Quicklists enable rapid product selection in transactions by grouping products under a simple keyword. Users type a quicklist name or `/` in the product field to access predefined product collections across sales and purchasing workflows. Quicklists can be structured with groups, subgroups and sequences to create Material Lists, which are guided product selection tools that help staff ensure customers get everything they need for a project.

This guide walks you through the complete setup process for quicklists. Once configured, your staff can access quicklists during transaction entry in Point of Sale, Sales Order Processing, Kit Order Line Maintenance, Purchase Requisitions and Purchase Orders.

**Who performs this:** System Administrator

**Prerequisites:**

- System Administrator access to Quicklist Maintenance.
- Products to be associated with the quicklist must already exist in Frameworks.

> ⚠️ This functionality is not feature-driven. No system flags need to be enabled before use.

## Implementation Sequence

Complete the following steps in order:

## Create a New Quicklist

Define the quicklist keyword, description, display sequence and active status. The quicklist keyword is what users type during transaction entry to trigger the **Multi Select Product Quicklist Finder** window.

### Configuration Steps

1. Click the **Frameworks Menu** and navigate to **Inventory > Maintenance > Quicklist Maintenance**.
2. Click **New** to create a new quicklist.
3. In the **Quicklist Name** field, enter a unique keyword for the quicklist.
4. In the **Description** field, enter a clear description explaining the purpose or contents of the quicklist.
5. In the **Quicklist Sequence** field, optionally enter a number to control where this quicklist appears in the **Quicklist Finder** window when users enter `/` in the product field.
6. Enable the **Active** checkbox to make the quicklist available during transaction entry.
7. Click **Save** to create the quicklist.

### Result

The quicklist is created and appears in the **Quicklist Results Grid**. It is now available for product association and can be triggered by typing the quicklist keyword in the product field during transaction entry.

> ⚠️ - The **Quicklist Name** is automatically converted to uppercase on save and cannot begin with `/`.
> ⚠️ 
> ⚠️ - The **Quicklist Name** must be unique across the Frameworks system.
> ⚠️ - Quicklists without a **Quicklist Sequence** number appear after sequenced quicklists in the **Quicklist Finder** window.
> ⚠️ - Use increments of 5 or 10 for sequence numbers to leave room for inserting new quicklists without renumbering.

## Add Products to the Quicklist

Associate products with the quicklist. Products added here appear in the **Multi Select Product Quicklist Finder** window during transaction entry, where staff can select them and enter quantities.

### Configuration Steps

1. With the quicklist open in **Quicklist Maintenance**, click **Add** to create a new product line.
2. In the **Product** field on the new line, enter the product code directly or click the search icon to open the **Product Finder** window and search for the product.
3. Repeat steps 1 and 2 for each product you want to associate with the quicklist.
4. Click **Save** to associate all products once you have finished adding them.

### Result

The products appear in the **Product Grid** and are available for selection in the **Multi Select Product Quicklist Finder** window during transaction entry.

> ⚠️ Products must already exist in Frameworks before they can be added to a quicklist.  
> ⚠️ To remove a product from the quicklist, click the **Remove** icon (⊗) on the product row.

## Organise Products with Groupings, Subgroupings and Sequences

Assign group names, subgroup names and sequence numbers to organise products into a collapsible tree structure in the **Multi Select Product Quicklist Finder** window. This is particularly useful for Material Lists where products need to be clearly categorised by project component.

### Configuration Steps

1. With the quicklist open in **Quicklist Maintenance**, locate the product you want to organise in the **Product Grid**.
2. In the **Grouping** field, enter a group name to assign the product to a group. Products with the same group name appear together under a collapsible heading in the **Multi Select Product Quicklist Finder** window.
3. Optionally, in the **Subgroup 1** field, enter a subgroup name to create a nested level within the group.
4. Optionally, continue populating **Subgroup 2** through **Subgroup 7** to create additional levels of nesting. Each subgroup level must be populated before the next level can be entered.
5. In the **Seq** field, optionally enter a number to control the display order of the product within its group or subgroup.
6. Repeat steps 1 to 5 for each product in the **Product Grid**.
7. Click **Save** to apply the groupings and sequences.

### Result

Products are organised into a collapsible group and subgroup tree in the **Multi Select Product Quicklist Finder** window. All groups start collapsed by default and must be manually expanded using the **+** icon during transaction entry.

> ⚠️ - Group names and subgroup names are automatically converted to uppercase on save.
> ⚠️ - A **Grouping** value must be entered before any **Subgroup** fields can be populated for that product line.
> ⚠️ - Each subgroup level can only be populated if the preceding level is also populated. For example, **Subgroup 2** cannot be entered if **Subgroup 1** is blank.
> ⚠️ - Intermediate subgroup levels with no products assigned directly to them are hidden in the **Multi Select Product Quicklist Finder** window.
> ⚠️ - Use increments of 5 or 10 for sequence numbers to leave room for inserting products without renumbering.

## Bulk Manage Quicklists via Import/Export

For large-scale quicklist management, use the Quicklist Import/Export function to create or update multiple quicklists and their product associations at once using a CSV file.

### Configuration Steps

1. Click the **Frameworks Menu** and navigate to **Inventory > Maintenance > Quicklist Import/Export**.
2. To export existing quicklists, select **Export** from the **Process** drop-down menu, select the fields to include and click **Submit**.
3. Edit the exported CSV file with your required changes, or use the downloaded template to create new quicklist data.
4. To import, select **Import** from the **Process** drop-down menu, select the fields to update, upload your CSV file and enable **Report Only** to validate the data before committing.
5. Once validation passes with no errors, repeat the import with **Report Only** disabled to commit the changes.

### Result

Quicklists and their product associations are created or updated in bulk. The output report confirms which records were processed successfully and lists any validation errors for rows that failed.

> ⚠️ - Always run with **Report Only** enabled first to validate your data before committing changes.
> ⚠️ 
> ⚠️ - The **Quicklist Name** column is required and is used to match records to existing quicklists.
> ⚠️ - Subgroup fields must be populated sequentially in the CSV file. A **Grouping** value must be present before any subgroup fields can be populated for that product line.

## Quicklist Synchronisation with Product Maintenance

Frameworks automatically maintains data integrity between quicklists and product maintenance operations. You don't need to manually update quicklists when performing these operations.

- **Product Delete:** Removes the product from all associated quicklists.
- **Product Merge:** Updates quicklist associations to reference the new merged product code.
- **Product Renumber:** Updates product codes in quicklist associations automatically.
- **Product Purge:** Removes purged products from all quicklist associations.
