g., "Batch 431", "Batch 438")
  - Transaction descriptions (e.g., "Customer Payment", "Supplier Payment")
  - Reference information from the source transaction
- The narration helps identify and match transactions with bank statement entries
- Narration text is inherited from the original transaction that created the GL entry

### Amount

The **Amount** column displays the monetary amount of the general ledger transaction. This shows the debit or credit value that was posted to the general ledger account.

- Amounts are displayed with two decimal places and appropriate currency formatting
- Positive amounts typically represent deposits (Money coming into the bank)
- Negative amounts (shown with a minus sign) typically payments (Money going out of the bank)
- The amount should match the corresponding entry on the bank statement when reconciling

### Selected Total and Balance

Two key totals are displayed below the Unreconciled GL Transactions grid:

- **Selected: $0.00**: The **Selected** field displays the sum of all currently selected (checked) transactions in the Unreconciled General Ledger Transactions grid.
  - Use this total to verify that selected transactions match the bank statement amount you are reconciling
  - The selected total helps ensure accurate matching before clicking the **Match** button
- Balance:** $0.00**: The **Balance** field displays the total of all unreconciled general ledger transactions remaining in the grid.
  - As transactions are matched and moved to the Reconciled tab, this balance decreases

## Unreconciled Tab - Maintenance Buttons

The maintenance buttons provide actions for matching transactions and creating adjustment entries when necessary.

### Match

The **Match** button marks the selected general ledger transactions as reconciled against the bank statement. The selected transactions are moved from the **Unreconciled** tab to the **Reconciled** tab.

- This button is only enabled when one or more transactions are selected (checkboxes enabled)
- Multiple transactions can be matched simultaneously if they collectively match a bank statement entry
- Matched transactions immediately move to the **Reconciled** tab
- Matching does not post any new transactions; it only marks existing GL transactions as reconciled

### New Journal

The **New Journal** button opens the **Journal Entry** window, allowing you to create a new general ledger journal entry to balance the reconciliation.

- Use this function when a bank statement entry has no corresponding GL transaction in the system
- This is useful for bank charges, interest, or other transactions not yet recorded in **Frameworks**
- Enable the **Accrual** option in the journal entry window to automatically reverse the journal in the following period
- The accrual option is particularly useful when a statement entry was created at month-end but the GL transaction was not entered until early the following month

> ⚠️ **Important**: Clicking **Save** in the Journal Entry window does not post the journal. You must click **Post** to commit the journal to the general ledger.

### New Payment

The **New Payment** button opens the **Customer Payments** screen, allowing you to manually enter and process customer payments that need to be reconciled.

- Use this when a customer payment appears on the bank statement but has not been entered in **Frameworks**
- The payment can be processed using all normal customer payment features including allocation to invoices
- Once posted, the payment transaction will appear in the unreconciled transactions grid and can be matched

### Refresh

The **Refresh** button refreshes and reloads the unreconciled transactions grid with any changes that may have occurred in the background.

- Use this function if other users may be posting transactions to the bank account during the reconciliation process
- The refresh retrieves updated data from the general ledger
- Any new unreconciled transactions will appear in the grid after refreshing
- The **Selected** total and **Balance** totals are recalculated

## Reconciled Tab

The **Reconciled** tab displays all general ledger transactions that have been successfully matched during the reconciliation process. This tab provides a review of completed matches and allows you to unmatch transactions if errors are identified.

### Sel

The **Sel** checkbox allows you to select a reconciled transaction for unmatching. Selected transactions can be moved back to the **Unreconciled** tab if they were matched incorrectly.

### Date

The **Date** column displays the transaction date of the reconciled general ledger entry. This field shows the same information as in the **Unreconciled** tab.

### Type

The **Type** column displays the transaction type code for the reconciled entry. This field shows the same transaction type information as in the **Unreconciled** tab.

### GL Reference

The **GL Reference** column displays the general ledger reference number for the reconciled transaction. This field functions as a hyperlink allowing drill-down access to the source transaction.

### Narration

The **Narration** column displays the narrative description of the reconciled general ledger transaction. This field shows the same narration information as in the **Unreconciled** tab.

### Amount

The **Amount** column displays the monetary amount of the reconciled general ledger transaction. This field shows the same amount information as in the **Unreconciled** tab.

### Un-Match

The **Un-Match** button removes the selected reconciled transactions from the **Reconciled** tab and moves them back to the **Unreconciled** tab.

## Command Buttons

<span style="color: #333333">The command buttons allow you to save any changes to the header details by clicking </span><span style="color: #333333">**Save Header**</span><span style="color: #333333"> and </span>**Delete **any unbalanced bank statement reconciliations<span style="color: #333333">.</span>

> ⚠️ When deleting a bank reconciliation with matched records you will receive an error. All matched records will need to be un-matched prior to deleting the reconciliation.
