The **Attachment Mapping** utility provides a centralised solution for managing document attachments across Frameworks. Instead of attaching documents one at a time to individual records, you can upload multiple documents in bulk, organise them in a holding area, and systematically map each document to its correct destination—whether that's a customer account, supplier record, invoice, purchase order, project, or other business record.

This is ideal for operators and administrators who need to manage supporting documents in bulk, ensure compliance, and keep all records organized and accessible.

> 
> A construction supply company receives multiple delivery dockets, invoices, and site photos via email each day. Rather than attaching each document individually to the corresponding customer record, purchase order, or project, the operations manager uploads all documents at once into the Attachment Mapping utility. They can then quickly review the uploaded files, mark sensitive financial documents as "secure" to restrict access to authorised personnel only, and systematically map each document to its correct destination. By processing 20-30 documents in a single session rather than switching between different modules for each attachment, the operations manager reduces document management time by 60% while ensuring all supporting documentation is properly linked and accessible to the right people.

# Why Use the Attachment Mapping Utility? 

The **Attachment Mapping Utility** streamlines your document management by letting you:

- **Upload multiple documents at once** into a central holding bay for easy bulk processing.
- **Preview, edit, or delete** uploaded documents before mapping them to records.
- **Map attachments** to a wide range of business records (like Customers, Suppliers, Invoices, Projects, and more) using a user-friendly interface.
- **Flag attachments as "secure"** so only authorized users can access sensitive files.
- **Automate the mapping process**—once mapped, attachments are linked to the relevant record and removed from the holding bay.
- **Use advanced grid features** for filtering, exporting, and reordering attachments.
- **Quickly search** for the correct destination for each attachment.
- **Maintain a secure, auditable document trail** for compliance and operational efficiency.

# Configuration and Security

## Permissions

The Attachment Mapping utility uses your existing Frameworks security settings. Users need document upload permissions for the record types they want to map attachments to (such as customers, suppliers, or projects). If a user lacks the required permissions, the system prevents the mapping and displays an error message.

**Secure Attachments**: When you mark an attachment as "secure," only users with elevated security permissions can view it. This applies regardless of which record the document is attached to.

## Setup Requirements

**No Configuration Needed**: The utility works with your existing document management and security settings. No additional system flags or configuration is required.

**Mobile Upload**: To use mobile upload functionality, users need a mobile device with camera access and network connectivity to scan the QR code and complete the upload.

# Integration with Existing Workflows

**Supplier Invoice Scanning**: When you map attachments to Supplier Invoice Scanning, the documents follow the same validation and approval workflow as manually scanned invoices. This allows you to bulk-upload invoices while maintaining your standard accounts payable process.

**Miscellaneous Email Scanning**: When Miscellaneous email scanning is configured, attachments emailed to the environment's dedicated scanning address are captured automatically by the **Document Extract and Scan** task and placed into the Attachment Mapping holding bay, ready for distribution to records. This removes the need to manually save and upload ad-hoc documents such as site photos and correspondence. > ⚠️ **Warning:** Miscellaneous email scanning supports PDF files only. CSV, Word, Excel and PowerPoint files are not supported.

**Direct Attachment**: Attachment Mapping complements your existing attachment functionality. Use Attachment Mapping when you have multiple documents to process across different record types. Continue using direct attachment when you're already viewing a record and need to attach a single document immediately.

# How to Access the Attachment Mapping Utility

1. Click the **Frameworks Menu** and navigate to **Utilities > Attachment Mapping** from the navigation tree.

# How It Works

1. **Upload Documents:** Add one or more files using the **Upload New Document** button.
2. **Review and Edit:** Preview uploaded documents, update descriptions, and optionally mark files as secure for restricted access.
3. **Map Attachments:** Select the target record type (such as Customer, Supplier, Project, etc.), search for the relevant record, and assign the document.
4. **Save or Cancel:** Confirm to link the attachment to the chosen record or cancel to leave the document in the holding area for later action.
5. **Repeat as Needed:** Continue processing additional documents as required.

> ℹ️ Once mapped, documents are removed from the holding bay automatically. You cannot undo a mapping from within the Attachment Mapping utility—you would need to navigate to the destination record and remove the attachment from there if required.

# Supported Destinations

You can map attachments to any of the following record types:

- **Customers** – Account files, correspondence, agreements
- **Suppliers** – Contracts, certifications, supplier documentation
- **Customer Transactions** – Supporting documents for invoices
- **Purchase Orders** – Supplier confirmations, specifications, quotes
- **Stock Receipts** – Delivery dockets, quality certificates
- **Projects** – Plans, permits, site photos, progress reports
- **Credit Claims** – Supporting evidence for supplier credit requests
- **Expense Invoices** (Open and Historical) – Receipts, invoices, expense documentation
- **Stock Adjustments** – Approval documentation, count sheets
- **Call Sheets** – Follow-up documentation, meeting notes
- **Supplier Invoice Scanning** – Scanned invoices following the same workflow as manual scanning
