You can register new gift cards, add legacy cards with existing balances, and view all card information, including transaction history. The registry ensures each card is uniquely identified and validates card numbers before they can be sold at Point of Sale or through Sales Order Processing. # Accessing Gift Card Register To access the **Gift Card Register** screen, perform the following: 1. Click the **Frameworks** **Menu** and navigate to **System Administration > System Setup > Tendering > Gift Card Register** from the navigation tree. 2. Alternatively, click the **Frameworks Menu** and enter **Gift Card Register** into the **Search Box**. # Navigating Gift Card Register ![image-20251028-022043.png](media://abc1e412-8b07-4924-8029-fa9774e989e1) The **Gift Card Register** screen is made up of three main sections: > Macro (toc) ## 1. The Search Options and Results Grid The left pane provides search functionality and displays registered gift cards that match your search criteria. ### a. You can scan a card's barcode or manually enter the number to quickly locate existing cards in the registry. - **Find: **Click **Find** to execute your search and update the results grid with cards matching your search criteria. ### b. The following columns are available: - **Gift Card Number: **Displays the unique identifier for each registered gift card. Click the hyperlink to view or edit the card details in the right pane. - **Gift Card Code: **Displays the product code associated with the gift card type. This links the card to a specific gift card product in the inventory system, which determines fixed values for preset denomination cards. - **Balance: **Displays the current available balance on the gift card. This amount updates automatically as transactions are processed. - New (Registered) cards show $0.00 until sold - Balance increases when cards are sold or receive refunds - Balance decreases when cards are redeemed for payment - Cards with $0.00 balance have a status of Used - **Status: **Displays the current lifecycle status of the gift card: - **Registered**: Card entered in registry but not yet sold - **Active**: Card sold and available for redemption - **Redeemed**: Card used for payment or has received refund credit - **Used**: Card balance depleted to $0.00 > ℹ️ Status transitions occur automatically based on transaction activity. Cards cannot be edited once transactions begin. --- ## 2. For new cards, provide the unique card number. > ℹ️ **Notes: ** > ℹ️ > ℹ️ - Duplicate card numbers are prevented; each card number must be unique system-wide. > ℹ️ - The system checks that card numbers match the length set in GIFTCARDLENGTH. > ℹ️ - Card numbers cannot be changed after the first transaction. > ✅ Refer to [Internal Gift Cards - Setup and Configuration](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/179011634) about configuring the **GIFTCARDLENGTH** setting. --- **Gift Card Code: **Select the gift card product code that defines the card type. Available products must be configured in Product Maintenance with the gift card product group. This field becomes read-only after the first transaction. > ✅ Refer to [Internal Gift Cards - Setup and Configuration](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/179011634) for more information about configuring gift card products. --- **Pre-Existing: **Enable this checkbox when registering legacy gift cards that were sold before implementing the internal gift card system. Use this checkbox when registering cards that already exist in your business before implementing this system. > ℹ️ Once the status of a gift card is no longer Registered, the Pre-Existing checkbox will be enabled. --- **New: **Enable this checkbox when registering new gift cards that haven't been sold yet. When enabled: - Card status automatically sets to Registered - Balance defaults to $0.00 - Card will be available for sale at Point of Sale - Status will change to Active when the card is sold This is the default option for standard card registration. --- **Balance: **Displays the current available balance on the gift card. For new cards being registered: - Defaults to $0.00 for new cards - Can be edited when registering pre-existing cards to reflect their current balance - Updates automatically as transactions occur (sales, redemptions, refunds) - Becomes read-only after the first transaction is recorded - Cannot be negative The balance reflects the total amount available for redemption at Point of Sale or through Sales Order Processing.
--- ## 3. The Command Buttons The command buttons allow you to manage gift card records. - **New: **Click **New** to create a new gift card entry in the registry. This clears the **General** tab fields and allows you to enter details for a new card. - **Save: **Click **Save** to commit the gift card details to the registry. - **Delete: **Click **Delete** to remove a gift card from the registry. This function is only available for cards that have no transaction history.
