How to Process a Cash Refund To process a cash refund, perform the following: Click the  Frameworks Menu , then navigate to  Sales > Transaction Processing > Credit Notes  from the navigation tree. Click the  New  button to open the  Credits & Refunds Maintenance  screen and add the required header details. An automatic transaction number appears for the credit or refund. If the refund is for an account customer, in the  Customer  field, start typing the Customers Name or   ID and a list of suggested customers will be available for you to select from, or click the  Search  icon to open the  Customer Finder  window. The  Customer  field will default to  Cash Sale. From the  Type  the drop-down menu select the credit or refund type of either  Overcharge  or  Stock Return Overcharge  is for when a customer is receiving a refund for a portion of the order price with NO stock movements. Stock Return  is for when a customer is returning stock from an order and sock movements are required. From the  Reason  drop-down menu, select the reason for the credit or refund. If required, in the  Original Docket  field enter the original invoice docket number that the goods being refunded were sold on or use the  Search  button to open the  Transaction Finder  window. To locate historical invoices imported from a previous system in the  Transaction Finder  window, use the  External Ref  field. You can search for a consolidated invoice by entering one of its original invoice numbers. The system will automatically identify and display the matching consolidated invoice. Refer to  Credits & Refunds Maintenance  for more information. If applicable, enter the Back Order number into the  B/O  field. If the original docket details have been entered, click the  Load Details  button. This will add the original transaction details to the  product entry  grid. Alternatively, if there is no original docket, click the  Add  button under the tab and enter the product code and the corresponding details. Products can be added using either the barcode, alternate code, or supplier barcode.  If required, review any  restocking fees  or apply a  discount %  to reprice a stock return credit transaction (different from the restocking fee). If the type of return is a  Stock Return  and the   POSCrdSur%  flag has been activated with a credit surcharge percentage defined, the  Restocking Fee  is automatically calculated & added to the transaction via the product code setup in flag  SOPSurProd . You can override this at any time by ticking the  Override Stocking Fee  check box and manually adjusting the value in the  Restocking Fee  field . Click  Refund All  to automatically refund all quantities on all order lines, or you can manually define each product line as required.  When manually defining each product line, if the transaction is: An  Overcharge , when crediting or refunding the product, enter the price that the customer has been overcharged in the  Unit Credit  field. The price entered cannot exceed the original transaction price. Due to an overcharge type being a simple return of funds, the discount column will default to zero (even if an original discount existed) and cannot be edited. A  Stock Return , when crediting or refunding the product, enter the quantity of goods being returned in the  Credit Qty  field. Make sure to enable the  SopSpecCrd  flag to stop a credit from being issued if there’s no stock return for a  special product  ordered for a customer. This ensures that credit returns match supplier returns, keeping stock accurate and preventing unnecessary credits for special products. The quantity entered cannot exceed the original transaction quantity already returned. The discount column will default to the original discount percentage and cannot be edited so that the system can adequately remove any discounts that were granted during the sale. If there is no original docket and a credit has been manually added, then the discount column is available to edit. Click  Tally  to open the  Tally Maintenance  window to help return tally products. Click  Finish  to process the Credit Note and open the  tendering  window. This transaction can be suspended at any time and later resumed by selecting the credit from the Credit note dashboard. Click  Refund . If the system flag  FWCRPwdReq   is activated, when performing a credit/refund for a Customer who requires a password, this flag ensures the password is prompted for and validated to complete the transaction. For refunds where rounding occurs, the variance will create a new line in the docket. This variance is also posted to the cash sale  General Ledger  account that is associated with the product group assigned via the system code:  SysRndGrp . You can set the number of copies to print via  Device Maintenance . Print the docket for the customer, then provide the cash to the customer. Refunding a Mighty Rewards Purchase   If the client requests a refund, the following rules apply: Refunding a sale that was tendered with Mighty Rewards points will refund Mighty Rewards points. Refunding a sale that was tendered with both Mighty Rewards points and cash/card will refund Mighty Rewards points first. When refunding a sale that was tendered with cash/card for a Mighty Rewards customer, where the sale itself granted Mighty Rewards points to the customer, those points will then be deducted from the customer balance.  Refer to  Mighty Rewards  for further information. Refunding a GenericReward Purchase If points were redeemed when tendering, if the goods are returned, the points will be refunded: Additional Information Flag Description FWCRPwdReq If enabled, when performing a credit/refund for a Customer who requires a password, this flag ensures the password is prompted for and validated to complete the transaction. Process the credit or refund, then when the Tendering screen appears, click  Refund , then enter the Customer's password. Pre-requisite:  The customer must have a password set in  Customer Maintenance . OrdBrCr If enabled, you are able to process a refund of an invoice made at another branch, but only if the 2 branches have the same GST settings. In the case where either  OrdBrCr  is enabled or disabled, or the GST settings are different, an error message appears informing the user that it is not possible to process the refund. OrdDefAddr This flag has other functionality; however, the functionality below is specific to a printed credit invoice: If enabled, it displays the default customer address in the "Invoice To" header field on the printed Credit Invoice". POSCrdSur% When activated via table  System Settings - Amounts , sets a restocking fee surcharge percentage for stock returns only.  SopSpecCrd If enabled, prevents credit of Special Products without Supplier Credit Return SOPSurProd One-time setup required. Enter a valid product code in  System Settings - General  . This product will be added to the refund transaction and assume the value of the restocking fee (governed by  POSCrdSur% ). Refer to  Miscellaneous Table Maintenance  for further information on System Flags.
