# Overview

The purpose of **Call sheets** is to maintain a register of customer communication and record key information and actions from those meetings. Call sheets can be entered either directly from the **Diary Notes/Attributes/Personal Data/Call Sheets **section within the **Customer Dashboard**.

The initial display grid (see below) shows summary information of any existing call sheets for the selected customer.

> ℹ️ - Click the **Attachments **icon to open the **Attachments **window.
> ℹ️ - Click the **Paperclip** icon if there are files or documents already attached to the call sheet.

# <span style="color: #003366">Viewing Call Sheets</span>

To view an existing call sheet, perform the following:

1. Click the applicable hyperlink under the** Key Note** column. The detailed call sheet information for that customer will appear in a pop-up display.
2. You are only able to view the call sheet information, not edit them however you can add or review any attachments by clicking the **Attachment or Paperclip** button, as well as move the call sheet to another customer via the **Move Call Sheet** button. (see further details below on how to manage attachments and move call sheets).

> ℹ️ - If there is an attachment added to the call sheet you are viewing, you will see the **Attachment **icon.
> ℹ️ - If there are no attachments, you will not see the **Paperclip **icon

# <span style="color: #003366">Adding a Call Sheet</span>

To add a new Call Sheet, perform the following:

1. Click **Add Call Sheet** to open the **Call Sheet Maintenance** window.
2. Update the Call Sheet with the following information:
  1. **Person Contacted: **Enter the name of the call recipient. This is a mandatory field.
  2. **Call Type**: Using the **dropdown**, select the call type. This is a mandatory field.
  3. **Call Date**: Using the **Show Date Chooser**, select the date of the call/visit. This is a mandatory field and can not be a future date.
  4. **Call Time**: Enter the time of the call. This field is in 24hr time format and is not a mandatory field.
  5. **Sales Rep**: Using the **dropdown**, select the Sales Rep. This is a mandatory field.
  6. **Key Note**: Enter a brief description of the call. This is a mandatory field.
  7. **Details**: Enter the call details. This is a mandatory field.
  8. **Next Call** Date: Using the **Show Date Chooser**, select the follow up call date. This is a mandatory field.
3. To add an attachment or review any existing attachment/s, click the **Attachment or Paperclip** button

4. Click **Save** to complete the call sheet. Once the call sheet has been saved, no further edits can be made except for adding/removing attachments and moving the call sheet to another customer.
5. Your call sheets will be displayed within the call sheet tab giving you a preview of the information.

# <span style="color: #003366">Moving a Call Sheet to another Customer</span>

To move an existing call sheet to another customer, perform the following:

1. Click the applicable hyperlink under the** Key Note** column to bring up the **Call Sheet Maintenance** popup screen.
2. Click the **Move Call Sheet **button. You will be prompted to enter the customer number you wish to transfer the call sheet to (or use the tool to search).
3. Press **Save/Close**. Call sheet will now appear under the new customers' Call Sheets.
