The **Attachment Mapping** utility provides a centralised solution for managing document attachments across Frameworks. Instead of attaching documents one at a time to individual records, you can upload multiple documents in bulk, organise them in a holding area, and systematically map each document to its correct destination—whether that's a customer account, supplier record, invoice, purchase order, project, or other business record.

## Accessing the Attachment Mapping Screen

To access the Attachment Mapping screen:

1. Click the **Frameworks Menu** and navigate to **Utilities > Attachment Mapping** from the navigation tree.
2. The **Attachment Mapping** screen will be displayed.

## Navigating the Attachment Mapping

The Attachment Mapping screen consists of two main sections:

> Macro (toc)

### 1. Document List (Left Panel)

The **Document List** section displays all uploaded documents currently in the holding bay awaiting mapping to business records. This section allows you to upload new documents, filter existing documents, and select documents for mapping.

1. Click **Upload New Document** to open the **File Upload** window.
2. In the **File Upload** window, click **Browse** to search for the file on your computer using the Explorer window, or drag and drop the file within the dotted outline. You can select multiple files at once for a batch upload.

> ✅ **Tip**: If you run Frameworks in Microsoft Edge, you can also upload documents from your mobile device using the Edge **Upload from mobile** option. This option is a Microsoft Edge feature and isn't available in other browsers. 3. The **File Name** section displays the name of each file to be uploaded. Click **Upload** to add the files to the holding bay.

> ⚠️ **Warning panel:** You can upload multiple files, with a total size limit of 500 MB (512,000 KB).

4. Use the **User** field to filter documents by the person who uploaded them. Enter a username or leave blank to display documents uploaded by all users.
5. Click **Find** to execute the search and refresh the document list grid based on the selected filter criteria.

The document list grid displays all uploaded documents matching the filter criteria. The grid includes the following columns:

- **File: **Displays the filename of the uploaded document. Click on a file name to select the document and activate the Document section (right panel) for mapping.
- **Date: **Displays the date and time when the document was uploaded to the holding bay.
- **User: **Displays the username of the person who uploaded the document.

Click the **Delete** icon to remove the uploaded file from the holding bay. Use this option if a document was uploaded in error or is no longer needed.

Documents are automatically removed from the holding bay once they have been successfully mapped and saved to a business record.

> ℹ️ Documents can also arrive in the holding bay automatically. When Miscellaneous email scanning is configured, attachments emailed to the environment's dedicated scanning address are captured by the **Document Extract and Scan** task and added to the document list, ready for mapping in the same way as manually uploaded documents. > ⚠️ **Warning:** Miscellaneous email scanning supports PDF files only. CSV, Word, Excel and PowerPoint files are not supported.

### 2. Document Section (Right Panel)

The **Document** section becomes active when you select a document from the document list grid. This section allows you to specify the destination record for the attachment, add a description, and configure security settings.

1. From the **Attach To** dropdown, select the destination for the attachment.
  1. After selecting the attachment destination type, additional contextual search fields will appear to help you locate the specific record to which the document should be attached. For example, If **Customer Transaction**  is selected then you can enter the **Customer** and **Order.Invoice** number.** **
2. In the **Description** field, enter a description of the attachment.
3. Enable the **Secure** checkbox if the document contains sensitive or confidential information that should have restricted access.

> ℹ️ **When a document is marked as secure:**
> ℹ️ 
> ℹ️ - Only users with appropriate security permissions can view or access the attachment.
> ℹ️ - The document will be flagged as secure in the attachment list on the destination record.
> ℹ️ - Standard document security and permissions rules apply based on user roles and access rights.

4. Click **Save** to link the attachment to the selected record. Once mapped, attachments are linked to the relevant record and removed from the holding bay.
