# How to Process a Cash Sale

To process a cash sale, from the home **Dashboard** perform the following:

## 1. Access Point of Sale

1. Click the **Frameworks Menu**, then navigate to **Sales > Transaction Processing > Point Of Sale** from the** **navigation tree.
2. An automatic transaction number appears in the POS header for the sale.

## 2. Enter the Header Details

1. If the customer has an existing account, type or use the **Search** icon to search for the **[Customer Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28389894)**** ID;** otherwise, it defaults to zero.
2. Type the **Customer Order No. **if required.

> ℹ️ - If searching for a customer via the **Customer Finder **icon, you must enter search criteria for the results to display. When you search for a customer, Frameworks does not search for bad debt customers.
> ℹ️ - A Discount Group and Customer Group can be defined by Company if required. These groups can price products for no customer cash sales.

## 3. Enter the Products

The **Product Entry** screen is automatically displayed on the details section (right side of the screen) with the cursor appearing in the **Product** field.

**UOM**

The unit of measure is automatically populated. Update the UOM as required if it is an available option. The **Search** icon is available to search from. This option being available is dependent on the product you have selected, the Supplier who provides the product to your organisation, and how your organisation sells the product.

> ℹ️ When **PosGtin** is active, the UOM finder pop-up screen which will make available for selection GTINs marked for 'Display Sales' as per **System Setting - Flags** under [Miscellaneous Table Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28401684). If set to inactive, when a product with GTINs is entered in POS, the GTIN will be automatically entered and locked.

**Quantity**

Type in the number of products being purchased. Defaults to 1.

**Unit Price**

Defaults to the **Unit Price** from the **Product Master File**. A **Unit Price** is the price of the product by it's unit of measure. For example, 1 lineal meter = the Unit Price.

If you have the correct access, adjust as necessary, then select a reason for the price adjustment via the dropdown selection in the **Reason for Override** field. Overriding the default **Unit Price** adjusts the customers sale price.

**Disc %**

If you have the correct access, type the discount percentage amount to give on the **Unit Price** of this product, then select a reason for the price adjustment via the drop down menu in the **Override Reason** field. Overriding the **Disc %** adjusts the customers sale price. Once the percentage has been entered, the **Total** is adjusted accordingly.

**Line Price**

Net price. Unit Price less any discount defined.

---

**Total**

Automatically calculated based on the products selected.

1. Enter, scan, or click the **Search** icon to search for a **Product**. If a match cannot be found, the **Product Finder** screen is displayed. Simply use the arrow down key or search for the correct product via the options available

> ℹ️ - If searching for a product via the **Product Finder** icon, you must enter search criteria for the results to display. The *Product Finder *also remembers the previous search criteria entered by the user and re-displays the search criteria and results when the *Product* *Finder* is re-used, however it does not remember the criteria across the application and if you exit the activity and start again, then the *Product Finder* criteria is cleared. If searching for a Supplier from within the *Product Finder*, you must enter Supplier search criteria for the results to display. You can further refine the search results using the row filter/s.
> ℹ️ - If searching for a product via the **Product Finder** icon and you choose a specific branch in the **Branch** field of the *Product Finder*, then the Qty On Hand, Qty on C/O & Qty on P/O for that branch are displayed, however if you select *All Branches*, then this information is not displayed. To calculate the On C/O and On P/O figures, run the "QtyOnOrder" scheduled task.
> ℹ️ - If searching for a product via the **Product Finder** icon you can also enter either the Supplier GTIN or Catalogue number, system will search and replace with the Product Code.

> ℹ️ If the **Branch** field is not used in the* Product Finder* search, then the** Branch Product Type** column is not displayed.

<summary>Further information about scanning products and bringing up previous Product IDs used:</summary>

- If your PC has been configured as a scanner input device (to configure a scanner input device, tick the **Scanner Input **field in [Device Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28396262).), you are able to quickly add multiple quantities of a particular Product. From the **Product** field, type the quantity required (for example, **5**), followed by an ***** (asterisk) then select your <tab> key, then type the Product ID.
- If System Integer **LstPrdSrch **has been setup, entering a backslash into the **Product** field will bring up the previous Product ID used on the last sale. System integer **LstPrdSrch **specifies the number of characters of the last Product id entered to use as the search text in the product finder. It is set up in [Miscellaneous Table Maintenance](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28401684) under **System Settings** – **Numeric**.

2. Once the **Product** has been selected, the **Description**, **Quantity** (defaults to 1), **UOM**, **Unit Price, ** **Disc %** (defaults to 0.00%) & **Line Price** are automatically populated.
  1. Press <tab> to adjust the **UOM**, **Unit Price, ** **Disc %** (defaults to 0.00%) & **Line Price **if needed.
  2. Press <enter> or the tick icon to add the product line/s to the order.
  3. Click on the **X** icon to remove the partially entered product from Product Entry.
  4. Select the **Information** icon to display Purchase Sales Information regarding stock on hand values as well as previous sales data for that product.
  5. A **Warning** symbol may appear, before the Product field, if there is insufficient stock available. This is informational and only is the system flag FWNegWarn is enabled.
    
3. The products are then displayed on the** Product Entry** tab. Repeat product entry steps for all products being sold.

> ⚠️ If your device is setup up for scanner input, a quantity of 1 is automatically assigned. If you want to enter multiple quantities, enter the quantity in the **Product** field followed by an *.   
> ⚠️ For example, **5*** will enter 5 into the **Quantity** and return the prompt to the **Product** field for entry of the product.

> ℹ️ If activated, system Flag **GPLinePOS **allows you to reprice an individual product line based on a new GP% entered by a user. Refer to cheat sheet: [How to reprice an individual product in POS based on a new GP%](https://sterlandsupport.atlassian.net/wiki/spaces/fwksproau/pages/30515334) for further information. *Note*: Repricing an individual product will re-price the product sell based on the current unit cost of the product line. Any previously existing discounts will be overridden as part of this process. For example, if a product had an existing *Discount %* of 10% and you applied a new *GP%*, the *Discount %* resets to 0.

### Other Product Entry Options

If you have selected a customer & then click a product hyperlink, you are shown previous sales of that product by customer.

Click the **Pencil **icon to edit the **Quantity**, **UOM**, **Unit Price, ** **Disc %** (defaults to 0.00%) & **to add any comments. **You can also click the** previous Sales **button to display previous sales history of that product for the customer.

> ℹ️ When you add a miscellaneous product and the [POSMiscCostEdit](https://sterlandsupport.atlassian.net/wiki/spaces/FSS/pages/13202761) flag is enabled, you can edit its cost in the **Unit Cost** field.

1. Click the **Edit** icon** **to edit timber tally products.
2. Click the **Delete** button to delete the product line/s from the order.
3. If the customer requires delivery of the product/s, complete any mandatory information in the** Delivery Details **tab.

## 3. Finish the Sale.

1. Click **Finish Sale** to process the cash sale.
2. Provide the printed docket to the customer, along with the appropriate change. This indicates that the sale was processed successfully.

### Other Transaction Options

- Click **Suspend Sale** to suspend the Sale. You can resume the sale at a later time.
- Click **Void Sale** to delete the Sale permanently.
- Click **Last Docket** to print the last docket that the Till put through.

> ⚠️ For cash sales where rounding occurs, the variance will create a new line in the docket. This variance is also posted to the cash sale [General Ledger](https://sterlandsupport.atlassian.net/wiki/spaces/FRAM/pages/28377214) account that is associated with the product group assigned via the system code: '**SysRndGrp'**.
