Update the description text, category group, or delete an existing GL Table Record. Only the Description field can be modified for all record types. For Account Category records, the Category Group can also be updated.

> 📝 - System Administrator or appropriate General Ledger permissions
> 📝 - Existing GL Table Record that needs updating

## Update a GL Table Record

### Steps

1. Navigate to **General Ledger > Maintenance > GL Table Maintenance**
2. Search for the GL Table Record by entering criteria in the **Type**, **ID**, or **Description** fields
3. Click **Find** to execute the search
4. In the Results Grid, click the **ID** link to load the record details
5. In the **Description** field, update the descriptive text
6. If an Account Category record is selected, from the **Category Group** drop-down menu, select a different category group (optional)
7. Click **Save** to commit the changes

### Result

The GL Table Record description is updated. If an Account Category record was updated, the Category Group is also updated. The new description text will display on financial reports when this record is used.

> ℹ️ **Important limitations:**
> ℹ️ 
> ℹ️ - The **Type** and **ID** fields cannot be changed after a record is created
> ℹ️ - If you need to change the Type or ID, you must delete the existing record and create a new one with the correct values
> ℹ️ - Only **Description** can be updated for all record types
> ℹ️ - Only **Account Category** records can have their **Category Group** updated

## Change the Type or ID of a GL Table Record

The Type and ID fields cannot be edited after a record is saved. To change these fields, you must create a new record, reassign all usage, then delete the old record.

### Steps

1. Create a new GL Table Record with the correct Type and ID (see [Create a GL Table Record](https://sterlandsupport.atlassian.net/wiki/spaces/CO/pages/427229187))
2. Update all GL Accounts that use the old record to reference the new record (see [Chart of Accounts](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28390222))
3. Update all Ledger Reporting Charts that use the old record to reference the new record (see [Ledger Reporting Chart Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28404028))
4. Verify that all assignments have been updated to the new record
5. Delete the old GL Table Record (see [Delete a GL Table Record below](https://sterlandsupport.atlassian.net/wiki/spaces/CO/pages/427261964/Maintain+a+GL+Table+Record#Delete-a-GL-Table-Record))

### Result

The new GL Table Record with the correct Type and ID is now in use across all GL Accounts and Ledger Reporting Charts. The old record has been removed from the system.

> ⚠️ **Important:** You must complete steps 2-3 (reassigning all GL Accounts and Ledger Reporting Charts) before deletion. The system will prevent deletion of the old record if it is still assigned to any GL Accounts or Ledger Reporting Charts.

## Delete a GL Table Record

> 📝 Before deleting a GL Table Record, ensure:

> 📝 - The record is not assigned to any GL Account
> 📝 - The record is not used in any Ledger Reporting Chart
> 📝 
> 📝 If the record is in use, you must first remove it from all GL Accounts and Ledger Reporting Charts before deletion is permitted.

### Steps

1. Navigate to **General Ledger > Maintenance > GL Table Maintenance**
2. Search for the GL Table Record by entering criteria in the **Type**, **ID**, or **Description** fields
3. Click **Find** to execute the search
4. In the Results Grid, click the **ID** link to load the record details
5. Click **Delete** to remove the record
6. Confirm the deletion when prompted

### Result

The GL Table Record is permanently deleted from the system and can no longer be used.

> ❌ **Warning:** Deletion cannot be undone.
