# Overview

A Product Group is a way of grouping products together for the purpose of summary type sales analysis. To enable summary type sales analysis you can create Product Groups and then assign individual items from your Product Master file to these Product Groups

This document is to assist you with the following tasks

# How to Create New a Product Group

To create a product group, perform the following:

1. Click the **Frameworks Menu** and navigate to **System Administration > System Setup > Product Group Maintenance** from the navigation tree.
2. Click **New **to open the **New Product Group **window.
3. In the **New Product Group** window, enter the required **Key Details** to create a new product group:
  - **Group ID**: Enter the Group ID for the product group. Once created, this ID cannot be changed.
  - **Description**: Enter a description to explain what the product group is for.
  - **Major Group**: This will default to the Group ID entered above. To choose another **Major Group**, click the search icon to open the **Product Group Finder** window to select a group.
  - **Min GP%**: Enter the **minimum gross profit percentage**.
  - **Max GP%**: Enter the **maximum gross profit percentage**.
  - **Expected GP%**: Enter an **expected gross profit percentage**.
  - **Min Contract GP%**: Enter a **minimum gross profit percentage** for a product group on contracts.
  - **Special Item GP%**: Enter the **gross profit percentage** to be used on **all special items** created into this product group.
  - **Exclude from Search**: Enable this checkbox if users should NOT be able to see this product group when creating special items or mass updating products.
  - **Exclude from Sales Calendar**: Enable this checkbox if the totals in the [Sales Calendar](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28398132) should not include the sales from these product groups.
  - **Is Non Balanced Stock Group**: Enable this checkbox if the product group will contain manufactured (type 5) or miscellaneous (type 6) products. This flag is required for these product types to prevent GL/sub-ledger imbalances.
4. Click **Save** to create the **Product Group.**

# How to Create New a Product Group with Copy

From the [https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382788](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382788) click the **Copy** icon at the end of a product group line to create a new product group based on the selected group's configuration.

When you click **Copy**, the **Copy Product Group** window displays the following information that allows you to make any required changes. 

- **Copy From**: Displays the Group ID and description of the product group you are copying from. This field is automatically populated and cannot be changed.
- **Group ID**: Enter the Group ID for the new product group you are creating. This code must be unique and not already exist in the system.
- **Description**: Enter a description for the new product group. This field is pre-populated with the description from the source product group but can be modified.
- **Major Group**: Select or enter the Major Group for the new product group. This field defaults to the new Group ID code but can be changed to any valid product group code, including the one being created.
- **Min GP%**: Displays the minimum GP% from the source product group. You can modify this value for the new group.
- **Max GP%**: Displays the maximum GP% from the source product group. You can modify this value for the new group.
- **Expected GP%**: Displays the expected GP% from the source product group. You can modify this value for the new group.
- **Special GP%**: Displays the special item GP% from the source product group. You can modify this value for the new group.
- **Exclude from Search**: Displays the search exclusion setting from the source product group. You can enable or disable this option for the new group.
- **Exclude from Sales Calendar**: Displays the sales calendar exclusion setting from the source product group. You can enable or disable this option for the new group.
- **Is Non Balanced Stock Group**: Displays the non-balanced stock group setting from the source product group. You can enable or disable this option for the new group.

Click **Save** to create the new product group with the specified settings. The new group will appear in the Results Grid and can be edited, copied, or deleted like any other product group.

# How to Maintain a Product Group

To maintain a newly created or an exiting product group from the [Product Group Maintenance Dashboard](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28382788), perform the following:

1. In the **Group ID** and/or **Description** fields, enter the product group's ID and/or description and click **Find**.
2. If there is only one result, the [Product Group Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28405034) screen will open. If there are multiple results, click on the required **Group ID** hyperlink.
3. You can now make the required changes and adjustments to the product group.

# Adding products to a Product Group

Once a product group has been created, you will need to add products to the group. This can be done in two ways.

## Individually via Product Maintenance

Products can be added to product groups and product sub groups from the **Key Details** page in [Product Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28378114). To do this, update the **Product Group** and/or **Product Sub Groups** fields.

> ⚠️ When assigning manufactured or miscellaneous products to a product group, ensure the product group has the **Is Non Balanced Stock Group** flag enabled. If the flag is not enabled, you will receive an error message and the assignment will not be allowed.

## En-mass via Product Import

Products can be added to product groups and product sub groups via the [Product Import](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28409372) function. This allows you to make bulk changes to your products.
