# Create a New Journal Entry for Bank Reconciliation

Create a journal entry directly from the bank reconciliation screen to balance off a bank statement transaction that has no matching general ledger transaction in Frameworks. This is useful when a bank statement entry exists but the corresponding GL transaction has not yet been recorded in the system.

> 📝 - Appropriate user permissions for journal entry creation

## When to Use This Method

Use this method when:

- A statement entry exists at month end but the GL transaction was not entered until the following month
- Bank fees or charges appear on the statement but have not been recorded in Frameworks
- Bank interest or other automated bank transactions need to be recorded

**Accrual journals:** Enable the **Accrual** checkbox when creating journals for transactions that will be recorded in the next period. Frameworks automatically reverses the journal entry in the following month, preventing duplicate entries when the actual GL transaction is processed.

## Create the Journal

1. In the **Bank Reconciliation** screen, locate the unmatched bank statement transaction.
2. Click **New Journal** to open the **Journal Entry** window.
3. In the **Narration** field, enter a description identifying the purpose of the journal.
4. In the **Date** field, select the journal date that determines which GL period the entry posts to (defaults to current date).
5. Enable the **Accrual** checkbox if Frameworks should automatically reverse the journal entry in the following month.
6. Enable the **Print Journal** checkbox if you want to print the journal when posting.

The **Journal No** field and **Owner** field populate automatically when the journal is saved.

## Add Transaction Lines

1. Click **Add** to create a transaction line.
2. From the **Company** drop-down menu, select the company (if multi-company setup).
3. In the **Acct. No** field, enter the GL account number or click the **search** icon to find the account.
4. In the **Narration** field, enter a description for the transaction line.
5. In the **Debit** field, enter the debit amount, or in the **Credit** field, enter the credit amount.
6. From the **BAS** drop-down menu, select a tax code if applicable.
7. From the **Analysis** drop-down menu, select an analysis code if applicable.

## Add Additional Lines

1. Click **Add** to create additional transaction lines.
2. Repeat the transaction line entry process for each line required.
3. Verify the totals at the bottom of the window show equal **Debit** and **Credit** amounts.

All journals must have a minimum of two lines and the debits must equal the credits before posting.

## Post the Journal

1. Verify the **Debit** and **Credit** totals at the bottom of the window are equal.
2. Click **Post** to post the journal to the General Ledger.

## Result

Frameworks posts the journal to the General Ledger and the journal status changes to **Posted**. The journal entry creates the matching GL transaction for the bank statement record, allowing you to reconcile the statement transaction. Posted journals can be viewed but cannot be edited or deleted.

If the **Accrual** checkbox was enabled, Frameworks automatically creates a reversing journal entry in the following month.

> ⚠️ **Important:** Clicking **Save** only saves the journal as a draft - it does not post the journal to the General Ledger. Only the **Post** button posts the journal.

## If the Journal Does Not Post

Frameworks will not post the journal and it remains in draft status if:

- The debit and credit totals are not equal
- Required fields are missing on any transaction line
- Validation errors exist (such as missing inter-company loan accounts)

Review the error message, correct the issues, and click **Post** again.
