# Overview

The Supplier Contract feature allows you to apply mutually agreed-upon purchase prices or discounts to a supplier's standard cost. These supplier contracts allow for purchase prices specific to a customer or a customer’s project to be used in customer quotes, sales orders and purchase orders. Using the **Special buy-in** option, your business can choose which purchase costs are associated with individual product lines.  Correct margins for that specific product within sales quotes and orders can then be calculated. Once associated, the purchase prices on the customer's quote or sales order can be linked to a purchase order.

In addition to this Supplier Contracts can be applied directly to a purchase order, without the need to link a sales order to it. 

> ℹ️ **Important:** The feature code **SCP **must be active to use this functionality.

By taking advantage of supplier contracts, the system seamlessly applies the lowest available cost from the supplier. This eliminates the need to manually enter promotional or reduced rates, ensuring you always benefit from the best pricing terms.

> ⚠️ **Note**: A supplier contract can be linked to branches across different businesses allowing users who have access to view and maintain the supplier contracts, however, the supplier contract will only be available to be selected in the allocated branches that are related to the business assigned to that contract.

# How it Works

1. Pricing for products is negotiated with the supplier.
2. A supplier contract is created for a **Business, Customers** and** Branches**.
3. The supplier contract is added to:
  1. Quotes and sales orders manually via the **Special Buy-in** option then linked to a purchase order.
  2. A purchase order where the purchasing costs are automatically applied.

Each **Branch** is assigned to a **Business. **As a basic rule, only supplier contracts assigned to your business can be allocated that business's orders. This can be further refined so the supplier contracts are only available for specific customers and branches related to your business.

# Applying a Supplier Contract to Sales Quotes and Orders

As products are added to a customer's Quote or Sales Order, the **Has Supplier Contract** checkbox will become active for that product. This checkbox indicates the availability of a supplier contract for the product. 

> ℹ️ **Note: **Supplier Contract pricing is not automatically applied to product lines and must be manually added.

## Adding the New Costs to the Order

To apply a supplier contract to products on a sales quote or order, perform the following steps.

1. Click **Actions, **in the top right of the order
2. From the Actions menu, select **Special Buy-in.**
3. From the **Special Buy-In **window apply the required details.
  1. From the **Mode** drop-down menu select the appropriate repricing mode for the special buy-in
    1. Pricing by Markup %
    2. Pricing by GP %
    3. Fixed Sell Pricing
  2. For sales Orders, the **Supplier Contract **will automatically populate with a contract that matches the customer and branch. The Supplier Contract's **New Cost** and **Rebated Cost** fields are highlighted green to help you compare the costs with the **Current Costs**.
    1. For sale quotes, you'll need to search and select the appropriate supplier contract, before the **New Cost** and **Rebated Cost** fields are highlighted green.
  3. Depending on the mode selected, enter the values for **Mark Up %, GP% **or **New Sell** amount.
  4. Click **Save **to apply the new costs.

## Linking to a Purchase Order 

With the new costs applied, you will typically need to order the products from the supplier. To create a **Linked Purchase Order, **perform the following steps.

1. Click **Actions, **in the top right of the order.
2. From the Actions menu, select **Linked PO**
3. Within the Sales Order Fulfilment screen, select the product you require to be added to the purchase order.
  Take note of the following:
  1. The **Supplier **will already be defined, this will match the supplier from the contract.
  2. In the **Reference** field, the contract's end date and supplier reference are added. This information is carried over to the purchase order lines for the supplier.
4. Click **Create Order** to create the purchase order and send the supplier the PO as required.

# Creating a Supplier Contract for a Business

In addition to the standard supplier contract settings 

1. Click the **Frameworks Menu** and navigate to **Special Pricing > Maintenance > Supplier Contracts** from the navigation tree.
2. Click **New **to open the** Supplier Contract Header **window**.**
3. In the **Supplier Contract Header **window, enter the details required to create the supplier contract.
  
  1. **Contract Number**: If not automatically generated, enter a contract number to identify the contract.
  2. **Description**: Enter a brief description of the contract to help better identify the contract.
  3. **Supplier**: Enter the supplier's name or ID and select the supplier from the list or click the search icon to open the **Supplier Finder **window
  4. **Pricing Rule**: From the drop-down menu select the required pricing rule of **Fixed Price **or **Discount **for the supplier contract.
  5. **Supplier Reference**: Enter the contract reference number given to you by the supplier. This is applied to any Purchase Orders you create using this contract.
  6. **Start Date **and **Finish** **Date**: Enter the **start **and **finish dates **the contract is effective from and to.
  7. **Business**: Select the business you are creating this supplier contract for. This will default to the Business linked to your logged in branch.  
From the drop-down menu, you can choose a following option.
    1. Any other businesses you have access to.
    2. Select blank (no business) and the branch field will appear. This allows you to create a supplier contract for branches unrelated to a business.
  8. Branch List: Select the branches in which you want the supplier contract to be available. This will default to All branches, however, this list is related to the branches you have access to. You can fine tune which branches the supplier contract will be available for
4. Click **Save** to create the supplier contract.

# Maintaining a Supplier Contract

In addition to the standard features of [Supplier Contracts](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28391886), you can assign and maintain which **Customers** and **Branches** a supplier contract is available for.

