Overview Pick & Release  allows you to complete a Sales Order by: Getting the stock from the shelf or warehouse for collection by a customer or for delivery to the customer. Marking the stock off that is being provided to a customer or delivered to a customer via a printed Picking Slip. Creating a Back Order for stock that is not available. Completing the Picking Slip for stock that has been provided or will be delivered. Releasing the Order to enable the Order to be invoiced against the Customer's account. Steps to Pick and Release an Order To print a picking slip, complete picking and release an Order, from the home  Dashboard  perform the following: Quick Steps Here are quick instructions to help you pick products for release: Open the Sales Orders Screen Navigate to  Sales > Transaction Processing > Sales Orders  from the navigation tree. Search for an Existing Sales Order Click  Find  to search using the  Customer Number ,  Branch , or  Order #  fields and other advanced options. Start the Pick and Release Process Click the  Actions  button, then select  Pick & Release  from the menu. If prompted with " Do you need to backorder? ", select  Yes  to continue or  No  to skip straight to the release window. Note :  Branches with  Stock By Location  enabled won't see this prompt. The  Pick and Release  screen opens directly and you complete picking manually. Only Sales Orders can be picked. Quotes must first be accepted using the  Accepting a Sales Quote  procedure. View the Pick & Release Screen Review product and order details. If no order lines exist, an error will appear. Print the Picking Slip Click  Print Picking Slip  to generate a physical copy for stock picking. Physically Pick the Stock Collect the items and mark the quantities on the printed picking slip. Enter Picked Quantities Return to the  Pick & Release  screen and enter the  Picked Qty  for each item. Click  Pick All  if all items were picked. Adjust the  B/O Qty  if you do not want to create a back order. Complete the Picking Process Click  Save  to mark items as picked or backordered. If incomplete, the order will be saved in a partially picked state with status set to  Waiting . Finalise Picking Click  Complete Picking  to finalise the process. Unpicked items will automatically be back-ordered. Click  ReOpen Picking  to unlock and edit product lines if needed. Release the Order Click  Release Order  to confirm the order is ready. Enable or disable  Print Delivery Docket  as required, then click  Release . Stock on hand will be adjusted, and the picking screen will close automatically. Once released, the order is locked. Further changes can be made only via  Interim Invoicing  by authorised users. Detailed Steps 1. Open the Sales Orders Screen Click the  Frameworks Menu  and navigate to  Sales > Transaction Processing > Sales Orders  from the navigation tree. 2. Search for an Existing Sales Order Click  Find  to search for an existing order via the  Customer Number ,  Branch , or  Order #  fields and other advanced options. Refer to  Searching for open Sales Orders or Quotes  or  Creating a Sales Order  for further information on sales orders. 3. Start the Pick and Release Process Click the  Actions  button, then select  Pick & Release  from the menu. If you have  Quick Release  enabled via the system flag  FWSOPRelAll , you'll be prompted: " Do you need to backorder? " Select  No  to skip straight to the order release window. The system auto-picks all lines, completes the picking process and opens the release window. Select  Yes  to continue the normal pick and release flow. The pick and release option is only enabled for Sales Orders, not Quotes. To pick a quote, first go follow  Accepting a Sales Quote  procedure. Branches with  Stock By Location  enabled in  Branch Maintenance  won't see this prompt, even when  FWSOPRelAll  is enabled. The  Pick and Release  screen opens directly without any automatic picking. You pick each line manually. This prevents transaction lock issues that occurred when no location was selected during auto-picking at location-controlled branches. The  Stock By Location  setting requires the  LOC  feature code to be active for location control to function. 4. View the Pick & Release Screen The  Pick & Release  screen is displayed. The link below provides a description of the information displayed. If there are no order lines, an error message appears:  “No order lines available for Pick & Release.” Sales Order No. Displays the Sales Order number. Back Order No. Displays the back order number. Customer No. Displays the customer reference number and name. Customer Order Ref Displays the customers order reference number. Order Branch Displays the order branch ID. Requested Date Displays the date the order has been requested for. Desp. Method Displays the despatch method. The section beneath the header section displays details of the products ordered including a description of the product, the tally details and any specific product comments in the  Description  field any  Picking Alerts , the  Order Quantity, Length  &  UOM. Refer to the  Advanced Grid Features  Operator Guide for additional information. The Picking Alerts displays customisable product and branch specific information. Click  View Alert Messages  to open the  Product on Alert  window to view all the product that has alert messages. 5. Print the Picking Slip Click  Print Picking Slip  to print a picking slip to then mark the stock off as being provided/delivered to a customer. Refer to  Printing, Emailing or Faxing Stationery from Frameworks  for further information. 6. Physically Pick the Stock Physically get the items from the shelf or warehouse and write the picked quantities on the printed picking slip. 7. Enter Picked Quantities Return to the relevant Sales Order  Pick & Release  screen then type the  picked quantities  into the product/s  Pick Qty  field/s (by clicking on the product line) based on the picking slip. Tip:  If you have picked all items in the Sales Order, click  Pick Al l rather than completing the line-by-line picking. If there is insufficient stock available, Frameworks automatically calculates the number of products/stocks requiring Back Order to complete the Sales Order. It does this by automatically completing the  B/O Qty  field with the outstanding amount of stock for a particular order line once the  Pick Qty  field has been updated. If you do not wish to Back Order these products, manually adjust the  B/O Qty  field. For newly created back orders, the assignee is automatically set to the original order assignee.  8. Complete the Picking Process Click  Save  if all products have been picked or backordered. The save automatically prompts you to mark the picking as completed. Clicking  Save  without completing the picking process (That is, if the total amount of stock has not yet been picked or backordered) will save the order in a partially picked state that can be accessed and completed at a later date. The order will not be released and will be marked as  Waiting . 9. Finalise Picking Click  Complete Picking  to finalise the picking. If there are any unpicked or unback-ordered lines, you’ll be notified before proceeding. Once completed, no further changes can be made unless you click  ReOpen Picking  to unlock the product grid. Product lines that have not been either selected for picking or back-ordering are automatically added to a backorder upon clicking  Complete   Picking .  Reopening will not restore product lines already moved to a back order. If Back Order is created:  The  complete picking  process creates a separate backorder for all of the B/O selected products via a  Pick Release Backorder  pop up screen, and prompts for details of the backorder: You can also opt to print the back order picking slip by ticking the  Print Picking Slip   tick box. The Back Order has the same Sales Order number but has a suffix appended. The suffix will start at and be incremented by 1 for each successive backorder and can be viewed as any other Sales Order. Once the  Complete Picking  process has been completed, what you are left with is the picked products ready for release. If you are using  Sales Quote and Orders with Agreed Pricing  the newly created transaction will have its agreed value set as the amount of agreed value remaining after the value of the original order has been deducted. 10. Release the Order Click  Release Order  to confirm that the order is ready for delivery.  Enable or disable  Print Delivery Docket  as needed Click  Release  to finalise. This converts the Order to a  Searching and Printing/Emailing Invoices, Orders, Quotes & Projects  and is no longer accessible through the  Sales Orders Dashboard  screen. Stock on hand balances are adjusted to account for the items picked and sold. The picking screen will close automatically. The print option availability of  Print Priced Perlim Invoice, Print Priced Docket, Retail Prices  and  Trade Prices +%  are controlled by the  FWSopPrint, FWSopPrintInv  and  FWSopPrintConf  system flags. Once released, the order is locked. Any changes to quantities or pricing must be made via  Interim Invoicing  by authorised users. Additional Information The below  System Setting - Flags  are related to the pick and release of products in Framework. Refer to  Pick and Release Related System Settings  for more information.
