# Overview

The Internal Gift Card Check Balance screen allows operators to quickly check the current balance and transaction history of any internal gift card in the system. This function provides immediate assistance to customers at the trade counter or POS, displaying the available balance, card status, and a complete audit trail of all transactions associated with the card.

# Accessing Internal Gift Card Check Balance

To access the **Internal Gift Card Check Balance** screen, perform the following:

1. Click **Frameworks** and navigate to **Sales > Utilities & Scheduled Tasks > Internal Gift Card Check Balance** from the navigation tree.

The Internal Gift Card Check Balance window will open in the centre of the screen.

# Using Internal Gift Card Check Balance

The Internal Gift Card Check Balance screen displays real-time card information and transaction history:

1. Enter or scan the **Gift Card #** to retrieve balance and transaction information.

> ℹ️ The gift card number must match the format configured in the GIFTCARDLENGTH system setting.

2. Click **Check Balance** to retrieve the card information and transaction history.
3. After clicking **Check Balance**, the following information displays for the selected gift card:
  - **Available Balance: **Displays the current available balance on the gift card. This amount represents the remaining value that can be used for purchases.
  - **Issue Date: **Displays the date the gift card was first registered in the Gift Card Registry. This date indicates when the card was entered into the Frameworks system, which may be before it was sold to a customer.
  - **Card Status: **Displays the current status of the gift card. The system automatically manages four possible statuses based on card activity:
    - **Registered**: Card entered in registry but not yet sold
    - **Active**: Card sold and available for redemption
    - **Redeemed**: Card used for payment or has received refund credit
    - **Used**: Card balance depleted to $0.00

4. The Transaction History table displays a complete audit trail of all transactions associated with the gift card. Each row represents a single transaction in chronological order. The following columns are displayed:
  - **Trans Number: **Displays the Frameworks transaction number associated with each gift card transaction. This number links to the original sales order, payment, or credit note in the system.
  - **Date: **Displays the date each transaction was processed.
  - **Amount: **Displays the transaction amount for each entry. The amount shown indicates how the transaction affected the card balance:
    - **Negative amounts** (displayed with minus sign): Redemptions or payments where the card was used to purchase goods or services
    - **Positive amounts**: Refunds or credits where value was added back to the card  
The running balance after each transaction can be calculated by starting with the issue value and applying each transaction amount in sequence.
  - **Sales Person Id: **Displays the Frameworks operator ID of the person who processed the transaction. This field provides accountability and traceability for all card activity.
  - **Branch:** Displays the branch number where the transaction was processed. This column helps you identify and filter transactions by branch, particularly useful for multi-branch operations where gift cards are used across different locations.
  - **B/O:** Displays the transaction suffix (branch/order suffix identifier) for each transaction. This column works together with the branch number to provide complete transaction traceability and filtering capability.