## Assigning Customers

Customers are added to a supplier contract in two ways:

1. By manually adding the customers one by one.
2. By importing a CSV file with a list of customers.

By NOT assigning any customers to a supplier contract all related to the specific business can have the supplier applied to them.

### 1. Manually Assigning Customers

To assign customers to a supplier contract, perform the following steps.

1. Navigate to the supplier contract or create a new supplier contract.
2. From the [Supplier Contract Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28391886) screen, click on the **Customers **tab.
3. In the **Add Customer** field, enter the customer's name or ID and select the customer from the list or click the search icon and use the **Customer Finder** window.
4. Click the add icon or click <enter> to add the customer to the supplier contract.

### 2. Importing Customers

To import and assign a list of customers to a supplier contract, perform the following steps.

> 📝 
> 📝 - **Line 1**: Customer (This header line will be removed on import)
> 📝 - **Line 2+**: The Customer ID Number
> 📝 
> 📝 Each customer number needs to be on a new line. If the last customer isn't imported, add an empty line at the bottom of the file.

1. Navigate to the supplier contract or create a new supplier contract.
2. Click **Actions.**
3. From the Actions menu, select** Import Customers.**
4. Using the** File Upload **window, upload the CSV file.
5. Using the **Supplier Contract Customer Import Review **window, review the list of customers you will add to the supplier contract. Here you can update any customer numbers and remove any customers you don't want to be imported by clicking the remove icon.
6. Click **Submit **to finalise the import and add the list of customers.

## Assigning Branches

Just because a branch is assigned to a supplier contract does not mean that the supplier contract is available for use at all the branches. Only users in the assigned branches, linked to a specific business, can apply to a supplier contract.

Branches are added to a supplier contract in three ways:

1. By manually adding the branches one by one.
2. By importing a CSV file with a list of branches.
3. Using the **Branch List** selector when creating the supplier contract

### 1. Manually Assigning Branches

To assign a business's branches to a supplier contract, perform the following steps.

1. Navigate to the supplier contract or create a new supplier contract.
2. From the [Supplier Contract Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28391886) screen, click on the **Branches **tab.
3. In the **Add Branch **dropdown menu, select the Branch. Only branches you have access to will be available.
4. Click the add icon or click <enter> to add the branch to the supplier contract.

### 2. Importing Branches

To import and assign a list of branches to a supplier contract, perform the following steps.

# Setup and Configuration for Supplier Contracts

## System Settings

The below system settings affect the way Supplier Contracts behave.

| System Settings - Flags | Flag Purpose |
| --- | --- |
| **AutoSuppContNo** | Automatically Generate Supplier Contract Number<br>- When enabled, a supplier contract number will be automatically generated. |
| **SuppContBusiness** | Business in Supplier Contract Maintenance is Mandatory<br>- When enabled, a **Business** is required to be selected when creating a supplier contract. |
| **SOPRetBT** | Retain Branch Transfer supplier on special buy-in supplier selections<br>- When enabled, the internal branch transfer supplier is retained on the sales order or quote line when a special buy-in supplier is selected. The cost on the line is still updated from the special buy-in contract, but the supplier remains as the internal branch. |

| System Setting - General | Setting Purpose |
| --- | --- |
| **SuppContPrefix** | Supplier Contract Number Prefix<br>- Enter any alpha-numeric prefix required to be added to the beginning of each new Supplier Contract Number. |

## Brand Maintenance

To set up the different businesses to apply to your Branches, Customers and Suppliers, perform the following:

1. Click the **Frameworks Menu** and navigate to **System Administration > Company & Branch > Brand Maintenance **from the navigation tree.
2. Click **Add** to enter the different **Business **names you will be applying to your branches.
  1. In the **Brand ID **field, enter the **Business** name.
  2. In the **Description** field, enter a description of the business name.
3. Click **Save** to commit the changes.
4.

## Branch Maintenance

Once the **Business** name has been defined within [Brand Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28401812) it must be applied to the required branches. To do this perform the following:

1. Click the **Frameworks Menu** and navigate to **System Administration > Company & Branch > Branch Maintenance **from the navigation tree.
2. Find the **Brand ID** column and for each Branch line select the appropriate **Business **name.
3. Click **Save** to commit the changes.

## User Maintenance

> ⚠️ **Important: **The user must log out and back in to ensure that changes are applied.

Assigning Users to a business. 

1. Click the **Frameworks Menu** and navigate to **System Administration > Users & Security > User Maintenance **from the navigation tree.
2. Find the user and open their [user maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378032) screen.
3. Ensure the following is defined in addition to your other user requirements:
  1. **Home Branch**: The home branch is used if the **Multi Branch** checkbox is not enabled as the user is only required to have access to one branch.
  2. **Branch List**: Enter the list of branch IDs, separated by commas, and user will only have access to it. These would typically be branches related to Businesses where they work.   
***Note:**** A user can be linked to branches from different Businesses.*
  3. **Multi Branch**: Enable this checkbox to allow the user to access multiple branches.
  4. **Branch List Restricted**: Enable this check box to restrict the user's access to the branch defined within the Brach List field.
4. Click** Save** to commit the changes.
