Create a new GL Table Record for use in financial reporting and analysis. These records attach to General Ledger accounts and enable reporting at summary and granular levels. You can create a new record from scratch or copy an existing record and modify it.

> 📝 - System Administrator or appropriate General Ledger permissions
> 📝 - Understanding of which GL Table Record type is needed
> 📝 - Unique ID determined (three-digit number for most types, six-character alphanumeric for Analysis Codes)

## Create a GL Table Record from New

### Steps

1. Navigate to **General Ledger > Maintenance > GL Table Maintenance**
2. Click **New** to create a new record
3. From the **Type** drop-down menu, select the record type required (Account Category, Account Instance, Account Type, Account Sub Type, Analysis Code, Cost Centre, Division, or Account Classification)
4. In the **ID** field, enter a unique identifier using the correct format: three-digit number for most types, or six-character alphanumeric for Analysis Codes
5. In the **Description** field, enter descriptive text that will display on financial reports
6. If creating an Account Category record, from the **Category Group** drop-down menu, select the appropriate grouping (Revenue, COGS, Expense, Asset, Liability, or Equity)
7. Click **Save** to create the record

### Result

The GL Table Record is created and available for attachment to General Ledger accounts. The record appears in search results and can be used immediately for transaction tracking and financial reporting.

> ⚠️ **Important:** Once saved, the Type and ID fields cannot be changed. If you need to modify these values, you must delete the record and create a new one.

## Create a GL Table Record using Copy

### When to Use

Use the Copy method when you need to create a GL Table Record similar to an existing record. This is particularly useful when creating multiple records of the same type with similar descriptions or as apart of the change the Type or ID of a GL Table Record process.

### Steps

1. Navigate to **General Ledger > Maintenance > GL Table Maintenance**
2. Search for an existing GL Table Record similar to the one you want to create
3. Click **Find** to execute the search
4. In the Results Grid, click the **ID** link to load the record details
5. Click **Copy** to duplicate the record
6. In the **ID** field, enter a unique identifier (this must be different from the copied record)
7. Update the **Description** field as required
8. If copying an Account Category record, update the **Category Group** if needed
9. Click **Save** to create the record

### Result

A new GL Table Record is created with the same Type as the copied record but with a unique ID. The record is available for attachment to General Ledger accounts.

> ⚠️ **Important:** You must change the ID field as duplicate IDs are not permitted. The system will prevent you from saving if the ID already exists.
